Full Instructions: Registering for and Creating a Solo Travel Plan in the Global Safety Network (GSN)

This guide provides step-by-step instructions for registering your profile and creating a solo travel plan in the new Global Safety Network (GSN). The process is the same for faculty, staff, and students. First-time users: After your initial login, please allow up to 24 hours before creating a travel record. This allows time for your Penn State profile information to synchronize with the GSN.

How to Access the Portal and Register for the GSN for the First Time

Navigate to <https://gsn.psu.edu/> and click [**Log In To The GSN**](https://pennstate.via-trm.com/authV2/welcome).\ \ **Please note:** *You must first register and allow **4 to 24 hours** for your profile to synchronize before you can create a travel request.*

Click "**Accept All.**"

Click "**Go to Portal**" and log in using your Penn State email (ending in **@psu.edu**).

Agree to the **Terms of Use** and **Privacy Policy.**

Click "**Next**."

You are done registering for the Global Safety Network.

You will receive an automated email from Via, the GSN provider, immediately after registering. **This email does not confirm that your profile has been created.** You will not receive a separate notification when your profile is ready. Please allow the required processing time before creating a travel request.

- We strongly encourage you to register in the GSN as soon as possible, even if you do not have upcoming travel. - You will not be automatically notified when your profile is created within the system. - Do not create a travel request until your profile is fully established. Requests created before your profile is complete cannot be submitted, and any information entered will need to be re-entered. - Please do not add or edit any of your information in your profile. All profile information is synced with university systems. - You may add a profile picture if you choose; however, it is not required.

How to Create a Solo Travel Plan

Navigate to <https://gsn.psu.edu/> and click [**Log In To The GSN**](https://pennstate.via-trm.com/authV2/welcome).

- Please use the links on the GSN portal page to submit a **Group Travel, Post-Travel, or Proxy Request**. - Each traveler may assign only **one proxy**. - A proxy may be assigned to **multiple travelers**.

Log Into the Portal

Click "**Go to Portal**" and log in using your Penn State email (ending in **@psu.edu**).

Create a Travel Record

Click "**Register Travel.**"

Click "**Register Solo Travel Plans.**"

This screen has step-by-step instructions on how to complete the registration process. Click "**Continue.**"

Solo Plan Details

Click "**Plan Name**" and name your plan to identify your trip.

Click "Select Plan Type" and choose "Other".

Completing "**Plan Description**" is **optional**.\ Any information entered into this field **is not used** during processing.

Enter a city and country in the "**City and Country Search**" field, then select your destination from the drop-down list.

Click the "**Start Date**" field to open the date selector.

Click in blue rectangle to open the calendar.

Select your **travel start date**.

Repeat steps 19 - 21 to select your **travel end date**.

To add additional destinations (if needed), click "**+ Add Another City, Country, Start & End Date**" and repeat steps 18 - 22.

If you return to your itinerary to add another destination, the entry field may appear blank. Your existing destination information will appear immediately to the right.

Once you have entered your basic itinerary, click "**Save & Continue.**"

Skip Itinerary Fields

Click "**Skip for Now**" for transportation details.

Click "**Skip for Now**" for housing details.

SafeCheck Alerts

To receive SafeCheck alerts, select your country code, enter your phone number, and select **"Save & Continue."** If you enter your phone number, it will be saved for future use.\ \ Receiving alerts is optional. If you do not wish to receive alerts, select **"Skip for Now."** *If you select "Skip for Now," your preference will not be saved for future use.*

Complete Plan Forms

Click "**View Plan Forms.**" - You will be assigned forms to complete - Most travelers will see **one required form** for non-restricted travel. - Travelers visiting a restricted destination, or an itinerary that includes a restricted destination, will see **two required forms**. *Both forms must be completed before the travel review can be finalized.* - Employees will receive forms labeled **Faculty/Staff**. - Students will receive forms labeled **Student**.

Please click and complete the available form(s). The information provided will be used to assess risk, identify mitigation measures, and conduct an Export Control review. Please provide detailed responses to support an efficient review process.

*Complete all required fields* in the Plan Form and click "**Submit.**"

After Submitting a Form

Click on "**Close**" to continue.

After selecting "**Close**," you will receive a message stating: "*Leave Site? Changes you made may not be saved.*"\ \ If you have already saved or submitted your form, your responses have been retained. Click on "**Leave.**"

Your **Plan Form** has been submitted for review.

Two or More Forms

**REMINDER:** Travelers visiting a restricted destination, or an itinerary that includes a restricted destination, will see **two required forms**. *Both forms must be completed before the travel review can be finalized.* If additional forms are required, the system should return you to the remaining forms that need to be completed. If only one form was assigned, you have completed the process. Complete and submit any remaining Plan Forms in your record. ***See below*** *- If the system does not automatically take you back to "**My Plan Forms.**"*

How to Return to your Plan

If you need to return to your **Plan**, to edit or add to your itinerary or to complete additional **Plan Forms,** follow these steps to locate your **Plan** to resume. - Go to the main dashboard and then to "**My Travel.**" - Click on "**My Plans.**" ***Please Note*:** If your travel was already "**APPROVED,**" please contact Global Safety for assistance before making any changes to your "**Plan.**"

- Find the "**Plan**" you need to complete. *(If you have multiple submissions, they will appear on this page.)* - Click on your "**Plan.**"

Adding Another Destination after Submission

- Click on "**Edit My Plan**." - To add additional destinations (if needed), click "**+ Add Another City, Country, Start & End Date**" and ***repeat steps 20 - 26***. - To make changes to your existing itinerary (e.g., dates and/or locations), just edit the dates. - Any edits or additions to the itinerary should be reported to Global Safety after submitting your **Plan Forms.**

- Select the "**Plan Form**" you need to complete. - ***Repeat Steps 32 - 35***.

Final Instructions

- Once you have completed all assigned forms, your travel registration is complete. - A Global Safety representative may contact you if additional information or clarification is needed regarding your submission. - Once your submission has been reviewed and finalized, you will receive an **approval** email that may be used to support travel reimbursement. - If you need to modify anything after submitting your **Plan Form** or receiving your **APPROVAL,** please email Global Safety for assistance. - After making any changes, notify Global Safety, as your travel record may require additional review. - Thank you for your patience as we continue improving our processes to make the Global Safety Network more efficient and user-friendly. - For questions or assistance completing the GSN, please contact Global Safety by email at globalsafety@psu.edu or call 814-863-8788.
