Updating Property Sale Status Across Platforms

Learn how to update the sale status for a property within the WebRezPro PMS and your Squarespace website. This guide also covers adjusting confirmation templates and generating specific reservation reports for listed units.

WebRez Unit Update

Click "Setup"

Click "3. Unit types"

Click the Edit 'E' beside the unit that has been listed for sale.

Expand the description section.

Add "Type "THIS PROPERTY IS CURRENTLY NO THE MARKET FOR SALE." to the bottom of the description.

Click Submit to save the unit type changes.

Website Content Update

Click Website for Cona Vacation Getaways.

Click "Pages"

Click the unit page.

Click Edit for the Marmot Chalet content section.

Append the property-sale notice to the unit's page.

Click Save to publish the Marmot Chalet content changes.

Email Template Updates

Switch to tab WebRezPro PMS"

Click Codes / Templates.

Click "4. Templates"

Open the Templates list for the selected vacation rental units. The confirmation email needs to be changed from the standard confirmation to the "for sale properties" version of the same confirmation email so people are aware upon booking that they have booked a place on the market and that comes with risks.

Click the Edit icon for the standare confirmation email.

Uncheck this checkbox for the unit that is now up for sale.

Click Submit to save the template changes.

Click here to take you back to the list.

Click the edit icon on the "for sale properties" version of the confirmation email.

Click this checkbox.

Click Submit to save the second template changes.

Double check the unit is attached to the correct confirmation email after you have made your edits.

Are there upcoming bookings for the unit now on the market?

Click Reports.

Click 3. Custom report.

Click the "Check outs" field.

Start date is today.

End date is as far out as the calendar has been opened for bookings.

Click "Unit type".

Select the unit.

Collate "By reservation".

And "Order by arrival date".

Export to "HTML".

Click Submit to generate the custom report.

Click "Effective report date: 30 Sep, 2026"

If there is a list of bookings made prior to the property going on the market, we must notify each of them of the change. Click the menu icon.

You may choose to save as a pdf that you can cross off as you go or keep each booking open in their own separate tabs or if you like a hard copy reference, physically print this list and manually cross out each booking as you follow through on informing the guest. Whatever means you choose, keep track of reaching out to each guest to ensure NOBODY GETS MISSED.

If there is a list of bookings, you can get directly to the booking by clicking on the confirmation number. It is recommended that you right-click and open this is a new tab so you can return to the list easily by changing tabs.

From the "view reservation" screen, click the menu to send an email to the guest.

Click "Email"

Select the "Property for Sale" option.

Click "Apply"
