New Course Proposal & Sessions

This guide provides a comprehensive walkthrough for educators and developers looking to propose a new course on the AEA Learning Online platform. Follow these steps to correctly input course details and submit your proposal for official approval. Important Note: There are many fields on the proposal that are for internal use. If it is not addressed in this tutorial, you can submit without entering information in those fields.

Alert! If you are an AEA Consultant teaching a DE approved course, please email Brandie Gean (bgean@heartlandaea.org) to verify that the course has not already been entered in the system. You may only need to add a session to a previously approved course rather than entering a brand new proposal.

Initial Navigation

Navigate to<https://aealearningonline.org/> and click Log In.

Enter your login credentials, and click Log In. Or, click "Sign In with Google" or "Sign In with Microsoft."

Click "Developer" in the navigation bar

Tip! If you aren't seeing the Developer tab, your vita is either still pending review by the professional learning office, or you do not have an approved Instructor Vita on file. Select "Create Course Proposal" from the dropdown

Proposal Quick Start

Enter the course name

Select "Statewide" as the course scope

Select either "Self-Paced" or "Instructor-Led" for the course delivery

Alert! If your course has a specified start and end date (i.e. August 15, 2026 - May 15, 2027), select "Instructor-Led" even if participants will be completing the course at their own pace within that window of time. If you believe your course is truly a self-paced offering, please reach out to Deborah Cleveland, dcleveland@aealearningonline.org, before proceeding.

Select audience, topics, and disciplines by clicking "Open List." Choose which items apply and click "Close."

Click "Save Course" to complete the course "Quick Start."

The information entered here will auto-populate "Course Information" and can be updated there.

Course Information

There are many fields that are on the Course Information page. This tutorial will cover the essential fields for creating a course proposal. This includes: \-Description \-Credit Type \-Research \-Objectives Many of the other fields will be completed by internal staff.

Enter a description of your course

Select the credit type(s) and enter the number of credits. Add or remove rows if needed.

Enter the research/evidence base for the course

Add any necessary developer notes. Developer notes are for internal office use only; the information is not displayed when participants register. **NOTE TO AEA CONSULTANTS: If a per person materials fee needs to be added, please include the amount and a description of the materials that it will cover. Local AEAs will need to order their own materials and invoice AEA Professional Learning once the course has ended.**

Enter any pertinent additional course information. This information will be displayed when individuals register for the course.

Enter learning objectives

Expand the fields to enter the Iowa Teaching Standards and/or AEA Service Standards your course addresses

Click "Save" to update the course information

Depending on how you setup your course, select either "Instructor-Led Information or "Self-Paced Information."

Instructor-Led Information

Course developer will default to the person creating the course proposal. This field can be edited or additional individuals added if needed\*. \*Only individuals with an approved CV through [Apply to Teach](https://scribehow.com/o/CYbTceQRQLy9ZROOqFpJhA/viewer/How_to_Apply_to_Teach_on_AEA_Learning_Online__c22Z5gzATsq06VGgW0LcZA?referrer=documents) will be available to add.

Select the credit type(s) offered and enter the in-class hours for each.

Reminder! One license renewal and/or graduate credit must contain at least 15 in-class hours. Graduate credit courses must also contain an additional 30 hours of out-of-class hours per credit.

Enter the "Learning Design." Add rows as needed.

Enter the required assignments

Upload a grading rubric or other course file

Reminder! License renewal is graded on a pass/fail basis. Graduate credit courses will require an A-F grading scale.

Enter any additional delivery information. If there are required course materials that will need to be purchased by the participant, include this information in this field. This information will be displayed when individuals register for the course.

Click "Save" to update the instructor-led information.

Click "Submit for Approval" to notify the professional learning office that the course is ready for review.

Alert! If you are entering a new instructor-led course proposal, you are not finished after clicking "Submit for Approval." Please continue with the steps below in order to enter the course's session information.

Click "Go to Session" to enter the specific dates and times for your course

Session Quick Start

Enter the session title. This title is the two-letter AEA code, followed by the location of the course and the month, day, and year of the start date (i.e. HL - Zoom Aug 18 2026)

Select whether the session will be take place in-person or be delivered in a hybrid or virtual format.

Enter the instructor(s) for this session.

Tip! Only individuals with an approved vita through [Apply to Teach](https://scribehow.com/o/CYbTceQRQLy9ZROOqFpJhA/viewer/How_to_Apply_to_Teach_on_AEA_Learning_Online__c22Z5gzATsq06VGgW0LcZA?referrer=documents) will be available to add.

Enter the start and end date of the session

Click "Create Session"

Session Information

The Session Title, Additional Session Information, Content Type, and Start and End Date will populate from the Session Quick Start information. \ \ If there is additional information that pertains only to a specific session, add these details in the additional session information field. This text will be displayed when individuals register for the course.

Enter the session's registration start and end date

Enter the number of minimum and maximum participants

Alert! For open audience courses, please list the minimum enrollment you will require for the course to be held. When setting your maximum enrollment, be sure the room you reserved will accommodate that number of participants.

Choose the status of this session. Will this session be for an open audience and visible on the course catalog? Or, will it be for a closed audience and not be visible on the course catalog (i.e. registerable by a shared link only)?

Select which agency your session will be offered through

The instructor(s) will pre-fill from the Session Quick Start information. You can edit the instructor(s) here if needed.

Enter the title of the meeting (i.e. Day 1, Day 2, etc.)

Enter the meeting location and address using the following format: Street Address, City Zip Code\ Building - Room Name/Number

Tip! If your meeting is taking place via Zoom or some other virtual/online platform, be sure to click the "Is Online" checkbox and enter the name of the platform in the Meeting Location and Address field.

Enter the start date and time and the end date and time for your first meeting

Click "Add Meeting"

Continue to enter and add the information for all of your meetings

Click "Save" once all of your meetings have been entered

Click "Submit Session for Approval" to finalize and notify the professional learning office that the session is ready for review.

Tip! Submitted course proposals are reviewed by the professional learning office. You will receive an autogenerated email once your proposal has been reviewed. Questions? Contact support@aealearningonline.org

Self-Paced Information

Course status will say draft/in development while going through the proposal process. No action is needed for this field.

Content type will autofill as default. No action is needed for this field.

Select "Yes" for Allow Access Extension

Select the credit types offered and enter the in-class hours for each.

Reminder! One license renewal and/or graduate credit must contain at least 15 in-class hours. Graduate credit courses must also contain an additional 30 hours of out-of-class hours per credit.

Course instructor and editor will default to the person creating the course proposal. These fields can be edited or additional individuals added if needed\*. \*Only individuals with an approved CV through [Apply to Teach](https://scribehow.com/o/CYbTceQRQLy9ZROOqFpJhA/viewer/How_to_Apply_to_Teach_on_AEA_Learning_Online__c22Z5gzATsq06VGgW0LcZA?referrer=documents) will be available to add.
