1.1 About Escochex Payroll

A. Purpose of Escochex Payroll

**Escochex Payroll** helps businesses manage payroll-related activities in one system. It provides tools for maintaining employee and contractor information, processing payments, managing payroll taxes and deductions, generating paystubs, and reviewing payroll reports.

B. Intended Users

Escochex Payroll is intended for **business owners, administrators, payroll processors, HR staff, employees, contractors, and other authorized users**. The features available to each user depend on their assigned role and permissions.

C. User Roles in Escochex Payroll

**• Business owners** generally have the highest level of access and can manage company information, users, payroll settings, and approvals. **• Administrators** help manage the business account, employee and contractor profiles, system settings, and other assigned administrative functions. **• Payroll processors** prepare, review, and process employee or contractor payments based on the permissions granted to them. **• HR** users may manage employee information, employment details, documents, leave records, and other HR-related information.

Alert! Access to payroll, tax, banking, employee, and company information is controlled by user roles and permissions. Only authorized users should be granted access to sensitive information or payroll actions.

D. Admin Portal and Employee Portal Overview

The **Admin Portal** is used by authorized business users to manage company settings, users, employees, contractors, payroll processing, taxes, payments, reports, and other administrative functions. The Employee Portal allows employees to access information made available to them, such as their profile, employment information, paystubs, documents, and other employee-related features.

Users who have access to more than one business or portal may use the selector in the upper-left area of the system to switch between available businesses or portals. The available options depend on the user’s account access and permissions.

1.2 Accessing Escochex

A. Logging In

Go to <https://www.escochex.com/> Once the page loads, click the **Sign In** button in the upper-right corner. A dropdown menu will appear, allowing you to choose the portal you want to access.

Select **Admin** if you are a business owner using Escochex Payroll to manage and process your company’s payroll.

After selecting **Admin**, you will be redirected to the login page. Enter your: - Email address - Password

After entering your email address and password, click **Sign In**.

*Note: You may occasionally be asked to enter a 2-Step Verification code sent to your email. This extra security step may appear when it has been some time since your last login.*

Check the inbox of the email address linked to your Escochex account to find the verification code.

After entering the verification code, click **Verify**.

Once the code is verified, you will be redirected to the dashboard. The dashboard displays summary cards with important information about your company’s payroll.

B. Password Change/Requirements

To change your password, click your profile icon in the top-right corner of the software to open the dropdown menu.

You will see the **“Change Password”** option right above “**Sign Out.”** Click it, and it will direct you to the Change Password settings.

Once you are on this page, you will need to enter your **“Old Password”** first before you can enter your new password. ***Note: This is required to confirm that you are the one changing or updating the password on your account.***

Once all the fields are filled out, click **“Submit.”**

When the password change is successful, a success prompt will appear. Click “**OK”** to close the prompt.

C. Logging Out

Click your profile icon in the top-right corner of the software to open the dropdown menu.

You will see a red **“Sign Out”** option. Click it to log out of your account.

1.3 Understanding the Dashboard

A. Dashboard Overview

**Total Payroll Cost** – Shows the total payroll amount paid to your employees and contractors.

**Total Taxes Due** – Shows the total payroll taxes currently due based on your company’s processed payrolls.

**Total Employees Paid** – Shows the number of employees who have received payroll payments from your company.

**Net Pay** – Shows the total amount paid to employees after taxes and other deductions are subtracted from their gross pay.

**Payroll Breakdown** – Shows how your total payroll costs are divided, such as the amounts allocated to employee net pay and payroll taxes.

**Deductions Breakdown** – Shows the total deductions taken from payroll and how they contribute to the company’s overall payroll costs.

**Product Offerings & Other Services** – Displays additional business services offered by Escochecks Inc. that may support your company’s operations.

**Announcements & Updates** – Displays important company announcements, software news, and feature updates. Admins can create announcements for everyone in the company or share them only with selected employees or other admins.

**Alerts and To-Dos** – Shows upcoming tasks, reminders, and important deadlines. Admins can create tasks and set due dates here. The system may also display automatically generated payroll tax deadlines and other required compliance reminders.

B. Main Navigation Menu

a. Auto Tax Payments

**Auto Tax Payments** - This is one of the most important features in the software. It allows users to enable the system to automatically pay taxes on their behalf before the payment deadline, helping prevent penalties from late tax payments.

