Managing Program Settings

This guide provides essential instructions for managing program settings in Noteable, ensuring that users can customize their programs effectively. By following the steps outlined, users can adjust program names, abbreviations, and descriptions. Additionally, it covers important features like note entry settings and event reminders, making it a valuable resource for ensuring the foundation of the program is setup as needed.

Click "Administration"

Click the Checkbox next to the program you'd like to manage settings for.

Select the Edit Pencil.

Edit text in the "Name" field if you need to adjust the name of the Program itself.

Edit text in the "Abbreviation" field if you need to adjust the abbreviation of the Program. This is the abbreviation that will appear next to Client Names as an indicator of which program(s) they are placed in.

Edit text in the "Description" field if you need to adjust the details of the program and services provided.

"Show Unapproved Documents to All Assigned Users" determines when notes and reports are visible to ALL staff assigned to a client chart. When this is set to **Yes** it will show notes and reports as soon as they are submitted. They will NOT need to be finalized first. When this is set to **No** it will only show notes and reports once they have received final approval. Prior to this they will ONLY show for the original author and approvers.

"Allow Selection of Alternative Versions of Reports" will allow for reports to contain more than one version of itself under one tab when set to **Yes**. Ex. You may want a report with an English and Spanish version available.

"The Program Supports ABA Data Collection" determines whether a program will allow for data collection. When this is set to **Yes** it will enable data collection for this specific program. When this is set to **No** data collection will remain disabled. **Note: If you are not providing ABA at all across your agency this will not show as an option under Program Settings.**

"Note Minute Increment" determines the time increments that can be entered for case notes. Ex. "One Minute" would allow for notes to be entered with durations such as 9:07am - 10:54am where as "Five Minute" would allow for notes to be entered with durations such as 9:05am - 10:55am.

"Block Overlapping Notes" determines whether staff can enter a case note covering the same duration of time on more than one client chart. When this is set to **Yes** the same staff member would be BLOCKED from entering a note for 10am-3pm on Client A *and* Client B's chart for the same day. When this is set to **No** it will allow the same staff member to enter a note for 10am-3pm on Client A *and* Client B's chart for the same day. **Note: This would need to be set to NO if this is for a program that is supporting Group Notes.**

"Include Objectives on Notes" determines whether Goals and Objectives are included as option to be associated to Goal Cards and Case Notes. When this is set to **Yes** client charts will support client Goals and Objectives. Respectively, Goals and Objectives can both be selected and pulled onto case notes. *Goal A* *Objective A.1, Objective A.2, Objective A.3* *Goal B* *Objective B.1, Objective B.2* When this is set to **No** client charts will only support client Goals. Respectively, Goals alone can be selected and pulled onto case notes. *Goal A* *Goal B* *Goal C*

"Require Current Authorizations with Units for Note Entry" allows the system to check the client's Funding Card before allowing billable note entry When this is set to **Yes** billable case notes will ONLY be able to be entered if the note is within the authorization period determined on the client's Funding Card AND the service being entered for has units available. When this is set to **No,** while the Funding Card can still provide utilization information, if a note is entered outside of an authorization date range OR for a service that does not have units left it will still be allowed.

"Enable Event Reminders via Portal" determines whether you'd like the option to text out reminder to Treatment Team members for upcoming sessions with a client. **Note: In Noteable Treatment Team refers to the individuals listed on the client's Treatment Team card. This typically includes but is not limited to; Parents, Legal Guardians, Care Coordination Contacts, etc.**

When "Enable Event Reminders via Portal" is set to **Yes** there will be three customized options of when you'd like the option to send the text reminder to Treatment Team members for sessions.

If you'd like to change the default options select the "x" next to the option you'd like to replace.

Enter your preferred Event Reminder time in the field highlighted below.

Select the appropriate time setting (Day or Hour)

Click "Add"

You should now see the new Event Reminder time option in the list.

Once all Program Settings are set as needed, select Save.
