Course Roster, Grades, & Completions

This guide shows instructors how to quickly find their instructor-led course roster, contact or download participant lists, and record attendance and grades so classes can be closed out properly.

Initial Navigation

Navigate to<https://aealearningonline.org/> and click Log In.

Enter your login credentials, and click Log In. Or, click "Sign In with Google" or "Sign In with Microsoft."

Tip! Once signed in, you can access your roster via the Instructor Dashboard (steps 3-7) OR by the listing of classes under the Instructor tab (steps 8 - 11).

Access Your Roster Through the Instructor Dashboard

Click "Instructor"

Click "Instructor-Led Courses"to open your Instructor Dashboard.

Once in your Instructor Dashboard, you may need to change the Status Filter from "Open" to "All" in order to see your course.

Locate your course and session, then click on "Roster" to open the session roster.

Your roster will open showing the list of your active participants.

Access Your Roster Through the Listing of Courses Under the Instructor Tab

Click "Instructor"

Locate the name of your course and click on it. This will open a dropdown showing all sessions of this course.

Locate the session and click on it.

Email Your Roster Participants

If you need to send emails to your participants, you may do so through your roster by clicking "Email All Participants."

Tip! The default Status Filter within your roster is set to "Active." If you need to email registrants that have already completed the course, you will need to change the filter to "All" or "Completed."

A window will open where you can compose your email and send it to your registrants.

Alert! If you experience any issues with not being able to send emails through the roster, please ensure you have your default system email client set up.

Download Your Roster

You can download your course roster by clicking "Download Roster."

An Excel document will download with your active roster registrants.

Tip! The default Status Filter within your roster is set to "Active." If you need to download a roster showing registrants that have already completed the course, you will need to change the filter to "All" or "Completed."

Enter Grading Information/Close Out Your Class

Mark attendance by clicking the checkbox for the meeting days each participant attended.

Tip! You can mark all meeting days as attended for a specific participant by clicking the "Mark Present" checkbox (first screenshot below). You can also choose to mark all participants as attended for a given meeting date by clicking the small checkbox below the meeting name/date at the top of the roster (second screenshot below).

To assign grades, click the dropdown arrow within the grade column for each participant and select the appropriate grade from the dropdown menu. Available grades will auto populate from the credit type the participant is registered for - Participant Only: C (Complete) or NC (Not Complete); License Renewal: P (Pass) or F (Fail); Graduate Credit: A-F grading scale.

Tip! If everyone on your roster is registered for the same credit type, you can bulk assign grades by clicking the dropdown arrow under the grade heading and selecting the grade you want to assign everyone. Please note that this bulk grading feature is disabled if your roster has registrants with mixed credit types (i.e. some registrants are taking the course for license renewal credit while others are taking it as a participant only).

The "Complete" button will become functional once a specific registrant has been marked present for all meeting days and a grade has been issued. Click "Complete" for each individual to finalize their grading information. Clicking the "Complete" button will prompt an autogenerated email to the participant with directions on how to complete the course on their end.

Course participants will need to click the "Resume Course & Mark Complete" button contained in the autogenerated email.

The participant will then need to click "Resume" on the course.

When the participant resumes the course they will see a "Mark Course as Complete" button. Once they click this button, they will be given an option to download their transcript, rate the course, and provide feedback. If a participant provides any feedback about the course, an email will be sent to the instructor(s) with the feedback.

The participant will move to the "Completed" portion of the roster after they resume the course and click the "Mark as Complete" button. You can see your list of completed participants by changing the status filter to "Completed" on your roster.
