Welcome to the [**CCR Validation**](https://drive.google.com/file/d/1lJJrFUfd8aFxUhbT1gNU9HQfclh6PBJ7/view) tutorial! Here we'll walk you through each step to validate student positions in UCSD's Co-Curricular Record (CCR).

We’ll go over several key areas, including:

1. The role of a validator
2. How to access and navigate the validation system
3. The process for adding and approving student positions
4. and available resources to assist you in validation

If you’re a new validator, there are a few things to keep in mind:

First, the validation process is essential to ensure accuracy and integrity in student records, and is required for a position to be included on a student's [**CCR Transcript**](https://elt.ucsd.edu/record/index.html).

As a validator, you should only validate students for your position(s) after they successfully meet the 30-hour engagement requirement within one academic year.

Second, familiarize yourself with the suggested [**Validation Timeline**](https://elt.ucsd.edu/ccr/ccr-validators.html#Suggested-Validation-Timeline) for each quarter. Use the linked resources on this section of our Faculty & Staff Validator page to easily personalize your plan.

Third, adapt one of our [**Outreach Templates**](https://elt.ucsd.edu/ccr/ccr-validators.html#Promote-Your-CCR-Opportunity) to inform student participants that their position is approved on the CCR, with instructions on how to add it to their record.

You should also share which competencies students will develop, when they can expect to be validated, and if they need to track their 30-hours of engagement in a specific format.

To begin validation, log into the [**CCR Portal**](https://myccr.ucsd.edu/myAccount/myrecord.htm) under the Faculty/Staff dropdown using your Active Directory SSO credentials.

Once logged in, navigate to the '**Co-Curricular Module**'.

Under the "**Pending**" tab you should see any students that have requested your validation.

Check the boxes for students you'd like to Approve or Decline, then click the "**Action**" dropdown menu.

Click "**Approve with Email**" for students that have completed the 30-hour engagement requirement, which finalizes validation and sends them an automated message about their approved position.

Click "**Decline with Email**" for students that did not meet the 30-hour engagement requirement, which removes the request from your "Pending" tab and sends the student an automated message about their declined validation. Please note that the CCR Admin Team defers to validator judgment for all validation decisions.

You can also add students to position(s) and validate them at the same time, by following these steps. Click the tab for **'Validator for the Following Activities'**, and the specific position you'd like to manage.

Click the **three-dot button** in the lower right of your screen.

Select **'Add Position to Student Record'**.

You can add student participants one-by-one by searching their name in the upper "**User Look-Up**" field.

You can mass enroll student participants by entering a list of PIDs in the lower "**User to add**" field (must be on separate lines).

Select whether you'd like to automatically **Approve** student participation by adding them (thus allowing the position to appear on their transcript), or if you'd like the status to remain **Pending** for you to approve once the 30-hour engagement requirement has been met.

Remember to select the right toggle to "**Email newly added student participants**" before clicking "**Add**" so participants are informed of their position status.
