Navigating the Work Planner

In this tutorial you will see how to use the work planner and set up the optimised drive from this view.

The 'Work Planner' will show your jobs in a list for each day of the week. Generally, Squeegee users will choose between the Work Planner or the Multi Planner, since their functionality is the same - they just visually look quite different, so we'd advise using whichever works best for you.

You can view all the jobs for a particular week, one day at a time. Colour Coding Key: - Grey/Blue = Not Done - Green = Done - Yellow = Skipped - Red = Overdue

You can use the arrows along the top to switch between weeks.

View Options

If you click the three dots in the top right, you will see the option to 'Select date'. You can choose your desired date to view the jobs on that particular date.

Alternatively, you can view different days by clicking on the different bars along the chart.

To alter the view, go to the top right three dots > 'Planner View Options'.

You will then have the option to: - Show Only Not Done Jobs - Minimise Chart - Show Temperature - Group Schedule By Job Group - Privacy Mode (this will hide the pricing) Once you have chosen your view settings, click 'Ok' to apply.

Sending Appointment Reminders

You can send the appointment reminders for that day by clicking the pink three dots and selecting the corresponding option (this will use the default notification method saved on the customer and will need this in order for this option to show as expected).

Creating Appointments, Quotes, Jobs and Adding Work

You can create an appointment for any customer through here as well.

If needed you can make a quote for a selected customer.

You can add a new job to the Work Planner.

Finally, you can add work for the current day you are looking at by selecting a jobs from the job list.

Adding Day Notes

You can also add Day Notes to the Work Planner. To do this, click on the pink three dots > 'Add Notes To Current Day'.

Once you have typed the note, click 'Save'.

These will then be added above the jobs so they can be easily seen. You can click the three dots to 'Edit' or 'Delete'. Or you can click back into the pink three dots to add another note. You can also use the top right three dots to 'Manage Day Notes' which will also allow you to edit them.

Viewing and Actioning on Individual Jobs

You will be able to view the job details by clicking into the appointment. You can then click on the pink three dots to either mark as: - Done - Done And Paid - Replan - Skip - Assign

Actioning on Jobs in Bulk

You can also bulk select jobs by clicking on the colourful numbers running down the side of the jobs and then use the top right action panel, where you can: - Reassign - Move to Round - Message Customers - Mark as Skipped - Replan - Mark as Done - Reset Selected Schedule

Top tip: you can perform bulk actions in the app anywhere you can see the coloured numbered dots. You can find these in Rounds, Job List, and more.

Filtering

To filter the job list, click on the filter icon as shown.

You can then ***Sort By***: - Planner order - Due Date - Distance From Me - Start Time - Price

Adjust the ***Direction*** between: - Ascending - Descending

Make sure to click 'Apply' as you go through the 'Filter By' section.

You can then filter by the **Group/Round**.

The **Service**.

The **Status**.

and then finally by **Assigned to**.

Once you are happy with the filters, click 'Apply'.

If ever you wish to revert back to the original view, open the filter icon again and click 'Reset'.

Optimised Drive

To use the Optimised Drive feature in the Work Planner, you will need to select either an individual user or team. To do this, click on the person/team icon in the top left corner and then select a user. If you have a multi-user account, you cannot be selected on 'All' when optimising the drive - you must choose a specific user, or 'Unassigned'.

Now you can click the pink three dots > 'Optimised Drive'.

You will now be able to choose your start location. You can choose from: - Current Location - Select a Location (search for and pin a specific location) - From Selected Appointment - Business Address - Preset User Start Location, as set in 'Users' If you choose any of these, such as 'From Selected Appointment', you will then need to choose that appointment from the list. For this example, I am starting with the 'Current Location' option.

**[[13]]** Then, you will need to select your end locations. You will have the same options, along with 'fastest route': - Fastest Route - Current Location - Select a Location (search for and pin a specific location) - From Selected Appointment - Business Address - Preset User End Location, as set in 'Users'

At the bottom, you will have the option to '**Ignore Time**', so the route optimisation will not prioritise appointments with set start times on them, and '**Start at furthest appointment**', which will use the furthest away appointment from the chosen start location as the first appointment.

Finally, click 'Optimise', which will generate the optimised route. Please note the 'Reset' option in the top left in case you want to start again.