Once the toggle is turned on, a confirmation prompt will appear asking if you want to enable Auto Tax Payments. Click “**Yes”** to turn on automatic tax payments for your business in the software.

When the change is successful, a success prompt will appear. Click **“OK”** to close the prompt.

This is how the toggle looks when Auto Tax Payments is turned on. Clicking the toggle again will turn it off. The same confirmation prompt will appear to make sure the change is intentional.

b. Dashboard

**Dashboard** - This is the default page you see after logging in to your account. To go back to the Dashboard at any time, click **“Dashboard”** in the side menu.

c. Access

**Access** - This is where the Roles & Permissions settings are located. 1. **Role** - This is where you can manage roles. You can create customized roles for your staff, making it easier to assign the right access later. 2. **User Permission & Access** - This is where you can manage the detailed access settings for each role. You can select which pages or features a specific role can access.

d. Business Info

**Business Info** - This is where your business profile and other related business settings are located in the software. 1. **ACH Authorization** - This is the consent required from the business owner to allow Escochex Payroll to process bank transactions on the business’ behalf. This includes payments to designated tax agencies and payroll-related transactions. 2. **Business Profile** - This is where your company profile is located. Go here if you need to update or change any information in your business profile.

**Other Company Setup** - This is where you can set up the internal units or structure of your company. This helps make employee setup easier when migrating to the software. 1. **Department** - This is where you can set up the departments in your company. 2. **Discipline** - Also known as Job Title, this is where you can add the different jobs or positions under each department. This helps organize employee setup and makes it easier to auto-populate payroll details later. 3. **Work Rate** - This is where you can connect a specific discipline to a work type, such as Full-Time, Part-Time, or Temporary, and a pay type, such as Salary, Hourly, or Commission, along with the corresponding amount.

**Tip!** You can create multiple **Work Rates** under the same discipline when employees have different work types, pay types, or pay amounts. For example, the same job title may have separate rates for regular hours, overtime, part-time work, or different pay arrangements. You and other authorized admins can configure these rates based on your company’s compensation setup.

**Contractors** – This section allows you to set up, view, manage, and pay the contractors who provide services to your company. 1. **Contractor Discipline** – Use this section to create the job titles, roles, or types of services performed by your contractors. These options can then be assigned when setting up a contractor’s profile. 2. **Contractor List** – This section displays all contractors connected to your company, including both individuals and businesses. From here, you can view and update contractor information and begin contractor payments. 3. **Import Contractors** - this is where you can upload your existing contractors from a previous platform to Escochex using .csv file.

**Tax Forms** – This section contains the payroll tax forms generated or made available for your company, such as Forms W-2, 1099, 940, and 941. The forms available in this section depend on your company information, employees and contractors, work locations, payroll records, tax registrations, and filing requirements. Keep your Business Profile and payroll information complete and up to date to help ensure that your tax forms are prepared accurately. 1. **Annual Forms** – This section contains tax forms prepared once a year. For example, companies with employees may find their employees’ Forms W-2 here. Other annual employer tax forms, such as Form 940, may also appear when applicable. 2. **Contractor Forms** – This section contains annual tax forms related specifically to contractor payments, such as Form 1099-NEC. These forms may be available for contractors who meet the applicable reporting requirements. 3. **Quarterly Forms** – This section contains payroll tax forms prepared for each quarter, such as Form 941. You can review the forms available for each reporting period and use them for filing or recordkeeping, depending on your company’s tax setup and Escochex services.

**Employees** - this is where everything related to your employees will be. 1. **Employees List** - list of your existing active, inactive, or pending employees. 2. **Announcement** - this is where you can provide company-wide announcements to ALL of your employees as well as other admins OR only provide specific employees' announcement only. 3. **Expenses** - this is where reimbursement/mileage are.

1.4 Switching Between Businesses and Portals

**Tip!** If your email address is connected to more than one company or account in Escochex, you can easily switch between them without logging out. This allows you to manage different accounts using the same login, saving you time and making it easier to move from one company to another.

To switch accounts, click your profile icon in the upper-right corner of the screen.

A drop-down menu will appear. Below the **Sign Out** option, you will find the **Switch Account** section. This section displays the other Escochex accounts connected to your email address. These may include: - Different businesses within the same portal - The same business accessed through different portals or roles Select the account you want to open. **Note:** The account marked with a blue highlight or filled blue circle is the account you are currently using.

After you switch accounts, the blue highlight or filled blue circle will move to the account you are currently using.
