These time periods are on a 3-payment schedule to minimize cancellations fees during periods that either book very far in advance and or during a non-commital season and therefore have a higher cancellation rate. However, the system will not automatically prompt us to charge the 2nd installment without a minor addition in our procedure to confirm new bookings.

For any stay that is between the ski seasons and up until the end of Christmas Break, we have an extra step to make in processing that booking.

In the policies "Large units sleeping 10 or more people: S - 10% / 30(50%) / 15(100%)" you'll note that Summer has a 10% deposit, at **30 days out from the stay the non-refundable committment becomes 50%**, and the final balance is due 15 days out. It is this bolden payment that we will not automatically get notification for.

The date to charge the card is the "Cancel by" date - in this case, Sept 1.

So we set an alarm on the booking in the Section 5: Notes.

Set the date

Type in the instructions “Charge the card - total commitment is 50% now” and click Apply. This prompts the reservation clerk actioning this alarm to calculate the difference between 50% of the stay and the deposit already paid and apply a charge for that difference to the credit card on file. If the method of payment is etransfer, then we would send the reminder to pay if it hasn't already been sent. Of course, don't send it if they've already paid!
