Assign and Action (Observations)

This guide shows how to create, document and assign observations/actions from inspections, incidents or audits so issues are tracked and closed with photo evidence. Follow it to ensure actions are properly assigned, evidenced and closed.

Observations can be created through and linked to an Incident, Inspections and Audits.

Click Observations in left sidebar

This will show all assigned actions (observations for the project).

Click Create (+) button to create an observation.

Click Add Photos to upload image.

Click on the photo to mark up and leave comments.

If task has already been completed you can select already resolved. If action required, set resolution to Not Yet Resolved. Select Fix Photo - that will require a photo to be attached as evidence before task can be closed out.

Select Action from Type dropdown menu

Complete the description detailing the identified action issues.

Ensure to detail the required action.

Alert! Do not assign to BMD Group - you must select Internal User from the top of the Assignee drop down list. Then Select the BMD User that you are assigning the task to.

Under Assignee select **Internal User** from the top of the drop down list.

Then select the workers name you are allocating to. If action is not yet resolved, the worker will receive an email notification advising they have been assigned an action.

If task has already been completed you can select already resolved. If action required, set resolution to Not Yet Resolved.

Upload a fix attachment file or photo if marking as Already Resolved.

If *Not Yet Resolved*, Select Fix Photo. This will require a photo to be attached as evidence before task can be closed out.

Enter the Due date.

Click Create to submit observation. Email notification will be sent to the Assignees to resolve the action.

Select the Blue Plus Button under observation sections within inspections or incidents to add required actions.

When Selecting no to some questions within inspections, the observation tab will pop up to allocate actions. Enter the required details and select Save Observations. Inspections may need to be saved, for actions to be sent to the assigned person/s
