Annual Charter Renewal Process Overview

This guide is a brief overview of the charter renewal process within Trail Life Connect. The two primary roles participating in the charter renewal process are the Senior Ministry Leader (SML) and the Troop Ministry Liaison (TML.) Other leaders and members can view the status of the renewal process if they wish.

The SML and TML will see a Dashboard notification regarding the Troop's soon expiring charter, including the expiration date and how many days remain in the current charter. The notification contains a clickable link to view the list of steps which need to be reviewed and completed. For any steps that require action, only the specified role can access and complete those steps.

Click the link within the Dashboard notification to access the Steps for completing the renewal process.

TML Specifics

Note: The TML may also see a Dashboard notification regarding expiring membership, as the TML's membership expiration date is set to coincide with the date of the charter expiration/renewal

Click the link in the notification to renew membership. (if applicable)

Upon clicking the Dashboard link to "complete the re-chartering process," you will arrive at the list of steps to complete for renewing the Troop charter. The first two steps involve an annual alignment conversation between the TML and the area Point Man. - The TML must complete Step 1 - The Point Man must complete Step 2 This annual check-in is designed to ensure the Troop continues to maintain ministry alignment with Trail Life USA.

If any Core Leader positions need to be filled, this will be noted in Step 3. The TML can assign, or re-assign, any needed roles to an existing registered adult member within the Troop. (These role additions, or changes, can be completed through the Troop Members list.)

The TML will also need to "Click to complete" Step 19 to review and clean up the Troop's youth roster. Having an up-to-date and accurate list of youth accounts within the Troop will be important prior to paying the charter fee and Brand Authorization Renewal.

Follow the on-screen instructions to review the total number and current list of youth in the Troop. Accounts which are no longer participating can be deactivated from this screen. (Alternatively, the TML can also leave the charter renewal steps and go to the Troop Members list to review and deactivate accounts, if preferred.)

Once the TML has reviewed the youth accounts and confirmed the total number of youth Trailmen is accurate, the green button can be clicked to confirm.

SML Specifics

The SML has two specific Steps to complete as part of the charter renewal process: - **Step 17**: complete the annual Mission Statement form - **Step 18**: complete the annual signing of the Charter Organization Ministry Agreement

After *all* prior Steps are completed, any of the Troop Leaders can click to access **Step 20** for completing payment.

After all Steps (1-20) have been completed, a final review and approval will occur through the Home Office. Upon approval, the charter renewal will be finalized.
