How to Upload Student Data Using the Form Builder

Some schools may have a smaller number of students and find it easier to use the Form Builder to create a CSV file within the portal itself. This Tutorial will walk you through that.

Laregents

Navigate to [https://ec.apps.laregents.edu/](https://ec.apps.laregents.edu/)

Fill out your log-in information. See the [Portal Guide Tutorial](https://scribehow.com/viewer/LWVSL_Data_Portal_Guide__NPEG5fQBT0uSB4mDB40o_Q) for directions if you need help to register or forgot your Password.

Click "Log In"

If not taken to your institution list, click "Select Institution". Remember you might only have one institution to submit data for! This varies by school.

Select the institution for which you want to upload data.

You will then select the correct system. There should only be one system per institution. We are using the "Proprietary Institution Data Collection" for this example. There are slight differences in the data fields between systems, but the upload process is the same.

Select "Create CSV file Online"

A form builder will appear that you can enter the same data that is collected via CSV files. Enter in the data for each student, then hit "Add Student".

If there is required data that is incorrect or missing you will get an Error! message. Click "OK" so that you can go back to the form.

You will need to go back and make sure you have added or corrected that data for that student and hit "Add Student" again.

If there is something wrong with your data, but it's not a critical error, a warning message will show above your data if there is a warning issue.

You can edit this data to make the necessary corrections. Just click "Edit" next to the student.

In this case there is an issue with the CIP code.

Once the correction is made you can click "Add Student" again.

Once corrected the student's info will be listed without any error message.

When you have added the correct data for you last student and you see that data in a row on the screen, you click "Create CSV and Submit!"

You will see a submission summary that tells you how many student records you submitted and you will be given the opportunity to down a copy of the CSV file, which you should absolutely do!!

Alert! If you have uploaded or added multiple files, or used the form builder multiple times it is important to remember that the listed records is ***not*** cumulative. The last number is the number of records that you uploaded.

In this case, the last record that was uploaded is the only record that would be pulled over into the final database. So this school only uploaded 1 record.

If you meant to add multiple students, just combine the files into 1 and upload the correct file.

Your congratulations message should now list the correct number of records that you want to have imported into the database.

Again you will see that number as the final number in your list.

Once you are done, you can Logout. Until next year!
