Create and Manage a Listing

Learn how to create a new property listing in Loft47, assign agents and clients, upload required documents, manage requirements, and create a deal from the listing. This guide covers the complete listing workflow from entering property details through to deal creation.

Listing Creation

Go to **Listings** > Click "**New**"

Search the Primary Listing Agent

Add MLS number, for example "R3938776" \ *If there is no MLS, check the **Exclusive/Non-MLS** checkbox.*

Enter the Listing Price

Enter the Projected Commission in % or $ value.

Select the Property Type

Click the blue **Enter address blue link** to expand the remaining fields in the **Create a New Listing** window.

Search by Address look up or Enter your listing's address manually

For example, enter **800 Robson Street, Vancouver, BC, Canada**, then select the matching address from the list.

We added the unit number "100" in this example.

Click "Save"

Add People and Documents

Click "People"

Click "New" to add clients.

If the contact already exists from a previous deal or listing, search for and add them using the **Existing Profile** field.

We selected **Frank Chou** as the client and assigned him the **Seller** role.

Click "Save" to add this person.

Click "New" to add another client.

If the contact does not already exist, click **Create New Profile** to add a new contact, as shown below.

Assign this person the **Seller** role.

Enter profile name, for example "Winnie Roe"

Enter email address "winnier@gmail.com" if any.

Enter all applicable client information, then click **Save** to add the 2nd seller.

Documents and Requirements

Head to "Documents"

Click "Upload File" to upload your documents from your computer.

For example, we added **MLS Sold.pdf**. - Click the **pencil icon** to rename the document. - Click the **trash can icon** to delete the document.

**Listing Requirements** help ensure each listing file has the required documents and information for **brokerage review and compliance**. Review the requirements and complete any outstanding items before moving the listing forward.\ \ Click "**Requirements**"

Click **Select Requirement** to assign the document to the applicable requirement.

**Click a document** to view its details after assigning it to a requirement.

In the detail view, you can: - Update the **Status** - Add **Comments** - Upload additional files - Rename the requirement item - Use **Previous** and **Next** to move between items

Click **Back to Requirements** to return to the requirements list.

Click **Accept All** to approve all documents at once, or approve them individually.

You can also click **Ignore All** if the compliance requirements are not applicable to your brokerage.

Click "Copy Summary Link" to view Requirement Summary Report.

Paste the URL link and click to view the report.

Click **New** to add additional requirements as needed.

Select a **Requirement Template** from the search results.

For example, we are adding the Listing Agreement requirement.

Click "Save"

Click **Requirement Logs** to view the activity history.

Create a Deal from the Listing

In the **Listing Transaction** section, click **Create Deal.**

Enable "**Copy documents from this listing to the new deal"** to automatically copy all listing documents to the new deal.

Click "**Create Deal**" to create the new deal.

Once confirmed, the system will automatically create the new deal and open the **Deal page**. \ \ In the **Deal Summary Section**, if Deal was created from the Listing, it will be automatically linked.\ Click related **Listing #L-2026-0010** to return to the listing transaction.

**Note:** If a listing and deal were created separately for the same property, they will not be linked automatically. To link them, void the manually created deal and create a new deal directly from the listing.

Once deal was created, the **original listing** will be **SOLD** status.

Click "**View Deals**" in **Listing Summary Section** will bring you back to the linked Deal.

**Key note:** - You can create a deal from a listing whether it has an **MLS number** or is marked as **Exclusive (No MLS)**. - Creating the deal from the listing helps maintain a smooth workflow by carrying over the listing information and/or if selected, all listing documents will be copied to the new deal. - **Unlisted** deal status is **not** carried over when creating a deal from a listing. - To keep the listing and deal connected, either **create the deal directly from the listing** or **link the existing deal manually** afterward.

Link an Existing Deal and Listing

If you've already created a deal or a listing separately, you can link them together at any time. This allows you to easily navigate between the related records within Loft.

### Link Deal to the Listing\ In the **Deal Summary** Section,\ Search for and select the existing **Listing**. - If the Listing was created from the Deal, it will be **automatically linked**. - If the Deal and Listing were created separately, you can **search for and link the existing Listing** manually. - Once linked, you can open the related **Listing** directly from the Deal.

You can search by **MLS#**, **Address**, **Agent Name**, or **Listing#** to **link or remove the link** between the Deal and Listing.

For example, we searched by **Address** and selected the applicable **Listing**.

### Link Listing to a Deal\ In the **Listing Summary** Section, search for and select the existing **Deal**. - If the Deal was created from the Listing, it will be **automatically linked**. - If the Deal and Listing were created separately, you can **search for and link the existing Deal** manually. - You can search by **MLS#**, **Address**, **Agent Name**, or **Deal#**. - Once linked, you can open the related **Deal** directly from the Listing.

Click **Remove** to unlink the Listing from the Deal.

**Note:** Linking can be initiated from either the Listing or Deal page. Once the records are linked, the relationship is reflected on both records, allowing you to quickly navigate between them.

Search and Filters Listings

Go to "**Listings**"

Search for Listings by **MLS#**, **Address**, **Agent Name**, or **Listing#**.

In **Listings**, click **Filters** to refine your search.

You can filter Listings by **Profile**, **Date Range**, or **Listing Approval State**.

Click "Done" to confirm the Filter Search.

Click **Download** to export your filtered results as **CSV**, **XLSX**, or to **Google Drive**.
