**This guide will show Learning Partners how to create and edit blended courses**. Blended courses are flexible, multi-modal trainings that combine scheduled, instructor-led training (ILT) or webinars with digital, on-demand components like videos, documents, or self-paced learning modules.

Navigate to your Workday homepage.

Hover over "Learning Management" in the navigation bar. Click on "Learning Admin".

Click the "Create Blended Course" field.

Click the "Course Title" field and type in a unique and descriptive title for your course.

Skill Level is an optional field. Select the appropriate skill level from the drop-down menu to indicate the proficiency or difficulty of a course, helping learners identify if content matches their current capabilities or development goals.

Click the "Description" field and write a clear, but brief summary of the course.

Click the "Topics" field and choose an appropriate designation. You may have more than one topic for your course.

The following fields are optional: "Security Category" will restrict access to your course to only those with that Workday security role. "Skills" will tag the course and will be beneficial for browsing. Select "Language" to display this course when learners browse the learning catalog in those specific languages.

Click "Exclude from Recommendations" when you want to hide this course from the automated "Suggested for You" content area on the learner's dashboard.

Click "Exclude from Search and Browse" when you want to hide this course from the general learning catalog, preventing learners from finding it via searches or browsing. When this is chosen, learners must be enrolled directly or have the course assigned to them.

Select "Inactive" to deactivate the course. To remove access from the learning catalog, also select "Exclude from Recommendations" and "Exclude from Search and Browse". This is generally done when a training is no longer needed; however, you can also mark it "Inactive" if you are still working on creating the course and do not want to make it available in the catalog.

Select "Disable Express Interest" to prevent learners from signaling demand for a course that currently does not have any available sessions or to be notified of future offerings. The course will be open for enrollment once an actual offering is scheduled.

Select the date that this version of the course is active. Select a future date to postpone availability for scheduling course offerings.

Click the "Contacts" field and type in the name of the person that will manage or be able to answer questions about the learning. This IS a required field.

Click the field for "Time Value" and choose the appropriate unit of time for someone to complete the course. This IS a required field.

Enter a numeric value to help learners estimate how long it will take a learner to complete the course. This IS a required field.

Select "Enable Auto-Enrollment from the Waitlist" box to automatically enroll learners from a waitlist when a space in a course offering becomes available. Ensure that you also set the Waitlist Capacity field.

Learning Partners have access in their Workday Drive to a folder titled "Cover Images". These lockups meet size specifications and clearly identify the department that has created the course. You can download your lockup and then select or drop the file in the section titled "Cover Image". *(Save the file to avoid downloading again in the future.)* You are required to use one of these approved cover images to maintain consistency. If you do not see your department's lockup in the folder, contact[askHR@wm.edu](mailto:askHR@wm.edu) to request that it be added. To access your Drive folder, click on your profile image and then click "Drive".

Scroll back to the top of the page to add a cover image. Click "Select files" and choose the image that you downloaded from the shared Workday Drive folder. The requirements for cover images are: - Recommended pixel size: 1427x803 - Maximum file size: 10,240 KB - Aspect ratio: 16:9

Click "OK" after verifying that the cover image is correct and fits.

Complete the following fields: - **Minimum Enrollment Capacity (Optional):** Enter the minimum number of learners who can enroll in the course. The course will not be automatically cancelled if the minimum is not met, but can be used for reporting purposes. - **Maximum Enrollment Capacity:** The maximum number of learners who can enroll in a course offering. - **Waitlist Capacity:** Enter a number greater than zero to configure a waitlist for the course. - **Unlimited Capacity:** Check this box to indicate that there is no limit on the number of learners that can enroll in a course offering.

"Versioning" is generally used when editing or updating a course, not creating a course.

Expiration Rules defines when completed training content becomes invalid, requiring learners to retrain to remain in compliance. The "Retrain Window" triggers retraining content to display on the "Required for You" slider within the defined window. To specify the time period for a retrain window, enter a number in the "Retrain Window Value" field and select a unit of time from the "Weeks/Months Before Expiration" prompt.

Select an expiry period that applies to enrollments for this course. Workday will automatically adjust the expiry period of the course if you apply additional rules in the grids below. **Expiry Period Definitions:** - Date: specific date a course will expire. - Duration: defines how long the course remains valid after a learner completes it. *Example - Training is valid for one year after completion.* - Recurrence Frequency: this setting specifies how often learners must re-enroll or retake the course. *Example - Mandatory annual compliance.*

"Advanced Learning Expiration Rules for Workers" is used to create a expiration rule that will apply only to a certain group of workers.

W&M is not using extended enterprise workers in Workday.

The following fields are not required: - "Units" can be used to specify continuing education credits associated with the course. - "Cost" is used to manage course pricing and ensuring transparency for learners regarding course cost. Do not use this if there is no fee for the course. - Under "Competencies" you can select any competencies that related to the course. Workday tags the course and course offerings with selected competencies. This could be beneficial for performance management learning.

