2026-2027 Club Affiliation and Set-Up Guide

This guide is designed to assist clubs with their 2026-2027 season setup in the RAMP database. You will find information to activate the 2026-2027 season, affiliate with WPC and your PSO, setup your season settings, add registration packages, and display/disperse registration links. PART 1: Activate the 2026-2027 Season

Before setting up registration and affiliating with WPC and your Provincial Sport Organization (PSO) for the 2026–2027 season, your club **must first activate the 2026–2027 season**.

Log into your club's RAMP account :<https://admin.rampregistrations.com/login>

**Navigate to Seasons:** click on **Seasons** in the side menu, then **Seasons** again.

You will see that the "**2026-2027 (Water Polo Canada)**" season will have a status that indicates "Requires setup". Click the **blue edit button** to edit the season.

Without editing any settings, scroll all the way down to the bottom and click the **"Submit"** button. You will be able to come back to edit this information later.

PART 2: Affiliate with WPC and your PSO

In the side menu, click **Permits, Sanctions and Forms,** then click **Club Submissions.**

Navigate to the **"2026-2027 (Water Polo Canada)"** season in the dropdown menu. Then click **"View"**.

Depending on your club's affiliation category, you will see one of the following forms along with your PSO's affiliation form (if applicable) to complete: - WPC **Club** Affiliation Form 2026-2027 - WPC **Developing Club** Affiliation Form 2026-2027 - WPC **Affiliate Group** Affiliation Form 2026-2027

Click the **blue** **edit** **button** beside the applicable WPC affiliation form to edit your club's 2026–2027 WPC affiliation submission.

**Answer all questions within the form.**

**IMPORTANT (for Club and Developing Clubs)**: Select **all the boxes** agreeing to adhere to "WPC's Code of Conduct with Disciplinary Procedure", "WPC's Concussion Code of Conduct", "WPC's Policies", and "WPC's Operational Documents". *Failure to select all boxes will delay the approval of your affiliation.*

Enter your email in the **Notification Emails** box if you'd like to receive status updates for your form. **Sign the form**.

At the bottom you will notice a fee has been automatically attached to the form. - Club Affiliation Fee: $330 - Developing Club Affiliation Fee: $0 - Affiliate Group Fee: $0

Click the blue **"Save Progress"** button at the bottom of the form to be redirected to the "Club Submissions" page.

**PAYMENT:** On the Club Submissions page, you will see a green "**Add Credit Card Payment**" button now beside the form. Click on this button, enter the information required, click "**Continue**" and then "**Submit**". **SUBMIT FOR APPROVAL:** On the "Club Submissions" page you will see a white "Submit for Approval" button, please click this to complete the process.

Repeat steps 10-16 for your **PSO's Club Affiliation Form**. NOTE: Not all PSOs have a Club Affiliation Form. Be sure to review all forms under *Permits, Sanctions, and Forms* to determine what applies to your club.

Once you have submitted your WPC and PSO Club Affiliation Forms and paid the associated fees, you may begin setting up your season and creating registration packages. However, these packages will not be visible on the front end until both WPC and your PSO have reviewed and approved your forms and provided access to open registration.

**Approval Timelines**\ The PSO must approve the WPC affiliation form **before** it is reviewed by WPC. Once PSO approval has been granted, please allow up to **3 business days** for WPC to review your submission. If further information is required, the submitting contact person will be notified directly.

**Items that may delay affiliation approval (not a comprehensive list):** - Not completing the affiliation form in full. - Not properly submitting the form for review (ensure all steps above have been completed). - Members of your club having outstanding balances from previous seasons. Ensuring all fees are paid will help expedite approval. - Outstanding payments owed to WPC for events or other activities.

**Insurance Certificate Requests**\ Insurance certificate requests will only be submitted to the insurer by WPC after your form has been approved by both the PSO and WPC. *To request a Certificate of Insurance, contact your PSO.*

PART 3: SEASON SETUP

WPC recommends submitting your affiliation form **before** completing your season setup. While your affiliation is under review, you can continue setting up your season and registration settings. Reviews may take up to 3 business days and longer if additional information or corrections are required.

**SEASON TO SEASON COPY:** If you would like to copy settings, waivers, questions, packages, and/or permits from the 2025-2026 season to the 2026-2027 season, follow the next 7 steps and use the rest of this guide to review the copied settings. Otherwise, jump ahead to MANUAL ENTRY in step 31.

