Creating, Editing and Managing Rounds

Learn how to efficiently set up a new round, add jobs to it, and optimise the round route within Squeegee.

Viewing the Rounds Tab

From the 'Rounds' tab along the sidebar, you'll be able to see all rounds in your account. If the round is *scheduled*, you'll see that it has a set date on the round overview, like with the 'Aconury - 8 Weekly A' round here. On the overview, you'll be able to see the monthly and annual recurring total of each round, along with the totals at the bottom. You will also see the total of any ad-hoc jobs in these rounds.

Along the top, you'll be able to toggle between 'ACTIVE' and 'QUOTE'. ACTIVE - all active jobs in that round\ QUOTE - all quoted jobs in that round (not yet converted to jobs)

If you click into a round, you'll be able to see the list of all jobs within it, including the total volume, duration, distance and value for that particular round. You'll also see a map view at the top, displaying all location pins for the jobs within that round.

Creating a Round

On the main Rounds tab, you can use the bottom right pink three dots to add 'New Round'.\ Here, you'll be asked to choose the name of the round. You can type this in before clicking 'SAVE'.

Editing a Round

Select the new round from the Rounds tab to open it along the right. If you use the top right three dots, you'll be able to 'Edit Round'.

If you have Custom Forms/Fields enabled, you'll be able to view all completed forms for the jobs in an individual round by using the 'Download Completed Forms' option via the top right three dots.

In the edit screen, you'll be able to change the round name and colour using the hex colour selection tool. The colour of a round will affect the individual job pins shown on map views, which is helpful with organisation and knowing which jobs belong to each round at a glance.

You can also set the location of a round. This isn't required, but it'll come in handy when adding jobs to a round, as you'll be able to see the distance from the job to each round, allowing you to choose the most efficient round to add the job to. To add the location, simply click Current Location > 'CHANGE' and type in your desired location, before confirming the location from the suggested matches, and clicking 'Pin Here' once pinned in the correct location.

You'll also notice the 'Portal Round' toggle here. If you have a Xilio quote flow, you'll be able to enable this in order to enable customer-facing portal schedules and postcode coverage for your quote flow.

Adding a Job to a Round

You can add a new or existing job to the round from the round directly using the pink three dots.

Alternatively, if adding a job to another view, such as to an individual customer, you'll see the option to assign to a round in the initial job creation form. To do this, click 'Round', select the desired round and confirm this with the 'DONE' option. It's in this list that you'll be able to see the location markers if you've set locations on your rounds. This will help you add the job to the closest round.

If you want to add multiple jobs to a round, you can use the multi-select tool from many sections in the app (Rounds, Job List, Work Planner, etc). Simply click the coloured numbered dots to select multiple jobs.

Then, using the action bar along the top, you can use the round icon, as below, to add all selected jobs to the desired round. Simply click your chosen round from the list and then click 'DONE'.

How to See Which Round a Job is Assigned to

From most views, you should see a round tag, which will symbolise which round a job belongs to.

You can also see this by viewing the customer, on their job details. If you click the round tag from this view, you'll be redirected to that particular round in the Rounds tab.

Optimised Drive on Rounds

Though there are daily optimise functions in both Day Pilot and Work Planner, you can optimise a whole round by clicking the top right three dots and clicking the 'Optimised Drive' option.

To produce the optimised route, you'll need to select both a start and end location before confirming 'OPTIMISE'.

You can delete rounds by using the top right three dots > Delete. If you delete a round, the jobs within it will *not* be deleted - they will just have no round assigned to them.

Round Settings

There are a few global settings that pertain to rounds. You can see them below: Jobs & Scheduling: - Round Centre/Nearest Job in Frequency Picker (if enabled, and using *Scheduled Rounds*, when choosing the round from the frequency picker, rounds will show in distance order) - Prefill assignee and rounds from the last updated job (if enabled, and adding a job for a customer with a previous job, the previous assignee/round will be pre-filled) - Require Rounds For New Jobs (if enabled, you won't be able to create a new job without selecting a round first) - Show Rounds on Quotes (if enabled, rounds will be shown on quotes)
