How to Generate Export Documents Using ClearTools

Learn how to efficiently create and manage your international shipping documentation. This guide walks you through setting up company profiles, saving product templates, and generating a complete document pack.

Let's start in your account dashboard.

Click "Open tool" under ClearDocs, or alternatively click ClearDocs in the top navigation bar.

First we add the exporter - begin by completing your company details.

You can add your company logo to the documents, keeping them on-brand.

Add contact details.

Click this button to save this as a template.

This saves your company details forever. Fill in your company details just once and recall the template every same - save time at every single document generation.

Click "Next →" to move through the generation.

Now we fill in the consignee.

Fill in each of their details.

Once again, you can save this as a template to recall instantly later.

You can save repeat customers, slashing valuable admin time.

Click "Next →" to move through the document generation.

Now we fill in details about the shipment.

Select your incoterms from the drop down menu. If you need to add freight costs, you can do so here.

Click "Next →" to move through the document generation.

Here we add the items we're selling.

Price and weight are calculated live so you can check what you're inputting.

You can also save items as a template.

Once saved, this can be recalled later - saving time for repeat shipments.

To add more items, just click "+ Add line item"

You can select your origin criterion for each item too. Where you're required to enter a country of origin, there's a box you for you to do so.

When finished, click "Review & Generate →"

This does two things. Firstly, export guidance for the country you're selling to is generated - you can use this as a decision support tool to ensure you're compliant. Secondly, the documents are generated here. Let's select everything and click "Generate Document Pack"

The documents are generated in just a second or two. Download them individually, or all as a zip.

Documents are generated with fully HMRC compliant wording.

Your account page stores the document sets for 7 years, with no limit on the amount of documents. Filter by consignee and date. Analyse by currency where applicable. Redownload if required.
