How to Set Up Your Availability for Meetings

Setting Up Your Availability allows you to configure your schedule in the system to show students when you're available to meet for specific services.

On the main 'Staff Home' page. Click 'My Availability'.

Select 'Actions'. Click 'Add Time'.

Select the days when you can meet with students (such as during office hours).

Enter the availability start time.

Enter the availability end time.

Under 'Please select a duration'. Choose how long your office hours will last: - Pick "Forever" to allow student appointments with no end date, including over summer breaks - Select a date range (from one day to multiple years) - Choose "Semester" for term-length availability

Check the 'Add this availability to your personal availability link?' field to include this availability in your personal link. This standardized link automatically displays your current availability and simplifies scheduling for students. We recommend adding your Personal Availability Link to your syllabus or Blackboard.

Select from the three types of scheduling options: Appointments: - Available to all students campus-wide - Your available times appear in general scheduling system Drop-ins: - Use for Office Hours - Shows students when you're available for walk-ins Campaigns: - Limited to specific students you select - For targeted meetings within set timeframes Note: You can select multiple types of availability at once.

Select one or more meeting modalities for this availability. Students will choose their preferred option when booking an appointment.

Please select a Care Unit For Precepting: select Faculty Precepting For Office Hours: select Faculty Office Hours

Select a location For Precepting: select My Preceptor's Office For Office Hours: select My Faculty's Office

Select which Services you want to be available for (these are the types of meetings students can make with you) For Precepting: select General Faculty Precepting (15 mins) or General Faculty Precepting (30 mins) For Faculty Office Hours: you have the option of selecting from Faculty-Student Meeting, Graduate Exit Meeting, Office Hours (15mins), Office Hours (30 mins) Note: You can select multiple services at once.

Enter your recurring Zoom link in the URL field. Find setup instructions under the Availability tab on the Tools and Resources Ospreys Navigate webpage.

Enter any special instructions for students in the textbox. Include details like: - Your Zoom link - Office location - What students should bring (like a list of planned courses) These instructions will appear in their calendar invite.

Click "Save" after filling in all fields.

Your new availability will appear in the Available Times list after you save.
