Member Prospects - Updating Prospect Status in TLC

This guide equips Troop leaders to manage prospect statuses in Trail Life Connect. It provides step-by-step instructions for tracking potential members, communicating effectively through internal notes and email templates, and updating statuses. By streamlining recruitment, it helps leaders build stronger connections with interested families.

Navigate to Member Prospects

Navigate to [www.traillifeconnect.com](http://www.traillifeconnect.com) and click **Member Prospects** on the Dashboard.

By default, you'll see **New and Open** prospects: **New**: A family has inquired about your Troop through the Find a Troop map, but no contact or updates have been made by the Troop. **Open**: Someone from the Troop has had some interaction with the family. You'll also find details such as the last contact date, days since the last activity, and waitlist status (if applicable). Click the **Dropdown Arrow** to view additional details about a prospect. At the bottom of the list, you'll see an **Add New Prospect** button. This allows you to manually add prospects who didn’t come through the Find a Troop map—such as parents you meet in conversation or families who visit a Troop meeting.

Additionally, you can sort the history of prospects for your Troop using the **Current Status** filter.

**Prospect Actions** offer tools to help leaders efficiently answer questions and connect prospects to the right resources.

**Prospect Actions** provide options to meet the needs of leaders and prospects in efficiently answering questions and getting them connected to the right place.

**IMPORTANT!** If you contact a prospect via text, phone call, or email outside of Trail Life Connect, be sure to log in to TLC and use the **Add Internal Note** action. This keeps the prospect’s status updated and ensures they don’t get lost in the shuffle!

Send Prospect an Email

Selecting **Send Prospect an Email** allows you to send a message to the prospect directly from the TLC system. If your Troop has set up email templates, they will appear as options, making it easy to provide consistent information or ask key questions quickly.

Once you crafted your email, click **Send Email** to send your email. \ \ You will then see it updated in the communication flow above.

Add Internal Note

**Add Internal Note** allows you to record important details or context about a prospect, including communications outside of TLC—such as calls, texts, or in-person visits. This helps keep all relevant information in one place.

Once you've added the relevant information as an internal note, click **Add Note** to update the prospect's record.

Contact Later

**Contact Later** lets you set a follow-up date for a prospect, putting them on hold and sending a reminder when it's time to reconnect. This is especially helpful for younger boys who aren’t old enough to join yet or during times when your Troop isn’t meeting regularly, such as the holidays.

Click the **On-Hold until** date picker, select the date you want the prospect to return to Open status, and then click Submit.

Joined or is No Longer Interested

**Selecting Joined or No Longer Interested** allows you to close out a prospect once they’ve made a decision about joining. If they choose not to join, select a reason from the list (or choose Other). This helps track past conversations in case the prospect re-engages later, as any response will automatically reopen their profile.

If **Joined My Troop** is selected, a **Convert to Troop Member** box will appear. This will automatically add the adult as a parent in your Troop, allowing them to add their son. If the prospect has already joined and you're completing this step later, you can skip this box.

Transfer prospect to Point Man

The option to **Transfer prospect to Point Man** is for prospects that are interested in joining Trail Life, but may not be a fit for your Troop for a variety of reasons. This connects them with your local Area Team who stand ready to help get them placed with another Trail Life USA Troop.
