Sync Centre

To access the 'Sync Centre', use the navigation menu and select this option from the list. Alternatively, there is a shortcut icon in the top right of the screen which will direct you to the same area.

The sync centre is split into three tabs, each of which should be used at the relevant point of the survey. **Core Data** allows you to download the core background data which includes all attributes and associated values, rates and survey templates from the linked Lifespan Housing account. This tab is also where you download the PCDF (product characteristics data file) which is required prior to collecting energy data. The core data will need to be downloaded before any survey data can be collected. NOTE: The core data will automatically download alongside the first download of address(es) to the device. This may need to be downloaded separately if changes are made to the Lifespan Housing survey design. **Download** enables you to download property data to your device. When downloading any address this also pulls through all existing data for the available modules on your device, so you have visibility of historic information while completing the new survey. **Upload** enables you to transfer the survey data collected via the mobile back to the associated Lifespan Housing account. This section should only be used once surveys have been completed. NOTE: The upload area will only display properties where changes have been made to the survey data stored on the device.

Core Data

Tap 'Core Data'.

Select the button to the right of 'Core Survey Data' to download. NOTE: If this step is missed, the core data will be automatically downloaded alongside the first address download to the device. Once downloaded the data will be stored to the device, it only needs to be re-downloaded if changes are made to the system design in the associated company web account.

Select the button to the right of 'RdSAP PCDF' to download. NOTE: If this step is missed, you will be notified when opening the energy survey that the download is required before updating the assessment data and be re-directed to this area. Once downloaded the data will be stored to the device, it only needs to be re-downloaded periodically, in line with changes made to the PCDF.

On download, confirmation is displayed at the bottom of the screen. NOTE: Do not leave the screen until confirmation is shown. If you return out of the sync centre part way through a download or upload, this will disrupt the connection and the data transfer will not be completed.

Download

Tap 'Download'.

There are two ways to download properties. The first is via the 'Search' tab which allows you to find one or more properties via the free text search bar near the top of the screen. The second is via the 'Survey Lists' tab which enables you to download a pre-defined list of addresses linked to your account. NOTE: Survey Lists are set-up via Lifespan Housing via the 'Mobile' import/export facility. Please refer to the Lifespan Web user manual for further details.

**Download: Search** Tap 'Search'. The search mode will be set to 'General search' by default, however this can be changed by tapping the filter icon to the right of the search bar. The list of options are either 'General search', 'Search by uprn', 'Search by address' or 'Search by postcode'. Tap the icon to switch between the search modes as required.

Tap into the search bar to bring up the pop-up keyboard and start typing in your search criteria.

Click the search icon beneath once finished to display all associated results.

All addresses relating to your search will be displayed on the main screen. You can hide the keyboard at anytime by tapping the down arrow at the bottom of the screen.

Tap 'Download' to the right of each address you want to download.

The text will change to show as 'To Download' once selected. Tap 'Download Selected' at the bottom of the screen to download all selected properties.

On download, confirmation is displayed to the right of each applicable address record and at the bottom of the screen. NOTE: Do not leave the screen until confirmation is shown. If you return out of the sync centre part way through a download or upload, this will disrupt the connection and the data transfer will not be completed.

**Download: Survey Lists** Tap 'Survey Lists'. All lists that have been set up against your user account will be displayed on the main screen. You can have multiple lists associated to your account, each should be downloaded only once and each has to be done individually. There is no limit to the number of properties on each list. The name of each list will be displayed, alongside the number of associated properties.

Tap the list you want to download and choose 'Yes' to confirm.

After using either the 'Search' or 'Survey Lists' options to download addresses, tap the back arrow in the top left of the screen and you will return to the main screen where your addresses will now be displayed.

Each property is displayed in tile format. This includes UPRN, address details and the main reference photo (if one has been defined in Lifespan). You can return to the sync centre at any point to download further properties. NOTE: Each address should only be downloaded once. At the point of download, this pulls through the address information alongside historic survey data. If a survey is completed and the same property is re-downloaded to the device, the information will be overwritten with the existing data set.

Upload

Tap 'Upload'.

The upload section will display all properties that have been modified on your device, these will be listed on the left. You can confirm what data has been collected by tapping on the address record.

The main screen displays all survey elements. Any item marked with a tick will be included in the upload once processing is complete. Ticked items are read-only in this section and are updated automatically according to the data collected during the survey. If you expect an item to be uploaded but it is not selected, please return to the survey input screen and verify that the required data has been entered. NOTE: The examples shown below may differ from what you see on screen. The available elements will vary based on your account settings and configuration.

Use the checkbox to the left of the relevant address(es) to mark them as ready for upload. Once all required addresses have been selected, tap 'Upload Selected' to begin the upload process.

Once the upload is complete, a confirmation message will appear at the bottom of the screen. All successfully uploaded addresses will be automatically removed from the upload area. Only properties with modified data will remain displayed in this section. NOTE: Do not leave the screen until confirmation is shown. If you return out of the sync centre part way through a download or upload, this will disrupt the connection and the data transfer will not be completed.

Tap the back arrow in the top left to return to your address list.

Successfully uploaded addresses will be removed from the upload list but will remain accessible within the address area. This allows you to review and update property information as required before choosing to remove the records from your device.

Sync History

The software maintains a record of all upload and download attempts. Tap 'Sync History' to view this information.

Records are organised by date and timestamp for easy reference. Select a record to review the associated details.

Activities are listed individually, with a tick or cross displayed alongside each item to indicate whether the upload or download was completed successfully.

Tap the back arrow in the top left to return to the sync centre.
