1. Log in to REMS

2. Update Club Information

The first time that you log in to an Admin account for your club, you will need to\ enter the Club Registrar Information. You must update the First Name, Last Name and email address of the Club Registrar. The other fields can be updated at a future time. If this is not the first login to your club, you will not see Steps 2-14. When you are done, scroll down to the bottom of the page and Click "Save" to continue

3. Complete Club Affiliation Application

Prior to club affiliation, "Purchase Events" and "Attachments" will be the only menu option visible for admin users before club affiliation is approved.

Search"Purchase Events"

Add form to basket

Click "Add" to choose the affiliation form that corresponds to the size of club you are affiliating.

If you add more than one form to the basket, you can remove one by clicking the red trash can under the word "Basket".

Click "Continue" to proceed with the Affiliation process.

Enter your contact information for the Affiliation Form confirmation. Click "Save"

Choose **Swim Manitoba** for the Province Approving Application and click "Continue"

Begin filling in the Affiliation form. Make sure you have all documents ready - you must complete the form in one step. You cannot save and restart. Click "Next" to continue.

Navigate between the pages of the form by clicking the "Previous" and "Next" buttons at the bottom of the page.

Club Information

Complete the Club Information fields.

Choose the Swim Club Type from the dropdown.

Click "Next" to go to the next page of the application form.

Club Contacts

Complete the information for Club Main Contact, Club Registrar and Coach Compliance Officer. You can remove a file and upload a different file by clicking "Remove this file".

Click "Next" to go to the next page of the form.

Complete the Club Contacts page including President, Vice President, Head Coach and Treasurer.

Complete the Meet Manager and Club Officials Coordinator information and upload their completed and signed "**Additional REMS Access Declaration**". Click "Next" to continue.

Club Documents & Policies

Complete the Club Non-Profit status information and Last AGM date and Minutes.

Upload the completed Head Coach and Facility Rules Declarations. Click "Next".

Complete Affiliation Form

Review the Next Steps information. Click "Complete" to submit the form.

Once you click "Compete", you will see the following message on the screen. Do not exit this page until it refreshes and the application is submitted.

4. Complete Payment

The next steps outline payment options. If you pay with credit/debit card, your payment will be processed and applied immediately. Pre-authorized Debit (EFT) takes approximately 5 days to process.

You will be brought to the payment screen. To pay with a Credit or Debit card, click beside the word card.

The fields to enter your card details will open. Fill in your card information and Click "Continue"

Complete your payment.

Pre-Authorized Debit (EFT) payment

When you get to the payment screen, if you want to pay with Pre-Authorized Debit (EFT) payment, click beside the word Pre-authorized Debit.

The fields to enter your card details will open. Fill in your name and Click "Continue"

Confirmation of Affiliation and Payment

When your payment is complete, you will receive a confirmation of payment email. Note: the price will vary depending on the type of club that you are affiliating.

You will also receive a confirmation in your email that the Affiliation Application has been submitted.

The final step of the affiliation submission process is to upload your policy and code of conduct documents in REMS. These will be reviewed by Swim Manitoba as part of the affiliation process. All files are required.

5. Upload Club Documents & Policies

Click "Attachments"

On the Attachments page you will see a list of attachment types that must be uploaded. Any attachment types that are highlighted in RED are missing. Click the **+** button under Actions to upload a file for a specific attachment type. Note that you will be uploading files for the new season (2025-26).

Select & Upload File

Click "Select file". Choose the file to upload.

Click "Upload" to upload the selected file.

You can see the file that you have uploaded at the bottom of the page. Click "Back" to return to the Attachments page.

Continue uploading files.

Upload a New File

If you need to upload a new version of a file, click the "Edit" button under Actions.

Click "Select file" to choose a new file.

Click "Upload"

At the bottom of the page you can see the new file listed. Click "Back" to go to the main Attachments page.

You can see the new file listed on the main attachments page for the current season.

6. Club Activation

Your club will be activated once your submission has been reviewed and the registration system is open for the season.

You will receive a confirmation that your affiliation has been approved.