Navigate to **Seasons** then **Seasons** again. Click **"Season to Season Copy Items"** at the top of the page.

Use the dropdown menus to select "2025-2026 (Water Polo Canada)" as the Source Season and "2026-2027 (Water Polo Canada)" as the Destination Season.

**Select all items** you would like to copy. (Leave the "# Days to Add to Dates" as 365).

Select the "**Continue**" button.

Select each **Destination Division** that corresponds with the **Source Division** as shown in the image below.

Click "**Submit**"

Review the information and click "**Continue**".

SEASON SETUP: Season Settings

**MANUAL ENTRY:** The following steps outline how to manually enter your settings, waivers, questions, packages, and permits. If you copied these items from a previous season, we still recommend reviewing each section and making any necessary updates before opening registration.

**Review and Edit Season Settings:** Navigate back to the 2026-2027 Season Settings by selecting "Seasons" then "Seasons" in the side menu. Click the **blue edit button** beside the **"2026-2027 (Water Polo Canada)"** season.

Review the information provided regarding the **Registration Protection Insurance for Participants** and **Team Registration Insurance for Tournaments** and decide if you would like to offer this to your club.

Enable all registration types you would like visible to members. To do so, click the: - "Enable **Staff Registration**" field - "Enable **Official Registration**" field - "Enable **Executive/Volunteer** **Registration**" field *Each will require you to enter a "Reg End Date".* NOTE: The **player registration type** is automatically enabled as soon as a package is created.

To allow for **CRC and VSS upload**, click the: - "Enable Vulnerable Sector Screening (VSS) File Upload (Staff, Officials & Execs/Volunteers)" field. - "Enable CRC File Upload (Staff, Officials & Execs/Volunteers)" field. To allow for **online CRC** through RAMP/Triton, click the: - "Enable RAMP/Triton Enhanced Online Criminal Record Check (CRC) for Staff" field. - "Enable RAMP/Triton Enhanced Online Criminal Record Check (CRC) for Officials" field. - "Enable RAMP/Triton Enhanced Online Criminal Record Check (CRC) for Executives" field.

Select **"Staff Pay"** from the "Triton Payment Settings" dropdown.

Select your club's "**Package** **Options**" (if any).

Select your club's "**Payment** **Settings**"

Select your club's "**Player** **Options**", "**Staff** **Options**", "**Officials** **Options**", and "**Executive/Volunteer Options**".

OPTIONAL: Include any additional information your club would like in these fields.

Click "**Submit**"

SEASON SETUP: Division Settings

**IMPORTANT**: This section outlines several critical setup steps that clubs should complete carefully. For the 2026–2027 season, WPC has introduced a larger number of divisions, including registration-specific divisions for athletes and coaches.

**Review and Edit Divisions Settings:** Navigate to **Divisions** under the Seasons menu item.

For the 2026–2027 season, WPC has created separate divisions for registration types (Athlete and Staff). To simplify administration, provinces have only been granted access to the divisions identified as necessary for their operations. As a result, you may not see every division listed below. - Introduction Athlete - Community Athlete - Community Athlete 1 - Community Athlete 2 - Provincial Athlete - National Athlete - National Athlete 1 - National Athlete 2 - Affiliate Participant - Short-Term Athlete - Short-Term Athlete 1 - Free-Trial Athlete - Community Coach - Competitive Coach

**Review and edit ALL player divisions.** Make sure to check the **"Staff"** and **"Team"** boxes under Restrict Registration Types — this will prevent those registration types from accessing it. Click "**Submit**".

Next, **review and edit ALL staff divisions.** Make sure to check the **"Player"** and **"Team"** boxes under Restrict Registration Types — this will prevent those registration types from accessing it. Click "**Submit**".

SEASON SETUP: Waivers

Waivers allow clubs to collect important acknowledgements, consents, and agreements during registration. Common uses include accepting policies and codes of conduct, providing informed consent, granting photo/video permissions, and meeting organizational requirements. Once configured, waivers are automatically presented during registration and the participant's acceptance is recorded in the system.

**Review and Add Waivers:** Navigate to **Waivers** under the **Seasons** menu. Review the waivers currently active for the 2026–2027 season. The list will include waivers provided by WPC and your PSO. You can review the content of any waiver by clicking the green **View** button (magnifying glass icon).

