Create and edit a Pre Auth Booking via the Widget

Edit functionality via the widget is available for venues which have a Stripe payment gateway and services with pre-auths, and/or booking options and upsell booking options with a payment type of pre auth. This is a customer facing edit process which will enable them to edit via the online booking widget to any service with a pre auth payment or no payment and amend their booking online, providing the venues individual editing configuration allows this.

**Configuration Requirements in Admin:**

1. In Email Settings you must enable 'Allow your customers to EDIT their booking via a link in the email'.

2. Customers will only be presented with the 'Edit' button if they are attempting to edit outside the timeframe configured in Widget Settings 'Stop editing online X hrs before booking starts (empty is unlimited)'.

3. The pre-auth payments setting 'Time (hours) before a booking where it can no longer be cancelled without using pre-auth' is still respected.

   **Edits where there is no financial impact:**\
   Customers making edits which do not result in a change to the pre-auth amount ie adding notes, changing times in the same service etc, will be required to verify the authorisation amount again. The messaging in the widget alerts them to the fact that their previous authorisation will be cancelled.

Select a Service that has payment or booking options of Pre Auth Type.

Click the "I agree to the booking terms and conditions." field.

Booking is made and the email is sent to the customer. Click on the link to edit the booking.

Edit the booking ie change pax, service, day etc

Details will already be pre filled with customer details. Click "NEXT"

Customer can either use the previous card used for the Pre Auth on the original booking or select "Pay With A New Card".

Click the "I hereby give authorisation to verify the amount specified above. I agree that I am the authorised card holder of the credit card listed" field.

Create a Booking with a Pre Auth in the Diary and edit via the Widget

Click a Service and ensure it has a Payment or Booking Options with a Pre Auth payment type.

Click "SEND EMAIL" , "SEND SMS" OR "Open Link" and enter credit card details on behalf of customer.                                                                                                  

This will send the customer the Email or SMS to enter credit card to secure and confirm the booking and then the successful booking confirmation, where they can access the link to self manage their booking going forward.

Customer details will already be pre populated and then Click "NEXT".

Click "Pay with existing card" Or "Pay With A New Card".

Click the "I hereby give authorisation to verify the amount specified above. I agree that I am the authorised card holder of the credit card listed" field.

Workflow in the Diary when editing is underway in the widget.

Once you reach the Payment Gateway and the Widget timer starts, review the Diary to see edit process in action.

You will see now 2 bookings for the same customer. The original booking and the inflight edit booking. 

Click either of the bookings and you will notice the locked booking pop up appear. The bookings will remain locked until the booking edit is completed in the payment gateway, edits are cancelled or the Widget timer expires edit period. 

If you now click the "I hereby give authorisation to verify the amount specified above. I agree that I am the authorised card holder of the credit card listed" field.

And click "AUTHORISE" to complete the edit.

You will now have 1 booking, which is the new edited booking in the diary, which you can now open as the payment has been completed.

If the edited booking is not paid for whilst in flight and the widget count down expires, the new edited booking will be deleted from the diary and the original left in place.

Navigate to cancelled tab to the location of the edited booking, that has now been cancelled in place of the new edited booking.

Click on "Pre Auth" tab. And you will notice that the pre auth has been released from the original booking.

Whilst the bookings are in edit mode, the customer can cancel these changes at anytime in the widget workflow, while keeping the original booking in place.

To cancel changes made, Click "Cancel Changes".

If the customer reaches the Payment Gateway, they can also cancel at this stage by clicking the "Cancel Changes".

When the "Cancel Changes" button is clicked - the customer will be taken back to the original edit page.

Email and sms links will be updated on every edit to show the most recent active booking. If the customer opens older emails from the booking prior to the edit, this will still load the current active booking in the diary.

SMS link - even after a number of edits the sms link will always link to the current active booking in the Diary.

Email links - with every edit the customer will receive the new booking confirmation. Even the older emails for this booking that have been edited will still load the current active booking in the diary.

Current booking surfaced from all emails sent that pertain to that booking and its edits.

The Booking Changes tab has been updated to surface to venues, if the booking was cancelled due to an edit and to show the new bookings that have been created in the diary based on the edits.

Displays to venue edit history from online and that this booking is an edited version and also displays the Booking Reference number for venues to use in global search in the diary.

Searching for a Booking Reference will bring up full history of booking and its edit transitions.

Bookings that are cancelled due to edits are NOT shown in the edit and cancellations reports UNLESS they are changed to a future date, which is inline with edits with no payments logic.
