Responding to contractor's claims & proposals

The engineer must respond to final claims as well as requested proposals received from the contractor

Responding to claims

Go to the Events Register by selecting "Events" from the main menu.

Events for which claims or proposals have been submitted show the additional payment and EOT sought in the latest claim submitted by the contractor. Mousing over the requirement icon reveals whether an updated claim is due next (if the last claim was interim) or a response to the claim is due next (if the last claim was final). Click the Event title to go to the event.

Locate the "EOT / additional payment" panel near the bottom right of the screen and click "perform action..."

Select "Request further details" and enter your requirements if you want the contractor to submit a revised claim.

Select "Reject claim" to reject the claim. This action cannot be undone and brings the claim process for the event to a close.

Select "Approve claim" and adjust the additional payment and EOT being granted (if you wish to do so). This action also cannot be undone so it is recommended consensus is reached with the contractor prior to providing a partial approval of a claim.

After selecting an option and providing supporting information click "transmit..." to proceed to the confirmation page.

A notification in a blue bar will be displayed if your response to the claim will be held until released by one or more approvers. Enter the password you log in with and click "finish" to send your response.

You have successfully responded to the claim

If an approval workflow notification was displayed on the confirmation page your response will not be communicated to the contractor until the necessary approvers approve your response.

Responding to proposals

You respond to proposals in the same way you would respond to a claim

In the Events Register instructions for which proposals have been submitted show the additional payment and EOT sought in the latest proposal submitted by the contractor (the same way events for which claims have been submitted) Mousing over the requirement icon reveals whether a revised proposal is due next or a response to the proposal is due next. Click the instruction title to go to the instruction.

Locate the "EOT / additional payment" panel near the bottom right of the screen and click "perform action..."

Select "Approve proposal" if you want to accept the contractor's proposal.

Select "Reject proposal" if you do not want to accept the contractor's proposal. This action cannot be undone, so if your intention is to negotiate with the contractor rather use the "request revised proposal".

Select "Request revised proposal" and give your reasons and due date for the revised proposal if you want the contractor to send a revised proposal.

Proceed from here in the same way you would if responding to a claim to finalize your response to the proposal.