If your club is interested in creating a waiver in addition to those listed, click the **"Add New Record"** button at the top of the page.

Enter all relevant waiver information and select the appropriate settings. - **Target Age:** Determines who the waiver applies to. Options include All Ages, Age of Minority, or Age of Majority. - **Require Individual Waiver Signature:** Adds a signature field directly below this waiver, requiring the registrant to sign the waiver in addition to the final signature field at the end of the waiver section. When enabled, you can also select **Require Signatory Legal Name**, which requires the signatory to type their full legal name along with their signature. - **Optional Consent Waiver:** Adds two selectable options for the registrant: I Consent and I Do Not Consent. Custom text can be entered for each option. - **Sign for Each Subsequent Registration:** By default, waivers only need to be signed once per season. Enable this option if the waiver must be signed each time the participant completes an additional registration during the season. - **Create Separate Waiver for Each Registration Type:** If a waiver applies to multiple registration types, it can either be maintained as a single waiver or split into separate waivers for each registration type. When split, each waiver can be edited independently.

**Submit** your waiver.

SEASON SETUP: Questions

**Review and Add Questions:** Navigate to **"Questions"** and/or **"Member Questions"** under the *Seasons* menu item. Review the list of questions currently active for the 2026-2027 season. NOTE: There are 2 types of questions you can utilize: 1. ***Member Questions*** – These carry over from season to season. The user’s previous response will automatically appear in future seasons, but they can update their answer during registration if needed. 2. ***Questions*** – These are specific to each season and must be re-added or updated annually. Both types can be targeted to specific seasons, divisions, and registration types (e.g., player, staff, etc.).

To add a new question, click **"Add New Record"** at the top of the page.

Enter all relevant question information and select the appropriate settings. - **Type:** - **Text Entry (Single Line)** – Allows the registrant to enter a short response. - **Text Entry (Multiple Lines)** – Allows the registrant to enter a longer response. - **Drop Down List** – Displays a list of options in a drop-down menu. Registrants can select **one** option. - **Radio Buttons** – Displays all options on the screen. Registrants can select **one** option. - **Checkbox (Single)** – Displays a single checkbox that can be selected or left unselected. - **Checkboxes (Multiple)** – Displays a list of options with checkboxes. Registrants can select **one, multiple, or none** of the options (unless the question is required). - **Drop Down List of Provinces** – Displays a predefined list of provinces for selection. - **Is Required:** Requires the registrant to answer or select an option before continuing. You will be prompted to enter an error message that will display if no response is provided. - **Clubs Can View:** Allows the club associated with the registration to view the registrant's response. - **All Divisions:** By default, the question applies to all divisions. To limit it to specific divisions, uncheck **All Divisions** and select the applicable divisions.

**Submit** your question.

To add Member Questions, click "**Seasons**" then "**Member** **Questions**" from the side menu. Here you will be able to view all WPC and PSO member questions. *If a member question from a previous season is not listed, select the appropriate prior season from the dropdown menu, locate the question, and add the 2026–2027 season to the list of applicable seasons under the "Seasons" section.* To add a Member Question, select "**Add New Record**" at the top of the page.

Settings in addition to those available for regular Questions include: - **Text Type:** Select the format for the response field: Regular Text Entry, Password Field, Number Only, Date Only, Email Only, or Time Only. - **Show on Receipt:** Choose whether the registrant's response will appear on their registration receipt. - **All Seasons:** When selected, the Member Question will automatically carry over to future seasons. If you choose specific seasons instead, you will need to manually add future seasons to the question or it will not be available for registration in those seasons. - **All Registration Types:** Member Questions can be used across multiple registration types. To limit the question to specific registration types, deselect **All Registration Types** and select the applicable registration type(s).

PART 4: Add Registration Packages

**Add Package Groups/Programs:** This feature allows clubs to group multiple packages under the same main heading. For instance, your club may have numerous programs that relate to one Division that you want to sub-divide. This is where package groups/programs come into play. An example of this would be if your club has a Learn to Swim program and an Introduction to Water Polo program that both link to the Introduction Athlete division. Clubs can also control the number of registrations permitted within a package group. This can be useful for limiting members to a single registration option within a group and preventing multiple registrations from being completed. *On the front end, members will see a section prompting them to select from your Programs. (See below).*

To create a package group click on "Package Groups/Programs" under "Packages", then "Add New Record" at the top of the page.

