Merge Duplicated Candidate Profile

This guide provides a step-by-step process for merging duplicated candidate profile in Hyggio, ensuring a streamlined and efficient management of candidate data. Follow these steps to remove duplicate profiles and keep your candidate data accurate and consistent. Note: This feature will be available in the next release, planned for the second part of March 2026.

**Note**: The [[Merge profiles]] functionality is sensitive and should be used only by trained users.

The [[Merge profiles]] action consists of three stages: 1. **Choose profile** – where the user selects two profiles to be merged into one. 2. **Resolve values** – where the user decides which Personal and Contact data values are up to date. 3. **Confirm & Merge** – where the user reviews the summary of the new merged profile and confirms the action. **Note:** during the [[Merge profiles]] process, users can view only the basic information from the records.\ Other data stored in the record cards will be merged automatically — the most recent values become the default one, while previous values remain available in the version history.\ Engagement o the records will also be merged automatically.

Stage 1 - Choose profiles

You can start the [[Merge profiles]] in two ways.

**Option 1: From the candidates list perspective**\ Open the menu for the candidate you want to merge.

Click "Merge profiles".

The system opens **Stage 1** of the merge\ Select the second profile you want to merge with.

The system automatically suggests potential duplicates. \ If the system doesn’t recognize a duplicate, you can search for the correct profile.

The system displays both profiles side by side, showing personal details and the engagement panel. Review both profiles to confirm they refer to the same person by comparing details.\ To make the comparison easier, matching fields are highlighted and differences are shown in grey.

If you are sure, click "Next"

**Option 2: From a profile perspective**\ When a potential duplicate is detected, the system displays a Potential duplicate profile label in the candidate’s profile. The system displays the same comparison view as in **Stage 1** of the Option 1 [link](https://scribehow.com/viewer/Merge_Candidate_Profiles_in_Hyggio__g-wqY6NbR8StUXmkihgyiw?scrollToActionId=57609122) Review both profiles to confirm they refer to the same person by comparing details.\ To make the comparison easier, matching fields are highlighted and differences are shown in grey.

Review both profiles. If they refer to the same person, click "Merge profiles".

**To prevent mistakes,** the system automatically blocks merging when profiles do not share a sufficient number of matching values.\ The conditions for merging two profiles are: - At least the same first name - And two of the following values must match: - Surname - *If both profiles have a surname filled in and they differ from each other, the system will not allow proceeding further.* - Date of birth - Phone number - Email address

If the records do not meet the merge conditions (described above), the system displays an error message and does not allow you to proceed.

Stage 2 - Resolve values

After clicking "Next: (Option 1) or "Merge profiles" (Option 2), the system opens **Stage 2.**

The system lists all Personal and Contact data fields that differ between the profiles.\ \ At this stage, the user decides which value is the most up-to-date.\ By default, the system selects “Latest value”, meaning the most recently updated data.

If another value is correct, change it manually.

If none of the values is accurate, select the Custom value option and enter the correct information.

When all differences are resolved, click "Next" to continue.

Stage 3 - Confirm & Merge

After clicking "Next" in Stage 2, the system opens **Stage 3**. In this stage, review the summary of the merged profile and confirm all selected data.

The system also displays information about how other data (included in candidate's or patient's cards) will be merged.

**Action [[Merge profiles]] cannot be undone.** \ Make sure that both profiles belong to the same person before confirming the merge.

To proceed, check the confirmation box to acknowledge this

Click "Merge"

The system confirms a successful merge and shows a message allowing you to open the new profile or return to the previous page.

The new profile now contains all selected Personal and Contact values, as well as other related data merged according to the defined approach.