Scroll down the page and view the "Lesson Details" section. This section can be left blank and filled in later when you schedule course offerings. Completing this section will allow only the listed instructors, assessors, and locations to be used when course offering are created.

Select "Enforce Lesson Order" to apply the order number sequence defined in the lesson order. When selected, learners can't access self-directed mandatory lessons until they complete the previous required content. To enforce lesson order, you must have at least 2 mandatory lessons, with one of them being self-directed.

Scroll down the page and click "Add Lesson"

Select the type of lesson from the drop-down menu. - Acknowledgement: a statement that learners will acknowledge to show understanding or compliance - External Content: enter the URL of external content or existing lessons - In-Person Classroom (Instructor Led): training led by an instructor in a physical location - Media: videos, packaged content - Survey: feedback tool designed to collect input from learners about the course experience, content quality, and identify areas for improvement. **NOTE: Learning Partners do not have access to create a survey and will need to rely on the generic surveys provided. It is recommended that you create your own form and attach as external content.** - Training Activity: hands-on training activity that occurs in an in-person classroom setting where learners practice skills, complete exercises, or demonstrate competencies under guidance - Virtual Classroom (Instructor Led): live online training led by an instructor

If you are including an "Acknowledgements" section, complete the following fields: - **Lesson Order:** Enter a number to specify where the lesson occurs in the course (important if enforcing lesson order) - **Make Lesson Mandatory:** Clear the checkbox if the lesson is optional - **Title:** Provide a clear title - **Acknowledgment Statement:** Add wording for an acknowledgement statement - **Acknowledgement Statement Checkbox:** Enter an acknowledgement phrase, such as "I acknowledge"

For "External Content" complete the following fields: - **Lesson Order:** Enter a number to specify where this lesson occurs in the course (especially important if enforcing lesson order) - **Make Lesson Mandatory:** Clear checkbox if lesson is optional - **Content URL:** Enter URL of external content or existing lessons - **Title:** Have a clear and descriptive title - **Description:** Provide a summary of the external content

For "Instructor Led" (Virtual and In Person sections): - **Lesson Order**: Enter a number to specify where this lesson occurs in the course (especially important if enforcing lesson order) - **Make Lesson Mandatory:** Clear checkbox if lesson is optional - **Title:** Provide a clear and descriptive title - **Track Attendance/Track Grades:** Keep these boxes checked to ensure completion or credit is awarded for the course - **Grading Scheme:** Pass/Fail is the only option - **Description:** Describe the class purpose, list key topics, indicate materials learners need to bring, and note any prerequisites or preparation requirements

For "Media": - **Lesson Order:** Enter a number to specify where this lesson occurs in the course (especially if enforcing lesson order) - **Make Lesson Mandatory:** Clear the checkbox if the lesson is optional - **Media Lesson Title:** Provide a clear and descriptive title - **Description:** Provide a clear summary of the media content - **Media:** Drop a file or select one from your computer or Workday Drive

For "Training Activity": - **Lesson Order:** Enter a number to specify where this lesson occurs in the course (especially if enforcing lesson order) - **Make Lesson Mandatory:** Clear the checkbox if lesson is optional - **Lesson Title:** Provide a clear and descriptive title - **Training Materials:** Drop files or select from your computer. Training materials can consist of videos, PDFs, step-by-step guides, and other reference resources - **Track Attendance/Track Grades:** Keep these boxes checked for accurate completion and credit status - **Grading Scheme:** Pass/Fail is the only option - **Training Details:** Provide a detailed description of the hands-on component including purpose and objectives.

Click "Submit" to create the blended course

Edit a Blended Course

Hover over "Learning Management" in the navigation bar. Click on "Learning Admin".

Click the "search" field and enter the name of the course you want to edit

Verify that you are in "View as Admin" mode and then click "Edit". You will know that you are viewing as an admin if the blue button says "View as Learner".

In the "Edit Course" window, select "Update Current Version" option. Use this method for minor edits to course details where the content structure remains the same, such as fixing typos. Do NOT use this to add or remove lessons, as it can cause issues with existing scheduled offerings.

Select a current or future version to make targeted updates. This option is best suited when you need to modify a future version that is already created, but has not yet become "current". It is generally not recommended to add or remove lessons from a past version, as it breaks the history.

Use "Add New Version" when making significant changes to the course structure. This would include: adding, removing, or replacing lessons (e.g., swapping a SCORM package), or changing the overall structure. You must set an effective date for the new version and these changes will impact only future scheduled offerings.

Modify any necessary fields

In the "Custom Version Label" field create a clear and distinctive label when you create a new version of a blended course. For example, "v2.0", "Q3 2026 Update", etc. In the Version Notes box. Include detailed notes to describe what changed in this version.

Review all updates and click "Submit" to apply changes.
