Creating a New Contract

**Contract features** establish a mutual connection of **Users & User Certificates** between two or more companies (tenants) in Talonview. *Note: The connection requires a mutual agreement with one or more parties and may have specific steps or details–depending on the process or workflow(s) in which have been agreed upon by all parties.\** --- Recommended prerequisites → to have added all internal team members into your company's tenant and review of all certificates *prior to initiating a new contract*. *Related articles* 1. In the main navigation, click [[Settings]]

In Settings, find and select [[Contracts]]

+ Create New Contract

In Contracts, click [[+ Create new]]

*The **Contracts** page may appear blank before any contract(s) have been created.*

Click the "Enter contract name..." field.

Please enter a unique value–unless otherwise naming structure defined by/with another party. *Example → ABC Company 123*

Click "Select destination tenant..."

Please select the destination tenant–as defined by/with another party.

Click this icon to adjust the start date (as needed) --- *The default time period starts with current date and expires in one year. Both date(s) can be adjusted to reflect the nature of the contract and agreement between your company and the other party.*

Click the "Search name or email..." field.

Including **one user** → Begin typing the user's email address and select from the populated list

Including **multiple users** → Find and select [[Import from CSV]]

In the popup window, hover and select the hyperlinked text → [[Click here to download the template]]

On your computer, locate the file and launch in Excel

Enter the email addresses (skip phone numbers) of the users you wish to include in the contract

The email addresses should match those already in your company's tenant.

When ready, save the file to your computer and return to your browser with the contract page open

Click [[Select CSV]] and pick the recently saved file from your computer

Then, click [[Next]]

The next screen checks to confirm the email address(es) in your file match the users' email address(es) already in your company's tenant. If you see any errors here, you can hover the error for more insights/next steps. --- **Reminder** Recommended prerequisite → to have added all crew members into your company's tenant and reviewed all certificates *prior to initiating a new contract*. *Related articles* 1. With the list confirmed and free of errors, click [[Import]]

Review details and make any final adjustments (as needed)

When ready to proceed, click [[Create]] --- *Note: Selected **User(s)** and **Users' Certificates** are now visible to Tenant Admin(s) in the destination tenant.*

Contract Status

Return to [[Settings]] → [[Contracts]] page

View or Edit a Contract

On the **Contracts** page, find the Contract you wish to view or change

Double-click to open the **Contract** details

After creating a Contract, you can **view**: - Contract details - Users & Certificates - Contract Status - History (to track/view changes) --- **Edit** allows for Tenant Admins to: - Add/remove **User(s)** - Change the Contract **Name** - Change the **Expiration date**

*Example scenario →* *An employee needs to be able to work with the destination tenant–but not selected previously/when the initial Contract was created.* *Recommended to check the following to ensure compliance:* - *Employee(s) have completed system registration* - *Admin review of selected User(s) and Users’ Certificate(s) to ensure all are valid and in compliance with the destination tenant’s policies* - *Once complete, modify the Contract to add or remove any unwanted Users (as needed) and confirm Contract details once more* - *Send again*

Within the selected Contract, click [[Edit]]

Edit allows for Tenant Admins to: - Add/remove **User(s)** - Change the Contract **Name** - Change the **Expiration date**

Apply changes and review details once more

Click [[Save]] to update

The Contract Status may not change right away, but the Contract Name will now include an indicator for **Pending updates** until Approved or Rejected by a Tenant Admin in the destination tenant and therefore, an Approval or Rejection would then update the Contract Status. *Version history can also be viewed from both sides when changes are applied.*
