Region/Area Level Find a Troop and Member Prospects Tool

This guide provides an overview of the Find a Troop settings and functions of the Member Prospects tool at the Region/Area level, for roles with permissions to access these tools. Provided screen shots in the guide are from the perspective of the Point Man role. (Views and experiences are similar for the Direct Service Advisor and Regional Team Leader.)

The Member Prospects tool is primarily used at the Troop level. This guide will cover details related specifically to the experience at the Region and Area level and what might be different for those leaders.

New Member Prospects will be added to a specific Region or Area by: - Troop leaders transferring a prospect out of the Troop to be moved into a different Troop - Manually adding a prospect within the Member Prospects tool

To view prospective Troop Members in your Area or Region, expand "Area/Regional" on the left menu and click "Troop Member Prospects." Alternatively, click the "Member Prospects" button on the Dashboard.

The resulting "Find a Troop" Prospects page will list any member prospects for the Region or Area. Most column headers contain a search or filter box below to change on-screen results. In the example below, the default setting for the 'My Troop' column is set to "Yes." This means the list is showing all current prospects assigned specifically to the location shown at the top of the screen. (In this example, the "OH - Miami Area" is the current location, and no member prospects are specifically assigned to the Area itself.)

Region and Area leaders can change the 'My Troop' column filter to "No" to view all of the member prospects within their respective Region or Area. \*Sort or search by 'Assigned Troop' to gain further insight.

Above the list of prospects, to the right side, is a series of buttons which are special tools themselves. - Clicking **All** will show all prospects on one screen, versus only a few at a time - Clicking the **Reset** button will reset the view and clear out any existing search or filter items - The **Excel** and/or **CSV** buttons allow for exporting the prospect list to a spreadsheet feel for external use - The **Report** button will produce a screen displaying helpful reporting data regarding prospects in your Region or Area - The **Bulk Actions** button allows for applying the same action to multiple prospects at the same time (\*This feature is covered in a separate Help document on the TLC Help Documentation page.)

If needed, a Region or Area leader can add a member prospect manually to their Region or Area by clicking the **Add New Prospect** button. Once created, the prospective member can be transferred to a Troop for the Troop leaders to facilitate further interaction and communication.

To view summary details for a member prospect record, click the expand button to the left. Basic contact information and a summary of the communication flow will be displayed. To view more details, to make any needed changes to information, or to take action on a particular prospect record, click the **View/Update Prospect** button.

The resulting page will show more detailed information about the member prospect, and the ability to update information where needed. Additionally, the communication history will display more details regarding specific notes and/or conversations which have been logged with the current prospect.

To take a particular action with a prospect record, scroll down to the 'Prospect Actions' section. Select the appropriate action, complete the information below, and click the green button to process the chosen action. 1. **Send prospect an email**\ (this will allow for sending communication to the member prospect) 2. **Add internal note**\ (use this action to add a helpful note for yourself or other leaders) 3. **Contact later**\ (this action puts the prospect record on hold until a specified date in the future) 4. **Joined or is no longer interested**\ (typically used only at the Troop level, this action is used when the prospect decides to join the Trop - OR - if the prospect is no longer interested and needs to be closed) 5. **Transfer prospect**\ (use this action if the prospect was sent to the Region or Area level, and needs to be re-assigned to a different Troop) 6. **Convert to Start a Troop prospect**\ (this action can be used if the individual decides they would prefer to start a new Troop rather than join an existing Troop; their prospect record will move over to the Troop Prospects tool)

The end goal for member prospects is joining a Troop. If/when the prospect joins, the appropriate action should be taken to close out their prospect record and add them as a full Member. Alternatively, if the prospective member chooses not to join, the prospect record should also be closed. Troops should regularly monitor and manage their list of member prospects and keep lapses in communication to a minimum, as well as keeping the list of open prospects as small as possible.

A final reminder for Region and Area leaders: remember, you have the ability to switch between different Troops and/or Areas. You may also hold multiple roles within an Area or Region team. The displayed prospects will depend upon (1) your current role and (2) your current location (or the Region, Area, or Troop you are currently switched to and operating within.) Be sure to make note of where you are prior to taking any prospect actions. Also, as a best practice, when moving around throughout the Troops in your Region or Area, always remember to return back to the Region or Area level when finished (rather than remaining switched into a particular Troop.)
