Ingram 110 President's Conference Room

This guide will show you how top use the President's conference room in Ingram. It will walk you through step by step on how to turn the room on, share content and start a Zoom meeting.

The new equipment in this room allows IT to work on it remotely. If it looks like something isn't working, call the help desk and they will be able to remote over and reboot things if needed!

When you first come in, you will see two panels. The iPad located on the left is strictly for Zoom. If you are not using Zoom, you can completely ignore it. The touch panel on the right is the main panel. Before you do anything, you must start with this panel.

To turn the TVs and the room on, simply touch anywhere on the screen.

The room will start to power up once you have tapped the screen.

The panel will look like this once the room is on and ready to be used. Down the left side of the panel are the sources. This is the section where you pick what you want to share to the TVs. If you are doing something on the Room PC, tap the Source Button "Room PC."

The second source on the list is the Cynap. This allows you to wirelessly connect and share content from a portable device such as a laptop, iPad and phone. To do this, you MUST be connected to the Motlow Internet. You cannot be connected to guest. Sharing from a Apple Product- You will want to find the Screen Mirroring option. Once you click it, it will bring up a list. Pick "Ingram 110 Cynap" It will ask for a pairing code, the code will be listed on the TV. It will be a 4 digit code. Sharing from a Windows PC- If you press and hold the Windows key + K it will bring up a sharing screen. Find "Ingram 110 Cynap" and connect to it. It will then ask for a pairing code. The code will be displayed on the TV. Once you are done sharing your screen, go back to the mirror options that you first went to, and "Stop Mirroring

This code changes. This is only showing you where the code will be located to join wirelessly. When the system detects a source wanting to join, it will make the code bigger in the middle of the screen. On the right of the screen, it has scrolling instructions for multiple devices. If you are not sure how to join, this will tell you how.

The Laptop source allows you to plug in an HDMI cable. If you don't want to use the wireless share, plug the HDMI cable in and it will automatically share your screen when this source is selected. Macs- You will have to go into the settings and change your display share options. You will have to set the TVs to mirror instead of extend.

Plug in this HDMI to share your laptop screen. There is also an Ethernet cable to connect to the Motlow internet.

You can host a Zoom meeting from your own laptop and use the cameras and microphone in the room! To do this, plug in the HDMI and USB C cable pictured here. Open Zoom (or other conferencing app such as Teams) on your laptop and join your meeting (This bypasses the Zoom iPad on the table). You will need to go into your Zoom settings and select the right microphone and camera.

When you go into your Zoom settings, the microphone you need to select is NV-21 Laptop Sound Card. The speaker you need will be the NV-21-HU. This will now use the microphone, speakers and cameras in the room!

There is a Bluray player in the cabinet! If you need to share a DVD/Bluray, this is the source you need! You do not need a remote. All of the controls can be used on the touch panel.

To operate the room as a Zoom room, tap the Zoom source button. If you are hosting the meeting from this room, move over to the iPad and hit the Orange "New Meeting" button. This will officially start the Zoom meeting in the room. Once you have started the meeting, to share content, hit the green "Share" button. It will open a secondary screen asking what you want to share. Tap the PC button. This doesn't mean you are sharing the actual PC. That is how everything is routed. If you want to share the room PC to the meeting, move back over to the touch panel and select the "Room PC" button in the ZoomRooms box in the middle of the screen. If you want to share wirelessly to the meeting, select the "Cynap" button in the ZoomRooms box. It will be the same steps as above. Macs will find the "Screen Mirror" option. Windows PCs will press and hold Windows key + K. You will pick "Ingram 110 Cynap" from the list and enter the code that comes up on the screen. If you want to share your laptop, plug the HDMI cable into your laptop and tap the "Laptop" button in the ZoomRooms Box that is located in the middle of the touch panel.

This is what you will see on the Zoom iPad. If you need to join a meeting, you can tap the join button and enter in the meeting ID. You can join a Teams, Google Meet or Webex meeting, but you *cannot* host a non Zoom meeting from the Zoom room. If you sent the Zoom Room link to others, to start that meeting, tap the Orange "New Meeting" button.

This room has a link that will not change. When you are setting up meetings, you can email others this link. When the time comes, start the Zoom Meeting with the Orange "New Meeting" button. Hit the participants button and allow people into the room. To find the meeting ID, tap the green shield in the top left corner. It will open up a secondary screen.

Once you are in a meeting, here is what the iPad will look like. You can mute the audio and video. There is a switch camera button. The camera control button is not needed. You will control the camera on the original touch pad. To let others into the meeting, tap the "Participants" button. It will bring up a list of who is in the meeting and who is waiting to be let in.

When you tap the "Switch Camera" button, this is the screen that will come up. Here you can pick the camera you want. The QSYS Core Nano is the camera in the front facing to the back. This is the camera that will be used the most.

When the Zoom meeting is done, click "End," it will pop up with another screen. Pick the option to end the meeting for everyone.

The only use for the iPad is starting or joining a meeting,turning on and off the mic and video feed, allowing participants to join and changing what camera you would like to use while in a Zoom Meeting. The iPad is strictly for Zoom. If you are using the room locally and have no need for Zoom, you can ignore the iPad.

The microphone in the room is VERY good. If you have something that doesn't need to be heard, please mute the microphone.

To get to the settings page, at the bottom of the touch panel, tap "Settings."

This is what the settings page looks like. You can power down the system, the TVs or reboot the Cynap if needed. You *Shouldn't* need this page, but its here just in case.

The "Camera Controls" button at the bottom will bring up the camera controls. The cameras are only used for Zoom. While in a Zoom meeting, on the iPad, select what camera you want. If you need to zoom in or out, move the camera up or down, all of that will be done on this touch panel. Each camera has its own control.

The final button at the bottom is the "Help" button. This is the page where you can call for help! You can select your issue, confirm it, and it will send a support ticket directly to the Help Desk!

To mute your mic in Zoom, you can either do it on the iPad or by hitting this icon on the Touch Panel. There is also a microphone icon on the top right next to the power button. When you tap one, both of them will react.

The mic icon will have a green box around it when it is muted.

If you have something on the screen and you don't want others to see what you are browsing to on your computer, you can tap the "Picture Freeze" button. It will hold the image that is currently on the screen until you press it again.

If the button is red, that means that the image is currently frozen. If you tap it again, it will go back green and that means that you are live again!

To turn the room off, click the power button in the top right of the touch panel. It will bring up a confirmation screen, tap yes. It will start to power the TVs and touch panel down.
