Navigate to [https://panatlantic.sugarondemand.com/#Contacts ](https://panatlantic.sugarondemand.com/#Contacts) Find the student you would like to create an invoice for.

Once you have opened the student contact- scroll down and create an opportunity by clicking on the +.

In the opportunity you will name the opportunity with the following format: GOH02425 Asta Kjaer Mathiesen August 10 month. Next add to the following fields: Program Fee: see LoA Additional Fee: see LoA- some we will add CBC and NY Orientation separately Additional Fee Description: note what the fee is. Likely: (program fee+additional fee) Invoice Status: New Opportunity Insurance Fee Paid to Vendor: Paid SEVIS Category: High School Bill to: partner Expected close date: 30 days After information is entered copy the opportunity name- you will need it to be the exact same in the next step. Save.

You are automatically directed back to the student contact. You will see your opportunity that you just created. Click on the opportunity to open it.

You are now going to create a Quote. Scroll down to Quotes and click on the +.

Paste the opportunity name in the quote subject.

You are now going to add your line items. Click on the + and then select quoted line item.

You will add a product name starting with HS- . You should use the format HS-August 25 10 month for the program fee line item. For your additional fees they should get their own line. Adjust the fee in the unit price field. Next you will need to put the name of the line items in the "description" field on the "show more" section. Save.

You have now created a quote and the quote is automatically sent to Quickbooks and the partner Google drive sheet. If you need to make a change to a quote after saving- you will need to email our accountant the change so she can make the adjustment in Quickbooks also. If you need to change the quote- you will need to manually "print" the adjusted quote and add it to the document mailbox for the system to send it to the partner's Google drive sheet.

To print a quote you should find it in the quotes module. You will select the small arrow to expose the drop down. You will then select Doc Merge to PDF You will then see the document window open and the progress of your merge. Once it is done it will say "document ready" You will click on the "document ready" text.

Your document will open and you will need to click on the filename URL. This action will prompt the PDF to download.

Your last step is to rename the downloaded PDF. Use the format INV-GOH00625 Save and add it to the document mailbox. You have now added the new invoice to the partner's Google drive sheet.
