Downloading Dashboards

If you want to download an entire dashboard, select the "Dashboard Actions" icon, represented by three vertical dots located near the top-right of the page.

The "Dashboard Actions" menu reveals a few options, including the ability to "Download". To download an entire dashboard (not just one chart), select this option.

A pop-up window will provide additional options for your download.

You can choose the format for your download. When downloading an entire dashboard, the only format options are PDF and CSV.

The PDF option will produce a PDF document that identifies the dashboard title and filter selections and includes the visual display from the charts. The CSV option will provide a zip file containing a separate CSV file for each data element on the dashboard. For example, if the dashboard contains a tile that identifies the Affiliation (i.e., client name) and a table containing some data fields, you will get a CSV file containing the Affiliation and a separate CSV file containing the data from the table.

You can also choose the paper size for your download. The default setting is "Fit Page to Dashboard".

It is highly recommended that you use the "Fit Page to Dashboard" paper size option. This results in a nicely formatted PDF document that displays everything in a user-friendly, easily readable format. If you need to download a PDF specifically in order to print it, you may need to choose one of the other paper size options. Please note, this may result in unintended formatting issues.

You can also select an option to "Expand tables to show all rows" and an option to "Arrange dashboard tiles in a single column"

The option to "Expand tables to show all rows" is recommended if the dashboard contains one or more tables that include multiple rows of data, specifically when not all the rows are displayed within the table. For example, if a table contains data on 1500 members but only 500 are displayed within the dashboard view, you will want to choose the option to expand the table to show all rows. Also, if you see that you must scroll through a table in order to view all the rows of data, you would need to select the option to expand the table to show all rows.

After making your selections, you can open the PDF download in your browser or simply download it.

The Analytics Tool will open a new window that will display the steps required to process the download.

When The Analytics Tool has finished processing the download, the file will download using your browser's normal download procedure. The Analytics Tool will also display a message stating the download is completed. It will identify the file name used for the download to make it easier for you to find the download in the location where your browser typically downloads files.

Downloading Data from Individual Charts

If you want to download data from a specific chart, you will need to use a "Tile Actions" icon instead of the "Dashboard Actions" icon that was explained above. These symbols each consist of three vertical dots, but the "Tile Actions" is placed at the top-right corner of each individual chart or tile.

To download data from a specific chart, select the three vertical dots in the top-right of that chart. This serves as the "Tile Actions" button.

The "Dashboard Actions" menu provides several options, including the option to download data.

A pop-up window will provide additional options related to downloading data from the chart. If you wish to download a PNG image of the chart, you can click "Download" without choosing any other options. However, if you wish to download data in another format, such as Excel or CSV, click the "Format" menu.

You will see a list of possible formats for your download. For this example, we will choose CSV.

You can now click "Advanced Data Options" to view additional options for your download.

The window displays various options for your download, including how to format the Results, how to format the Data Values, and the number of rows to include.

In the "Results" section, you can choose to format the chart "with visualization options applied". If you hover your mouse over the "i" (i.e., information) symbol beside that selection, The Analytics Tool will display additional details about the selection.

It is recommended to always select "with visualization options applied" when you download data.

You can also choose whether the data should be formatted or unformatted. Formatted data will include any rounding that has occurred (which is implemented if decimals are not displayed), and it will include special characters such as the currency symbol (i.e., $).

You can also choose how many rows of data should be included in the download. If you are downloading data from a small table where you can see all the rows of data within the chart, it is usually fine to choose "Current result table".

If the chart or table contains many rows of data, some of which may not be visible on the dashboard, you can choose to download "All results". However, if there is a large amount of data associated with the chart, The Analytics Tool may warn you that choosing "All results" is not the best option.

Some charts on The Analytics Tool disable the "All Results" download option by default. This is intentionally done to avoid issues like the one demonstrated in the previous example. If you wish to download data from a chart containing numerous rows of data, please use the "Custom" option in order to ensure you receive all necessary data.

When deciding how many rows of data to include in your download, choosing the "Custom" selection is often the best solution. By default, this selection is set on 5000 rows of data. In most cases, this will include more than the total rows in the table, and therefore will ensure you capture all the data associated with the chart.

When you are finished with your download selections, you can choose to open the data in your browser or simply download the file. For best output, it is recommended to choose "Download"

The file will download using your browsers normal download procedure. If you are downloading a file containing a large amount of data, it may take several minutes while The Analytics Tool processes the data for your download.
