How to Update Respondents in ParentPulse

First, start by **creating a spreadsheet** that includes **all** current parents/guardians for the school year. \ \ The spreadsheet will need to contain four columns of information: first names, last names, email addresses, and/or cell phone numbers (for text message reminders). It'll look like the example below!

Next, navigate to the **Parents**, **Students**, or **Employee** module where you’d like to update your respondents.

Then, click the **Import button**.

Click **Browse** to upload your new spreadsheet.

Once your spreadsheet is attached, click **Next**.

Next, **Map** the data columns. This helps our system 'read' your information correctly.\ \ In our example, column 1 shows first names. We selected **First Name** from the **dropdown menu**. You will repeat this process for last names, email, and phone numbers.

Column 2 contains last names. We selected **Last Name** from the dropdown menu.

Column 3 contains email addresses. We selected **Email** from the dropdown menu.

Column 4 contains phone numbers. We selected **Phone** from the dropdown menu.

When finished mapping, click **Next**.

Next, **review** your import summary. Your summary **may require action** regarding updated contact information or duplicates. When finished reviewing, click **Finish**.

If you have contact records from the previous school year, after clicking **Finish**, you’ll be prompted to **deactivate** any old contacts. These are families who are no longer part of your school community. **Deactivating** contacts prevents them from receiving ParentPulse invitations while still preserving their data in the system.

**Review** the message about former contact records. We recommend **deactivating** these records to preserve their data. Once you’ve made your selection, click **Confirm**.

You’ve now successfully imported your contacts into ParentPulse! Now head on over to the respondent group's page and **refresh** the page. You'll now see your updated list of respondents as well as the **date of your most recent import**. \ \ Repeat this process for each respondent group you’re subscribed to.
