How to Create a Child Policy

Ensure that your child policies on OTA channels match those on RoomRaccoon. This guarantees guests are charged correctly when booking through an OTA.
Click "My Property"
Click "Surcharge for children"
Click "Create surcharge"
Click this text field to name your child policy.
Tip: Name your child policy by listing the age bucket. For example: 0-3 Years Child
Click this number field to add the minimum age of the child. For example, 0.
Click this number field to add the maximum age of the child. The pricing policy will cover the age up to and including the maximum age listed. For example, 3.
Click this date picker to select the starting date that this pricing policy should apply.
Click this date picker to select the end date that this pricing policy should apply. The end date you select will ensure that this pricing policy will apply up to and including the end date.
Click this field to type in the pricing amount that you would like to apply for this child policy per night.
Click either the percentage toggle or the currency toggle to set up their city tax (if applicable) for this child policy per night.
Click this field to enter the percentage or specific amount of city tax for this policy.
To apply this child policy (age group) to a different set of dates, click on the "+ Add another rule" button to set up an additional iteration.
Child policies should be structured to run one after the other, rather than operating simultaneously by overlapping. For instance, you might establish a policy for children aged 0 to 3 covering January through April. Subsequently, if you wish to implement a seasonal adjustment in pricing, you can introduce a separate policy for the same age group that applies from April to July.
Click "Delete" if you would like to delete a policy.
To maintain the precision and integrity of reporting, it is not possible to permanently delete a child pricing policy once it has been saved. However, you have the option to archive the policy, allowing you to access and reference any historical pricing policies you have established previously.
Click on these check boxes to select the room categories to which you would like this child policy to be available. This will make sure that the child pricing is available to be booked through your RoomRaccoon booking engine.
Click "Save"

Creating a Ledger & Revenue Group for Child Policies

To accurately reflect child surcharges in your invoices as well as track revenue, you will need to set up a ledger and a revenue group to link to your "child policy" add-on. After creating your first child policy, you will be taken to the Child Surcharge add-on that we automatically create.
Click "Finance" to navigate to the ledger and revenue group set-up section.
Click "Revenue Groups"
Click "ADD »"
Click the "Revenue Group Name" field to name your Revenue group "Child Surcharge" or "child policy".
Click "SAVE"
Click "Ledgers"
Click "NEW LEDGER"
Click the "Name " field to name your ledger for Child Surcharges.
Click the "VAT percentage *" field.
Fill in the VAT Code, VAT percentage, and Ledger where applicable for revenue generated through Child Policies.
Click this dropdown to associate this ledger with your Child Policy revenue group.
Click "SAVE"
Click "My Property"
Click "Add-Ons"
Click "Child surcharge"
Click this dropdown to select the "Child Surcharge/Policy" Ledger that you have created.
Click this dropdown to select the child policy/surcharge revenue group that you have created.
Click "SAVE"

Viewing your Active & Archived Child Policies

Click "Archived" to view all your archived policies.
Click "Active" to view your active child policies.
In your active child pricing policies, you will be able to see the name, the applicable date range of the policy, the affected age group (or age bucket), the surcharge amount and the city tax (where applicable).

Setting up Occupancy Limits for your Room Categories

Define occupancy limits for each room category, including total occupancy as well as specific limits for adults and children. This ensures that guests can only book a room with the appropriate number of adults and children, streamlining the booking experience and maintaining room standards.
Click "Categories"
Click "Manage details" for each room category.
Click here.
Click the "Max occupancy" field to the total occupancy limit of the room.
Click the "Max adults" field to fill in the maximum number of adults permitted in the room category.
Click the "Max children" field to fill in the maximum number of children permitted in the room category.
Click this dropdown to select a fallback child policy.
If a reservation is booked via a booking channel with an OTA child policy that does not have an age bucket, the RoomRaccoon system will provide a fallback policy. You can configure the fallback child policy per room category that will apply in these circumstances.
Click "SAVE"