Enter all relevant information, then click **"Submit"**.

**Add Packages:** Create your registration packages by clicking the **"Packages"** button under "Packages" and clicking **"Add New Record"**. If you've copied packages from a previous season, they will already be listed here. Select the **blue edit button** to review a package.

Select your package's package type (i.e., player, staff, official, etc.).

To link a package to one of your package groups, select the package group from this dropdown list.

**Select the division that the package will be linked to.** WPC recommends linking each package to a single division whenever possible. This provides a clearer registration experience for members. If you are creating similar packages for multiple divisions, you can select **Create Separate Packages for Each Division** and choose all applicable divisions. The system will create individual packages for each division, which can be edited independently at a later date if needed. For detailed information on registrant categories and division definitions, refer to *WPC's National Registration Operational Document* (pages 2–4).

Enter your package's name in the "**Name**" field. For example, Tuesday and Thursday 6-8pm. OPTIONAL: Add a **description** for this package.

**OPTIONAL:** Set a **Registration Start Date** and **Registration End Date** for the package to control when it is available for registration. **OPTIONAL:** Make this package a **Required Purchase**. Members registering in the selected division will be required to purchase the package as part of their registration. This can be useful for collecting club fees.

**OPTIONAL: Additional Settings** - **Max # of Registrations:** Set a limit on the number of registrations permitted for the package. - **Enable Waitlist:** Creates a waitlist once the registration limit has been reached. Registrants on the waitlist are not charged any membership fees until they are manually moved off the waitlist by an administrator. Clubs may also choose to add a waitlist fee. - **Require Password:** Restricts registration to users who have been provided with the package password. - **Direct Link Only:** Hides the package from the club's public list of registration options. Members can only access the package using a direct registration link. Direct links can be found under **Packages > Package Direct Links**. - **Tryout Package:** Designates the package as a tryout registration. Player registrations to a tryout package will not initiate the Home Club Transfer process if the player is registered with another club.

OPTIONAL: Enter the **email** **address(s)** of individuals who should receive a copy of the confirmation email once someone purchases this package in the "Email to" field.

OPTIONAL: Select the "**Min** **Age**" and "**Max** **Age**" for this package. You are also able to use specific birthdates instead of ages. If interested, select the "Use Specific Birthdates" checkbox.

REQUIRED: Enter the **price** of the package in the "Price" field.

If your club is interested in the split payment feature, click the **"Split Payments"** checkbox.

Enter the **initial amount** your club would like to charge Registrants in the amount "Initial Charge Amount" field. Click "Set Amount"

Select how many split payments you would like for the remaining balance under **"Split Count"**. The system will automatically calculate the amounts owed by the Registrant for each of the payments. Add the date for when each of these payments must be made in the **"Date"** fields.

Once all settings are complete, scroll up and click the "**Submit**" button near the middle of the page.

Continue creating and reviewing packages until all registration options required for your club have been configured for the season.

PART 5: Registration Links

Users can access your registration packages in three ways: - **Direct Links** – Shareable URLs that take users straight to a specific package. - **Customized Packages Page (Build A Page)** – A custom web page where you can display selected packages in a personalized layout. - **RAMP Registration Login Portal** – The standard RAMP portal where users log in to view and register for available packages of all types (player, staff, official, etc.).

**Direct Links:** To access the direct links to your packages, navigate to "Package Direct Links" under "Packages" in the side menu. Here you will find individual links to each package you have created.

**Customized Packages Page (Build A Page):** To build a customized page for your packages, navigate to "Build A Page" in the side menu. Create a new page by clicking "Add New Record".

Enter all relevant information for your page. Click "Submit".

You’ll be redirected back to the *Build A Page* screen with all your custom pages. To continue, click the green **"Page Sections"** button next to your new page to start adding content.

Add as many **Page Sections** as you would like by clicking "Add New Record". (Ex: Monday & Wednesday Groups and/or Tuesday & Thursday Groups).

Link your packages to each *Page Section* by clicking the "Packages" button.

Copy your links: Once complete, the link for your customized page will be accessible back on the "Build A Page" screen.

**RAMP Registration Login Portal**: Share the link at the top right of your page to send members straight to your login portal.
