Creating a New Customer in CIPERB

This guide walks you step-by-step through creating and approving a new customer account—covering search, form completion, approver selection, and account setup—so you won't miss required fields or approval steps. It also shows how to configure account class/profile, add contacts and site details, and verify created records to ensure the customer is ready for billing and communications.

Customer Search

[[Log in to the ]][[[CIPERB]]](https://finapps.ucsd.edu/ciperb)[[ application, which defaults to the ]]**[[Dashboard]]**[[ > select ]]**[[Customer]]**

Click Search Customer.

1. [[The search will default the inquiry to "]]**[[Contains"]]**[[, but the ]]**[[Customer Name]]**[[ search can be substituted to the following via the ]]**[[Filter]]**[[:]] 1. **[[Contains]]** 2. **[[Starts with]]** 3. **[[Exact Word Match]]** 4. **[[Full Match]]**

[[Select desired ]]**[[Account Type]]**[[: ]]**[[Others]]** [[(]]**[[Sponsored Projects]]**[[ and ]]**[[Clinical Trials]]**[[ are for SPF accounts only - these are not available to create or edit by campus users)]]

Click "Customer Name" and enter the **Organization** name

Click "SEARCH"

Click "CREATE"

Open the customer creation form. [[Under ]]**[[Customer Type]]**[[, select ]]**[[Organization]]**[[ or ]]**[[Person]]**[[ (First Name, Last Name) as needed]]

[[Enter the ]]**[[Customer Name]]**[[ (validate spelling - best practice is to use the Customer Name listed on their W-9 form for organizations)]]

[[Select the ]]**[[CHECK]]**[[ button to fully validate the customer is NOT in the system.]]

[[You will need to select every word-button that appears, and review them individually before the ]]**[[CREATE]]**[[ button becomes accessible]]

Click "CREATE"

[[Pop-up window will ask for confirmation of New Customer > select ]]**[[Yes]]**

Customer Creation

Enter the tax ID in the Tax ID field. 1. [[Best practice to attain company Tax ID is to request company's W-9 form]] 2. [[For Individual/Personal customer accounts, the Tax ID/SSN is NOT required \[please do NOT request an individual's SSN for account purposes\]]] 3. Click "SAVE"

Account Setup

Click "CREATE ACCOUNT"

**Customer Class** **Classification** **Examples** Federal - Use for a U.S. federal government entity. This would generally mean a customer that is part of the federal government structure. Foreign - Use for a non-U.S. customer. This is for foreign customers, CIPERB requires RPS verification, a date of performance, and a valid foreign TIN for international tax compliance. Local - Use for a local government or local public agency customer. Private - Use for a non-governmental organization or business. This is for a non-governmental company or organization, such as a private business, corporation, or privately operated entity. Public Sector Companies - Use for a public-sector/entity. This is for entities that are publicly owned or publicly administered. State - Use for a state government entity. UC Campus - Use when the customer is another University of California campus. This is for a UC entity rather than an outside customer.

Click "SAVE"

Click "CONFIRM & SAVE"

Contact and Site Details

Open the Account Contact form.

Enter the contact's first and last name.

Click "Email (For cc, separate with commas)"

Click "Phone"

Enter and save the phone number.

Click "SAVE"

Open the Account Site form.

Enter the site address.

Enter the city.

Enter the state.

Enter the postal code.

Click "SAVE"

Open the Add Contact to Site dialog.

Select "Account Contact" and click Add Contact.

Click "SAVE"

Click "CLOSE"

Review Created Records

Expand the Contacts section.

Expand the Sites section.

Expand Billing Site.

Expand Site Contacts.

Copy account number for records.

Click "CLOSE"
