Create a Renewal: From Service Lists

This guide provides a step by step process to create a renewal from a service list. If you have not created different invoice templates this is the most efficient way to create seasonal renewals. If you would like to create different invoice templates see the "Creating Estimate/Invoice Templates" resource. Once this is done you can use these templates for your renewals. This will make the following season renewals easier and faster to create.

Click "Reports"

Click "Customer Services"

Filter for the service you are looking to renew. You can choose multiple services. Tip! choose the service that would be a main service that other services would be associated with, for example: lawn mowing, bi-weekly gardening, parking lot clearing, driveway clearing.

Filter for approved services - select "yes".

Click on the first service address you would like to create a renewal for. You may wish export this list at this point as well.

Click on "Estimate INV-xxxxx"

Click "Create Renewal"

Verify it is on the correct template and/or choose a different template. You may have only had one type of template before or didn't have a template that could easily identify seasonal renewals, for example: winter service, summer service, yearly service, one-time service or non-renewal (NR) service. To change this moving forward, create different templates; you can add templates in the configuration settings, see "Creating Estimate/Invoice Templates" resource. Speak with your EXT representative for additional support.

Click "Winter Service Contract"

Click "Customer QuoteSubtotal$1,150.00HST (13%)No Tax$149.50Grand total$1,299.50"

Scroll down to see the services and change prices as required. Make sure to click outside of the box before saving.

Click "Save"

You can add files, such as snow maps, service terms and conditions or others to a specific estimate/invoice/renewal. Click "+" symbol. A folder box will appear where you can choose which file you would like to add. You can also drag and drop a file into the space to add it.

Once it is added you will see it attached.

Click "Email estimate to customer"

Click "Confirm"

Check Unapproved Renewals

When you create renewals you can go to the reports section and see which renewals have not been yet approved.

Click "Reports"

Click "Unapproved Renewals"

Click "Start End Template Export"
