Adding a New Location

This guide provides a step-by-step process for adding a new location within your organization, ensuring that clients can access necessary services and that staff have appropriate visibility. Following this guide will help prevent service accessibility issues and ensure that all relevant staff are properly assigned to the new location. It is essential for maintaining efficient operations.

Click "Administration"

Click "Locations"

Click "Add Location"

Enter all Location details in Location Template.

Click "Save"

The New Location should now show in the Locations tab

Ensuring Program Services are visible for clients in the New Location. **Note: Locations added after your initial onboarding will need to have follow-up steps taken to ensure that services show as expected for that location. You will also need to ensure that staff that need visibility to this Location have the appropriate assignment in their staff settings.**

To setup Program Services under your new location click "Administration"

Click "Programs"

You'll need to repeat the following steps for all applicable Programs and Services that you would like to associate to this new location.

Click into the Program you'd like to setup services under this new location for

Click "Billing Rules"

Select the checkbox and then edit pencil of the applicable Billing Rule.

Under "Locations" ensure that the newly added location is highlighted in green from the list. This means MHS clients that are listed under the Charlottesville location will now have the H0046 - Treatment Service available to pull onto their funding card and enter on case notes.

Click "Save" **Repeat this step for *ALL APPLICABLE SERVICES* in this program. If this step is skipped clients under this new location will not have these services available to pull onto their Funding Cards or Case Notes.**

When adding a new location you'll want to make sure ALL staff that need access to that location have their settings updated appropriately. Follow the steps below to add new location visibility for applicable staff.

Click "Staff"

Click the checkbox next to the staff that needs access to the new location.

Click the edit pencil to access the staff settings.

Click "Next" to bypass General Info changes

Click "Next" to bypass Location & Supervisor changes. **Note: If this staff should now have this new location listed as their "Home Office" you would make this change on this tab before clicking next.**

Once you get to the Access tab, select the "Locations" dropdown and ensure that the new location is highlighted in green. This will open access for this staff to be able to see assigned clients from this new location moving forward.

Click "Save"
