VGM Version 3.16

We’re excited to introduce VGM version 3.16, bringing powerful new functionality and usability improvements to the platform. Highlights of this release include our new VoIP integration, cost pricing visibility on line items, and a collection of quality-of-life updates aimed at streamlining everyday workflows.

VoIP Integration

VGM Angular now integrates with Red Cactus Bubble, providing access to over 200 phone system connectors. The integration will provide call notifications and streamlined call handling across tabs and sessions. Users can quickly identify linked customers, manage active calls, record call logs ,and create new customer records directly from the call toast.

Customer Details Improvements

We’ve made several improvements to make customer information and documents easier to find and manage.

• Search: Customer list searches now include additional contacts, helping users find customer information more easily.

• Vehicles: Users can now open vehicles directly from the customer view and add new vehicles to a customer record.

• Documents: A new Documents card is now available within the customer overview. This displays customer documents ranging from one month in the past to 13 months in the future, making it easier to view and manage relevant documentation.
  

Scheduler

Bookings can now be moved directly within the scheduler using drag and drop.

• If a booking is dropped onto an available date, time, and technician slot, the booking will automatically move to the new slot.

• If the selected slot is unavailable, a dialog will appear suggesting alternative slots on the same day. Alternatively, a new slot can be created for the booking using the same process as creating a new booking.

Scheduler Configuration

A new scheduler configuration option allows bookings to be hidden once they have an associated task created via a jobsheet. This helps prevent duplicate appointments from appearing for the same piece of work.

Bug Fix – Converting a Booking to a Jobsheet

• When selecting booking extras to carry over during conversion to a jobsheet, users can now deselect all extras and continue saving successfully. Previously, the system required at least one extra to remain selected before the jobsheet could be saved.

• The scheduler now refreshes automatically when a booking is converted into a jobsheet, displaying both the new jobsheet and the associated task.

Line Items Cost Prices

Cost pricing has now been added to the following line items

• Slot Types

  • This is added to the prices tab of the slot type

• Labour rates

  • Added in Financial>Labour Rates

• Custom

  • Added in Financial>Snippets>Edit Snippet

Recalculate Markup

After updating the cost price of a part, you can recalculate the markup using the “Recalculate markup” button under the Net Each field

Email CC

When sending emails and documents via VGM the correct default CC addresses will now be automatically populated in the message. For example, the “Sales Documents and Reports” CC address when sending documents such as invoices.

Linking Documents

Opportunities to jobsheets via sales quotations

Importing quotation items that are linked to an opportunity to a jobsheet will now link the opportunity to the jobsheet.

‘<br />’ line breaks will now be removed when converting to another document

Booking to Jobsheet

When converting a booking to a jobsheet, this will now update the list on the jobsheets page if open elsewhere.

Deleting a jobsheet or jobsheet item will also now update the list on the bookings page if open, allowing you to then convert that booking again without having to reload the page

Adding a booking to a jobsheet will now refresh and display the extras that have been added

Booking to Sales Invoice

When converting a booking to a sales invoice, this will now update the list on the sales invoice list if open elsewhere.

Deleting a sales invoice or sales invoice item will also now update the list on the bookings page if open, allowing you to then convert that booking again without having to reload the page

Jobsheet to Sales Quotation

When converting a jobsheet to a sales quotation, a confirmation dialog will now appear.

Additionally, when creating a new sales quotation from the Sales Quotations tab on a jobsheet, a confirmation dialog will inform the user that a new sales quotation will be created using the items from the jobsheet. Any sales quotation created in this way will also be displayed in the Sales Quotations tab for that jobsheet.

Jobsheet to Sales Invoice 

Previously invoiced jobsheets can no longer be converted to sales invoices when there are no remaining items to invoice.

Empty jobsheets can still generate empty sales invoices; however, empty sales invoices can no longer be created from job sheets that contain invoiceable items.

Opportunity to Jobsheet

Jobsheets will now be linked to opportunities through their imported sales quotation items, provided the sales quotation items are linked to an opportunity.

VGM Embedding

Certain sections of VGM Classic have now been embedded into VGMAngular. This allows you to access reports and manage a variety of configuration settings directly within VGMAngular using an embedded version of the web client, including:

• Slot types

• Extras

• Labour rates

• Job templates

• Bays

• Reports

These options can be found within Config>Pricing

Technician Companion App

The latest updates to the Companion App are primarily focused on background technical maintenance and performance improvements. However, a number of smaller enhancements and fixes have also been included.

Tasks & Bookings

• The app now correctly displays either ‘Complete Task’ or ‘Complete Booking’, making it clearer what action is being completed.

• If a task is linked to a booking, then a new menu item named ‘Booking’ now appears allowing users to quickly view the associated booking.

• A bug affecting the ability to change the date of a task/vehicle task has now been fixed.
