How To Bulk Upload Employees To TrainingLink

Learn how to efficiently manage your workforce by importing employee lists directly into the TrainingLink platform. This guide simplifies the uploading process to ensure your team data is synchronized quickly and accurately.

Prepare Your Roster

Create a spreadsheet with your roster. There must be three columns: First Name, Last Name, and Email. Save the spreadsheet to your computer. Acceptable spreadsheet file formats are .xlsx, .xls, and .csv.

Access Dashboard

Navigate to the Admin Dashboard.

Upload Employees

Click the "Upload Employees" button.

(Optional) If all of the employees on the roster are from the same department, and you have your departments set up, you may choose to select a department from the dropdown. All employees on the spreadsheet will be assigned to that department.

Click the "Choose File" button and select your roster spreadsheet from your computer, or drag the file into the gray box.

Review Notifications

The TrainingLink system will review the spreadsheet to ensure that none of the employees are already in TrainingLink. You should see the message "All emails are new. Ready to upload." If any employees already have TrainingLink profiles, you will see them highlighted in red in the list below. You will need to remove those individuals and re-upload the spreadsheet to continue.

(Optional) Check the "Send Email" checkbox next to each employee that you want to receive a notification email. The text of the email is as follows: *Hello \[Employee Name\],* *Your agency has set up a TrainingLink profile for you. TrainingLink is a training management platform where you can take live online trainings, access subscriber training content (based on your agency's subscription), view your training records, and print certificates — all in one place.* *To get started, you'll need to set your password at [https://www.dkf-traininglink.com/forgot-password](https://www.dkf-traininglink.com/forgot-password), and then log in to TrainingLink at [https://www.dkf-traininglink.com](https://www.dkf-traininglink.com).* *If you have any questions or run into any issues logging in, please contact one of your agency's TrainingLink administrators, or click the Chat Now or Leave a Message button at [www.dkf-traininglink.com](http://www.dkf-traininglink.com).* *Welcome to TrainingLink!*

Complete Upload

Click the "Upload" button.

You should see a confirmation of the number of employees uploaded. If any emails were duplicates on the spreadsheet, only the first employee with that address will be uploaded and you will see a count of the number of employees that were not uploaded here.

Click "×" to close the dialog box.

After closing the dialog box you will need to refresh the page to see the new employees in the roster.
