Creating and Editing Loaner Cards

Navigate to <https://banner9.rowan.edu/ords/r/bb_banner/summer-camp-cards-assignments/home?session=213339077755753>

You can either search in the search bar at the top of the screen for the card number you intend to issue to the student, or scroll down the list of available cards.

Click the pencil icon to the left of the card number you are issuing to the student.

You can SKIP the Group Name Field if it is blank. If not, you can delete whatever information is in this field.

Click on START DATE, and select today's date.

Use the calendar to select the accurate year, month, and day.

Click on END DATE and select an appropriate end date for the card to stop working. If this is a loaner card and the student has their ID in their room, you should make the end date the exact same date as today. They should go grab their ID and immediately return their loaner card. If they need it for a different amount of time based on circumstances, select the appropriate end date.

Click the DORM field and select the building from the drop down.

Click the "Room" field and select the room number the person needs access to. \*\*An update was recently added and multiple rooms can now be added to one card. This is important in cases where contractors or staff members are using the card. Unless a supervisor tells you differently, a student should only have ONE location added to their loaner card.

Select the room number.

But wait! Now this card has TWO rooms added to it!!

Click the X next to the room that was applied to the card the last time it was used. This removes that location from the access that the card has.

You can see here that only 1 room in the building is now on the card.

In locations where students also require card access to outside entry doors, applying access to a room on the loaner card automatically gives them access to the exterior entry doors. There is no need to do anything additional.

Click the "User Remarks" field and make a notation about why you are giving this card to them. Examples: Locked out, ID not working, lost ID card, etc.

Click "Apply Changes"

If the card was updated and saved, you will see a green banner at the top. The card can now be used. Please note, there is sometimes a delay in the access being applied from database to physical card. Wait a few minutes and have them try again if they report it is not working.

All cards issued to and collected from students need to be logged on the Student Loaner Key and Card Transaction[ LOG](https://docs.google.com/spreadsheets/d/1uZWE963jhoqYO0xufXKwm2WefbCu1jnyzH5IzRzGG-c/edit?usp=sharing)

Remember to tell the student their deadline to return the card. These are temporary. If not returned by the deadline, students will receive a $25.00 charge on their student account to replace the loaner card.
