Onboarding with WorkBright

This guide provides simple instructions on how to locate and access your required onboarding documents for your new Clark University on-campus position. Use the chapter tool on the left to select the steps relevant to you.

Creating Your Profile

Locate the email from Clark University via WorkBright with the subject line "Access your required paperwork for Clark University"

Click "Click here to sign in"

Click the "* New password" field.

Click the "* Confirm password" field.

Click the "I agree to the Privacy Policy and End User License Agreement" checkbox.

Click "Save"

Click "Next"

Enter your address.

Enter your phone number.

Enter your birthdate.

Either enter your SSN OR select the "I don't have an SSN yet" checkbox.

Determine whether or not you would like to receive text messaging regarding your onboarding from WorkBright.

Click "Next"

All forms in the Required Forms section must be submitted for your on-campus employment.

Forms in the Optional Forms field are not required, and can be ignored if they are not revelant to you.

Tip! You will need to provide images of your [acceptable ID documents](https://www.uscis.gov/i-9-central/form-i-9-acceptable-documents) for the Form I-9. Please have those documents with you before moving forward.

Click "Start" to begin Form I-9. This form is required for all employees working in the United States.

Confirm the information from your profile is correct as it will be included on your Form I-9.

Click "Next"

Domestic Onboarding

Click the "A citizen of the United States" or "A lawful permanent resident" field.

Click "Next"

Determine which IDs you will be using, either from List A or from List B & C. The full list of acceptable ID documents for the Form I-9 is available at [this link.](https://www.uscis.gov/i-9-central/form-i-9-acceptable-documents)

Ensure that the [acceptable ID documents](https://www.uscis.gov/i-9-central/form-i-9-acceptable-documents) you will be using are unexpired.

Click "Next"

Tip! WorkBright’s Document Verification is a functionality that automates the screening of supporting documentation submitted with Form I-9. It employs a wide variety of checks to verify an employee’s work authorization document(s) for advanced I-9 compliance. Document Verification will guide the employees through the uploading process and then validate document-specific criteria.

Click "Begin verifying" to start the document verification process.

Provide information on whether the form was completed using a preparer or translator. If yes, they will be required to provide their information. If not, you will continue to the next step.

Electronically sign the form with your signature and click "Finish."

Tip! Section 1 of your Form I-9 will be reviewed by a Student Employment staff member. If corrections are needed, it will be returned to you with a personalized message. Once approved, you will complete [Form I-9 section 2](https://scribehow.com/viewer/How_to_Access_Your_Clark_University_Paperwork__7glyYflBSAqXNVNrKDY5JA?scrollToActionId=3ed9020d) with an authorized representative of your choosing.

Complete the required tax forms on WorkBright for federal taxes (W-4) and Massachusetts (M-4).

International Onboarding

Click the "An alien authorized to work" field.

Click the "Date your authorization to work expires" and enter your program end date from your I-20 or DS-2019.

Enter one of the following numbers (USCIS or A-number, Form I-94 Admission Number, or Foreign Passport Number and Country of Issuance) then click "Next."

Ensure that the [acceptable ID documents](https://www.uscis.gov/i-9-central/form-i-9-acceptable-documents) you will be using are unexpired.

Click "Next"

Based on the selections you made on the previous screen, you will be required to upload the front and back of each document and input some additional information.

Click "Next"

If using a Form I-94, read the paragraph on the screen carefully to ensure that your Form I-94 includes the required information. The Form I-94 can be found at [this link.](https://i94.cbp.dhs.gov/home)

The document number must be 11-digits and the expiration date will be in the "Admit Until Date," which is "D/S" for most students.

Click "Next"

For F-1 students, the Form I-20 is not required for on-campus employment, and this section can be left as "N/A."

For J-1 students, you are required to provide your DS-2019 and a letter from your issuing authority that authorizes you to work on campus. Please email [oncampusemployment@clarku.edu](mailto:oncampusemployment@clarku.edu) the letter and upload your DS-2019 on WorkBright.

