Posts Tab in Admin Portal

In the Posts tab, you can manage posts under each heading in the Resident Portal, providing structured content that keeps your community informed on announcements and events. Residents can subscribe for notifications, and each post features a QR code for easy access. This guide will show you how to add, edit, activate, deactivate, and export your posts, ensuring residents have access to the latest information efficiently.

How to Navigate to the Posts Tab

Navigate to [https://civify.io/portal/public/admin/dashboard](https://constructionsitetech.com/portal/public/admin/dashboard)

Click "Posts"

Depending on your account subscription, you will be limited to a number of active cards for both projects and posts combined.

How to Filter Posts by Heading Name

Easily find posts by filtering them based on their Heading Name.

Click the Heading filter dropdown.

Select the Heading Name you want to filter by.

The table will reload, showing the filtered results by heading name.

How to Add a Post

Create new posts to share important updates and information under specific Headings.

Click "Add Post"

Enter the post title. This will appear on the post card (Resident Portal Home Page) and on the post page banner. (Required field)

Title field has a limit of 60 characters.

Enter the post subtitle. This will appear below the title on the post card (Resident Portal Home Page) and on the post page banner. (Optional field)

Subtitle field has a limit of 60 characters.

Enter the post summary. It will appear below the title or subtitle (if present) on the post card (Resident Portal Home Page) to give the community an overview of the post. (Required field)

Summary field has a limit of 140 characters.

Select the heading under which this post will be displayed on the Resident Portal. (Required selection)

Select the team members you want to give access to manage this post. These are users within your organization who have an admin portal account. If not selected, they will not see the post or be able to contribute. (Optional selection)

Click the description field to start adding post information. This is a versatile text editor where you can craft the entire post. You can add text, images, videos, lists, tables, links, and more using HTML. The full content of the post page on the Resident Portal will be built from this field. (Required field)

This is where your community is going to get a bulk of their information. Really spend some time making sure this is fully filled out with information for the public to see.

Select an end date. This date is not visible to the public and is used by the system to automatically hide the post card and post page. You can edit this date as needed.

When the end date is reached, the post will auto-deactivate. After 90 days in inactive status, it will be auto-exported and deleted. An email will notify the organization admin of the deletion, providing a link to download the exported post. Once the post is auto-exported and deleted, it cannot be recovered.

Choose an image for the post card. This is the image that will be displayed on the post card (Resident Portal Home Page).

You can only upload images that are less than 1MB and must be in PNG, JPEG, or JPG format.

Click "Active" or "Inactive" if you're not ready to show the post on the Resident Portal.

Click "Submit"

To view the new post you've added, go to your Resident Portal, click 'More,' and click the heading to which your new post belongs.

After clicking the heading, you will be scrolled down to that section, where you will see your post card with the image, title, subtitle, and summary you entered. Click 'READ MORE' to view the post page and its contents.

After clicking 'READ MORE,' you will see the content you created in the description field occupy most of the post page space.

This is where your community can subscribe to receive notifications about the posts!

How to Edit a Post

Update existing posts to ensure your content stays relevant and accurate.

Click on the action menu button.

Click "Edit"

Edit the fields you want to modify.

Remember: - Title field has a limit of 60 characters. - Subtitle field has a limit of 60 characters. - Summary field has a limit of 140 characters. - You can only upload images that are less than 1MB and must be in PNG, JPEG, or JPG format.

You can remove access for deselected team members.

Improve or redo your post page content.

When you're done, click "Submit"

To view the edited post, go to your Resident Portal, click "More" and select the heading to which your edited post belongs.

After clicking the heading, you will be scrolled down to that section, where you will see your post card with the new image, title, subtitle, or summary you have modified. Click 'READ MORE' to view the post page and its contents.

After clicking 'READ MORE,' you will see the content you have modified.

How to Deactivate a Post

Deactivate or hide posts that are no longer needed, keeping your content organized.

Click on the action menu button.

Click 'Inactive' to deactivate the post. This will change its status from 'Active' to 'Inactive' and hide the post card and post page on the Resident Portal.

To view the changes, go to your Resident Portal, click "More", and click the heading to which your deactivated post belongs.

The deactivated post will no longer be visible, and the post page will no longer be accessible.

How to Activate a Post

Re-enable a deactivated post to make your content accessible again.

Click on the action menu button.

Click 'Active' to activate the post again. This will change its status from 'Inactive' to 'Active' and display the post card and post page again on the Resident Portal.

To view the changes, go to your Resident Portal, click "More", and click the heading to which your activated post belongs.

The activated post card will no be visible again. Click "READ MORE" to access the post page.

The post page will now be accessible again.

How to Export a Post

Export your posts to keep a backup or analyze your data. The exported zip file will include a folder containing the post image and an excel file with all post details, all currently subscribed residents, and all SMS, automated calls, and emails sent to residents.

Click on the action menu button.

Click "Export Post"

Check your browser downloads or your computer's download folder for the export file.

How to Generate a New QR Code

Create a new QR code to quickly link to specific posts outside the platform.

Click on the action menu button.

Click "Generate QR Code"

A newly generated QR code will replace the old one in the QR code column. Scan this code to be redirected to the post page. QR codes are automatically created each time a post is added or edited. You can place this QR code on mailers, social media, and other platforms to help residents access the post directly.

How to Delete a Post

Permanently remove posts to streamline your content management.

Click on the action menu button.

Click "Delete"

Be sure to export the post before you delete it. Once it is deleted, it can not be recovered.

Type "DELETE" and click "Delete"

A confirmation message will appear at the top of the page indicating that the deletion was successful.
