Learn how to automate your scheduling by configuring conditional logic within Airtable automations. This guide explains how to trigger specific Outlook event creation based on defined criteria to streamline your calendar management.

Tip! These instructions assume you have completed the steps in creating automations for a single event.

Navigate to "Automations" in the Programming base.<https://airtable.com/appXCiip7O4wh0s89/wflJb6nZDAB9HTK1h/wacah2I9J5WsChPqd>

Conditional Logic Setup

Tip! You can update the initial "Outlook: send email" and "Outlook: Create event" for your first event offering before or after creating the conditional logic group.

Click Add advanced logic or action.

Click Conditional logic.

Click "conditions are met"

Set the condition field to Event Date 2026-2027 AY.

Click "Select an option"

Select one of the event date offerings.

Add the "Outlook: Send email" action to the conditional group by dragging the six dots to "+ Add advanced logic and action."

Add the "Outlook: Create event" action to the conditional group by dragging the six dots to "+ Add advanced logic and action."

Click "Outlook: Create event"

First Event Configuration

Set the event start date to match the event date selected in the conditional field.

Set the event start time to match the event date selected in the conditional field.

Set the event end date and time to match the event date selected in the conditional field.

Duplicate Conditional Group

Tip! Repeat this section for each event offering you have beyond the first one.

Open the conditional group actions menu.

Click "Duplicate group"

Click on the conditional event date.

Click "Edit conditions"

Click the date for the next offering.

Click the date for the next offering. Toggle off the currently selected date and toggle on the new date.

Update Outlook: Calendar event

Update start date and time.

Update end date and time.

Update Room or Zoom Link in the Location field, if needed.

Activation

Toggle the automation to "On"
