A Scope of Work (SoW) provides businesses and organizations with a research expert’s perspective on the resources, timelines and budget required to successfully undertake an Innovation Challenge. The Scope of Work serves as an evaluation of a full project’s feasibility.

HEI Users must have the HEI Collaborator role assigned to access the steps demonstrated in this guide. \ \ HEI Collaborators are the research experts on OCIP. Begin Awarded Scope of Work

Click "Complete and Submit Scope of Work (SoW)" under the "Innovation Challenge Tasks" on your Dashboard page.

Locate the Innovation Challenge in the table, and in the "Actions" column, click "Manage."

Add Deliverables

Deliverables are outputs—tangible or intangible— that are expected within the scope of a project. It is likely that the Organization already listed desired Deliverables in their Innovation Challenge, but the goal here is to ensure they are clearly defined, and to emphasize whether the scope is including them or not, and with what level of commitment.

Click the "To Do" button to access a list of actions required to complete the Scope of Work (SoW) and then select "Add Deliverables" to begin the "Deliverable Details" section.

Complete the required Deliverable Details information: - Specify if the deliverable is "Desirable" or "Mandatory" - Describe the details of the deliverable - Add any additional comments pertaining to this deliverable to provide additional context or justification in the "Comments for Organization" field. Click "Save" to save the information provided.

After saving a deliverable, click "Add New" to add additional deliverables as needed. You can also edit the saved deliverable by clicking the pencil icon. (Note: These steps apply to each Scope of Work (SoW) section when adding additional information or editing existing entries).

Main Activities

This section lists the main activities to be undertaken to achieve the desired project outcomes, including a rough estimate of costs for each activity. The estimated costs provided will be used to: - Filter/screen for viable Funding Programs using scoring algorithm - Report Project progress and variance - Evaluate accuracy of OCIP & HEI estimates

Click "Add New" under the "Main Activities" panel to add main activities required for the Innovation Challenge. Please note that you can only add one activity at a time. You can also navigate to each outstanding section by selecting "TO DO" as depicted in Step 7.

Click 'Add Activities'

Use the "Category" dropdown to select the category of the required activity.

Use the "Activity" dropdown menu to specify the particular activity required within the selected category.

Provide the required "Cost Details" associated with the activity including: - Estimated Labour Cost - Estimated Materials Cost - Estimated additional expenses Add any additional comments pertaining to this activity to provide additional context or justification in the "Comments for Organization" field, if applicable.

Click "Save" to save the information provided for the required activity.

Required Expertise

This section lists the main types of expertise that will have to be applied to achieve the desired project outcomes, as identified by the HEI Expert, including a rough estimate of time and cost for each.

Click "Add Required Expertise"

Under the "Expertise Requirements" section, use the dropdowns to select the appropriate SR&ED code for the required expertise. The SR&ED (Scientific Research and Experimental Development) codes are a classification system used to categorize various areas of scientific research and development activities for tax credit purposes. Codes for Field of Expertise must be taken from the standardized OCIP Expertise Classifications, which were largely derived from SR&ED’s definitions for form T661. OCIP uses theses codes to match the organization's Innovation Challenge to research facilities with the needed expertise, and to align the preparation of SR&ED claims. Select the "Expertise Area" from the corresponding dropdown.

Select the "Expertise Discipline" from the corresponding dropdown.

Select the "Expertise Field" from the corresponding dropdown.

Provide the required "Cost Details" including: - Estimated Effort Required (in days) - Estimated Cost (per Diem) Add any additional comments pertaining to this expertise to provide additional context or justification in the "Comments for Organization" field, if applicable.

Click "Save" to save the information provided for the required expertise.

Required Equipment

This section lists the main pieces of Equipment that will have to be utilized to achieve the desired project outcomes, including a rough estimate of time and cost of for each. (Note: That beyond machinery, equipment may also include software, lab space, computing power, etc. It is also possible that no equipment is required for a particular project).

For Innovation Challenges that **DO NOT** require any equipment, click "Flag as NOT Required" under the "Equipment Required" panel.

For Innovation Challenges that **DO** require equipment, click "TO DO" and click "Add Required Equipment."

Fill in the "Equipment" field to under the "Equipment Requirements" header to provide information about the required type/piece of equipment. Equipment information could include details about the name, specifications, description, or application of the equipment.

You must include UNSPSC Codes for each piece of equipment. OCIP uses UNSPSC as its standard Equipment Classification to ensure consistency, and to facilitate matching the Innovation Challenge to research facilities. UNSPSC stands for United Nations Standard Products and Services Classification. It is a global classification system used to categorize and classify products and services based on their characteristics, attributes, and functionalities. For more information about UNSPSC, visit the official website at <https://www.unspsc.org/> Estimated times and costs to be incurred for the use of equipment must include materials and operator, if needed. Costs are pre-tax and may be expressed in hours, days, or other units of time.

Select the "UNSPSC Segment" using the corresponding dropdown.

Select the "UNSPSC Family" using the corresponding dropdown.

(Optional) Select the "UNSPSC Class" using the corresponding dropdown, if known.

(Optional) Select the "UNSPSC Commodity" from the corresponding dropdown, if known.

Provide the required "Cost Details" including: - Estimated Time Needed (hours) - Estimated Cost (per hour) Add any additional comments pertaining to this equipment to provide additional context or justification in the "Comments for Organization" field, if applicable.

Click "Save" to save the information about the required equipment.

Additional Information

Note: The additional information section is an **optional section.** This section includes any additional caveats, comments, or recommendations based on your experience or expertise. If there are no additional remarks, you can proceed directly to the Updating Overall Estimates and Submit Scope of Work steps.

Click "Add New" under the "Additional Information" panel to provide additional remarks.

Specify the type of additional information and provide any relevant details in the "Remarks" field. Click "Save" to save any additional information.

Update Overall Estimates and Submit Scope of Work (SoW)

These overall estimates are used for matching the organization's Innovation Challenge to Funding Programs.

Click "Update Overall Estimates"

Provide the required "Overall Estimates" including: - Overall Project Cost - Elapsed time to execute (in months)

Add any additional comments pertaining to these estimates to provide additional context or justification in the "Comments for Organization" or for "Comments for OCIP" fields, if applicable. Click "Save" to save the Overall Estimates information.

Note: The "Overall Project Cost" should match the auto-populated "Grand Total" calculated using the total cost details provided in Activities, Expertise, and Equipment sections of the Scope of Work.

Once you have completed all the mandatory sections of the Scope of Work (SoW), under the "TO DO" button list, click "Submit Scope of Work" to submit.

**Carefully** read the "Scope of Work Submission Confirmation" pop-up to better understand the next steps after submission, then click "Submit Scope of Work" to complete the submission process.

View Scope of Work (SoW) Summary Sheet

Once the Scope of Work (SoW) is submitted, click "SoW Summary Sheet" to view a summary sheet of the information provided.