Click "Next"

Provide information on whether the form was completed using a preparer or translator. If yes, they will be required to provide their information. If not, you will continue to the next step.

Electronically sign the form with your signature and click "Finish."

SSN Information for International Students

Alert! You will either need an SSN OR confirmation of your completed online SSN application, including a control number AND a scheduled in-person appointment date with the Social Security Administration to complete this next step.

Tip! If you need to apply for an SSN for the first time, please begin your application [here](https://www.ssa.gov/number-card/request-number-first-time), screenshot the yellow screen you see after finishing the application that includes a control number, and book an appointment as directed. Click "Start"

Upload either your SSN OR a screenshot of your completed application, including the control number.

Click "Select a file to upload" and upload the screenshot of your SSN or confirmation page with a control number.

Click "Submit"

Scroll down to the Optional Forms section and click "Start" for the Social Security Administration Appointment Form.

Enter the date of your scheduled appointment with the Social Security Administration.

Click "Submit"

International students will also be contacted by the Payroll Office to complete Sprintax. This is similar platform that they will use to determine how to tax your wages. If you plan to claim treaty benefits, you will need your SSN in order to do so. You can reach out to [payroll@clarku.edu](mailto:payroll@clarku.edu) with any questions.

Section 2 of the Form I-9

Once section 1 of your Form I-9 has been approved by Student Employment, you will receive an email (or text message, depending on your profile settings) alerting you that the Form I-9 has been accepted and instructing you to start section 2 with an authorized representative of your choosing. Select "Start I-9 Verification" on this notification to begin this process.

Please be sure your authorized representative updates the start date on your Form I-9. If you have not started working, they can select the date you are completing ID verification.

Direct Deposit Forms

Tip! To set up your direct deposit, we require 2 forms: the "Direct Deposit Enrollment Form" and the "Direct Deposit Banking Information Upload"

Click "Start" on the "Direct Deposit Enrollment Form."

Enter the name of your bank (i.e. Bank of America).

From the drop down, select whether your account is a checking or savings account.

Enter the routing number for your bank. This will be a publicly available 9-digit number, usually available on your bank's website or your banking app.

Enter your bank account number. This information is not publicly available and will be available on your banking app, on a statement, or another secure area.

If you are not splitting your deposit between accounts, you can enter 100% here. If you will be splitting your direct deposit, enter how much you would like deposited into this specific account. Please be sure to denote percentages or dollar amounts (i.e. 50% vs. $50)

If you are splitting your direct deposit between accounts, please enter the information for account 2. If you are not splitting accounts, you can ignore this section.

Electronically sign the form with your signature and click "Submit."

Click "Start" on the "Direct Deposit Banking Information Upload - 1" form.

We require a proof that matches the bank account - 1 that you will be using for your direct deposit. Ensure the upload includes the **entire account number**. Screenshots from your banking app are acceptable.

Click "Select a file to upload"

Click "Submit"

If you will be splitting your direct deposit between multiple accounts, please provide proofs of these accounts in the "Optional Direct Deposit Banking Information Upload - 2" and "3" forms.

Next Steps

Once Student Employment has received all of your onboarding documents (including section 2 of the Form I-9), we will approve your position and your hiring department will be notified that you may begin working.

If you have an **hourly position** you will have a timesheet, please review the instructions for submission available [here.](https://www.clarku.edu/student-employment/find-a-job/submit-your-timesheet/) **Salary positions** for some graduate students will be paid out biweekly based on your assignment. We will be contacting you to complete the **Mandatory Student Employment Training** available on Canvas. It will take you about a half hour to watch the video and complete the 4 questions, so you may add a half hour to your timesheet so we pay you for the training. If you are a salaried employee, please work with your supervisor to use a half hour for the training within your weekly allotted hours limit.
