Observer Application Review & Hiring

Go to the ONME interface homepage <https://airtable.com/appf2ohfCSPmFt6Dz/pagy8dlKjona1baBX> Navigate to 'All Observer Applicants' under 'Hiring' in the sidebar.

To find applications from specific counties, you can either scroll down to the county you're interested in the menu and use the arrow on the left to open the county menu. Alternatively, you can use County dropdown menu at the top of the page. \ \ Click into that menu and select the county (or counties!) you're interested in and only applicants from that county will be displayed.

Once you're in the county you're working on, you can see all of the applicants and their current status: - Yellow is 'Received' - meaning the application has come in, but no decisions have been made - Blue is 'To interview' - which is a status you can use if you haven't made a final determination, but you're moving an applicant forward to an interview - Green is 'Hired' - meaning that the decision has been made to hire this applicant - Red is 'Rejected' - meaning the decision has been made to not hire the applicant If you click on the applicant's name in the menu, it will open up information about the applicant including contact info, whether we have been able to confirm their voter registration, why they want to be an observer, and a place for you to write any notes you have about the applicant.

When you've made a determination about an applicant, you can update the 'Status'. Be careful with this step because changing an applicant's status to 'Hired' will automatically add them to the hired observer list. This step can only be undone by an administrator. If you changed an applicant's status to 'Hired' accidentally and need them removed from the observer list, please contact Brittany at [brittany@singlespacestrategies.com](mailto:brittany@singlespacestrategies.com) and she can help.

Once you've changed an observer applicant's status to 'Hired', they will show up under the Observer Contact Info interface under the 'Tracking & Contact Info' Menu

Here is the example observer applicant whose status was changed to 'Hired'

Viewing & Exporting Contact Info

Go to the ONME interface homepage <https://airtable.com/appf2ohfCSPmFt6Dz/pagy8dlKjona1baBX> Click into "Observer Contact Info" in the Tracking & Contact Info menu will bring up contact information for all hired observers

You can open the county dropdown to see all hired observers in that county

You can also search for a specific observer by typing the observer's name in the search bar

You only need to type in the first several letters, and any matching names will come up

The observer's contact information will come up in the menu or you can click on the name in the menu for a full contact page to appear.

You can also filter to a specific county using the county dropdown at the top

Open the dropdown menu and click the checkbox next to the county (or counties!) you want to view

You can also download a csv of all observer contact info by clicking on the three buttons on the top right of the menu

Click "Export data as CSV"

You can also use this interface to make updates to contact info. Be cautious with this step because it will change the contact information everywhere. Click in to any field to correct name, email, or phone number.

Recording Training RSVPs

Go to the ONME interface homepage <https://airtable.com/appf2ohfCSPmFt6Dz/pagy8dlKjona1baBX> Click into "Training Tracker" under "Tracking & Contact Info" menu\ \ This will bring up a menu that has currently scheduled trainings and the option to add a training.

If the training you're recording attendance for already exists, click 'Open'

This will open the training attendance tracking form. \ \ Here, you can add the location of the training, the counties that were trained, who the trainer(s) were, the attendees, and the date of training (if not already filled in)

Clicking "Add person" will open a dropdown menu where you can search for attendee names

When you find the attendee you want to add, click on their name

You can add as many attendees as you need to. Just keep clicking 'Add person'

If the training for which you're recording attendance isn't listed on the menu, you can add it in one of two ways. The first way is just to click the 'Add training' button at the end of the list

This will create a training record. Please give the training a name so that it can be easily identified by ONME staff.

You can then open the info form for the training you created and add the information described above.

Including training location, counties, trainer(s), attendees, and date.

The other way to add a training is to click the blue plus sign at the bottom right.

Click "Add training" and follow the steps outlined above. \ \ If you add a training in error and need it deleted, please contact Brittany at [brittany@singlespacestrategies.com](mailto:brittany@singlespacestrategies.com) and she can help.

Assigning Observers to Polling Locations (Early & Election Day)

The following outlines the steps for assigning observers to early voting polling locations, but the process is the same for Election Day, you'll just choose the "ED - Observer Assignment" menu instead of the "EV-Observer Assignment" menu.

Go to the ONME interface homepage <https://airtable.com/appf2ohfCSPmFt6Dz/pagy8dlKjona1baBX> Click "EV - Observer Assignment" in the "Observer Assignments" menu

And choose the county you're working in from the dropdown menu

To assign an observer to a particular polling place, click on the polling location which will open the assignment form.

There, you can click 'Add person' to bring up the observer menu

Click the name of the observer you'd like to assign to this location. A tip is to type the county name in the search bar at the top of the observer name menu to only see observers assigned in your county.

Once you've assigned an observer, you can record when they are planning on observing early voting. \ \ (you won't have to do this for Election Day, since everyone will be observing on the same day)

Use the dropdown to select the planned observation date

Then use the same procedure to assign an observer to a polling location

If you ever need to export all polling locations to a csv, you can click the three dots at the top

And click "Export data as CSV"

Viewing Observer Assignments

Go to the ONME interface homepage <https://airtable.com/appf2ohfCSPmFt6Dz/pagy8dlKjona1baBX> Once you have assigned an observer to a polling location, that assignment will show up in the observer's contact info page. To view this, click "Observer Contact Info" in the "Tracking & Contact Info" menu.

You can search for a specific observer using the search bar

When you click into the observer's info, you can see where (and whether!) they've been assigned.

You can also view assignments through a calendar view by clicking on "All Planned Observations" under the "Observer Assignments" menu This will bring up all the currently scheduled and assigned observations.

If you only want to see specific planned observations on the calendar, you can click "Filter" at the top right

Click 'Add condition' and then in the first box you can choose from a number of filters: - 'County' to see only assigned observations in one or more counties - 'Observation Type' which includes Early Voting as well as Poll Worker Training, Machine Certification, Absentee Ballot Processing, and County Canvass - 'Observer' to see all observations assigned to a single observer (you can also use this filter to see when YOU are scheduled to observe!)

The third box contains the options for each filter type. Select whichever one will be most useful to you.

You can also change how much time the calendar shows by clicking "Month"

And customize your calendar view to whatever works best for you

Click "Week"

Viewing Completed Observations

Go to the ONME interface homepage <https://airtable.com/appf2ohfCSPmFt6Dz/pagy8dlKjona1baBX> Click "Observation Completion Tracking" under the "Tracking & Contact Info" menu

You can either scroll to the county you're interested in and use the arrow to the left to view all completed observations in that county

OR you can filter the records to just the county you're working in by clicking "County" at the top

And choosing the county you'd like to focus on

Once you've opened a county menu, you can see all the observers that have completed an early voting observation and/or a county process observation (this will probably be mostly regional and county coordinators) You can click into a record for specific observers to see their contact information, when they completed their observation and where they were assigned.

Tracking Missing Early Vote Observations

Go to the ONME interface homepage <https://airtable.com/appf2ohfCSPmFt6Dz/pagy8dlKjona1baBX> Click "Missing Early Vote Observations" in the "Tracking & Contact Info" menu

Here, you'll see anyone who hasn't submitted an early vote observation and whose planned early vote observation date has passed. \ \ In the menu you'll see the observer's name, the date they were assigned to observe and the number of days since that date. One note on interpreting the number of days since the planned observation date - this number includes the current day. Observers won't show up in this interface until the number of days is two or more.

If you click into a specific observer's record, you'll see their contact information, and the early vote location they were assigned to observe.
