Create a new organisation (bexio)

This guide provides step-by-step instructions for fiduciaries to create a new organisation in Expensly that is linked to Bexio, ensuring a seamless setup for managing expenses. By following these instructions, users can efficiently set up their organisation and optimise their expense process.

Open <https://www.web.expensly.ch>

Click the round button in the top right.

Select "Neue Organisation anlegen" (Create new organisation)

Enter the name of your new organisation

Click "Weiter" (Next)

Add all members of the organisation. The first member is the organisation lead. This should be the person who has access to Bexio and also has to enter the credit card for payment.

Enter the e-mail address

Click "Hinzufügen" (Add) for more members

Choose the user type: Administrator, Teamleiter (team lead) or Mitarbeiter (employee)

Click "Weiter" (Next)

Enter the name of the bookkeeping here. Choose the accounting software, the colour and the VAT accounting method.

Then click "Weiter" (Next)

Connect Expensly with your Bexio account. It is important that you are logged in with your Bexio fiduciary account.

Select the company

Check the permissions Expensly receives from bexio.

Click "Zulassen" (Allow)

Choose whether you want the statement monthly, every two weeks or manually (closing under Einstellungen Organisation, tab "bexio", "Spesenabrechnungen jetzt schliessen"). Choose an account from which the expenses are debited. Choose whether you want to reimburse expenses to employees.

Link the booking accounts to Bexio. The account numbers come from Bexio. In the Expensly app the account name is shown as the expense type. The booking category is the icon for the category. The account type can be "Investition" (investment), "Material" (material) or "Umsatz" (revenue).

Check that the VAT matches Bexio and is correct. This step only appears with effective VAT accounting; with the net tax rate method, "Organisation anlegen" already appears on the booking accounts step. The organisation is then created with a click on "Organisation anlegen" (Create organisation). Team members receive an e-mail and can log in.
