How To Place A Catering Order Using Org Funding

Learn the step-by-step process for ordering catering services through the CaterTrax portal using institutional funding. This guide covers everything from menu selection to finalizing account details for your student organization.

Catertrax

Navigate to [https://depaulu.catertrax.com](https://depaulu.catertrax.com/)

Menu Selection

Click the Lincoln Park, Loop, or Kosher menu, depending on your event location, and dietary needs. Both Lincoln Park and Loop feature Halal catering menus.

Building out your cart

Put the food you want in your checkout cart with appropriate quantities and/or guest headcount (certain catering menus do food on a per person basis!). You can mix and match between menus.\ Click "Add to Cart" and click "Check Out"

Order Details

Click on the month for your event and choose the appropriate date. Keep in mind, Plate 1898 requires 5 business days advance notice. You cannot use SAF-B to cover a late fee.

Click the delivery method dropdown and select the "Lincoln Park Campus Delivery" option. There are Loop Delivery, Lincoln Park Delivery, and pick-up options available. OSI has a cart available for rent to pick items up in LPC!

Enter your organization as the delivery contact. You are in charge of communications with Aramark for planning and day-of communications.

Fill out all relevant details for your event and make it as clear as possible where the event location is, person for the day-of contact, event time, etc. If you need additional specifications, contact catering@depaul.edu. Once you're ready, click 'Continue.'

Double check event details are accurate and then click 'Continue'.

Payment Information (SAF-B)

To pay using SAF-B, you'll need to follow these steps and choose the appropriate options:\ Select the "Student Involvement" option.\ Select the "100" option.\ Select the "841102" option.\ Select the "553700" option.\ Select the "90-Student Service" option.\ Select the "SAFEE" option.\ Select the "Yes" option.

Select the "No" option for a recurring event. Funding is provided on a event-by-event basis.

Select the 'Save Wallet Entry for Future Use' checkbox if you primarily plan to order with SAF-B and you can save a few steps! Just make sure you're approved for funding before you place any orders.

Select the [CKALMES@depaul.edu](mailto:CKALMES@depaul.edu) and [orgfunding@depaul.edu](mailto:orgfunding@depaul.edu) option, that way the order is ran by us for approval. Don't put your emails under 'alternate email'.

Payment Information (Student Organization On-Campus Account)

You can also pay using your on-campus account. To do so, select the "Student Org. On-Campus Acct" option. Make sure whenever you're planning to pay using this method that you're double checking you have funds in your account, otherwise you'll run a negative balance.

Select the your organization from the dropdown box. Most organizations with an account are on this list. Don't assume you have one without checking with orgfunding@depaul.edu. This list is updated annually.

If you know your organization has an established on-campus account, put your organization's full name in the box labeled 'Other.' Aramark will contact the org funding team to confirm payment. Be wary that if you don't have an established account, the order will be cancelled or your organization is responsible for payment.

Select the "No" option.

Click the payment method dropdown.

Order Submission

Once you're all set, place your order! Two things happen here: 1. The orgfunding team receives an email where we confirm payment. We will review that with your approved funding. Make sure catering orders are submitted AFTER approval. 2. You will receive an authorization form. This is used to confirm the cost of the invoice, event date, etc. The Authorization is mandatory to confirm the order. OSI will not submit an authorization on your behalf. Not completing this authorization will result in your order being cancelled.
