How to send a booking proposal to a guest

Reservations that have the status of 'Provisional' will not be available to book from other guests through your OTAs and booking engine.

Create your Booking Proposal Document

Click "Documents" in the main menu panel on the left-hand side.
Navigate to 'Booking Proposal' and click "Add new document"
Click the "Name" field to rename the document.
Click here to customise the text in the booking proposal document. Add a welcome message or thank the guest for enquiring about your hotel.
Click "SAVE"

Send the Booking Proposal Document to a guest

Click "Reservations"
Create a reservation for the booking enquiry requested by the guest. Add the booker/guest details, select the dates, choose a rate, and add the requested add-ons.
Click the reservation status dropdown. Select "Provisional".
Click "SAVE"
Click the 'Email & Print Documents' dropdown to select a document.
Click here to preview and send the document to the guest.
Click here to add and adjust a prepayment if required for the guest to secure the booking. This can be set as a specific amount or as a percentage of the total cost of the reservation.
Prepayments are not mandatory, but are useful for you to secure a booking, reduce the risk of no-shows and minimise last-minute cancellations.
Click the "Valid until" field to set an expiry date for the provisional booking proposal.
If you do not select an expiry, the system will automatically select a 1-day expiry notice. If the reservation surpasses the expiry date, the guest will no longer be able to confirm their reservation. The booking will not be deleted from your calendar in case you wish to recontact the guest and reengage them in another offer.
Click 'SEND'.
