How to Create an Interpreting Booking

Navigate to [https://portal-uk.wordsynk.com/](https://portal-qa2.wordsynk.com/)

Booking Setup

Click "Create Master Booking"

Click on the Business Unit (Court) you want to select.

Select the user who is requesting this booking to be created, if you are creating a booking on behalf of someone else. Otherwise, please select your name.

Click "Create Booking"

Booking Details

Click the "Service Type" field and select the required Service Type from the list.

Click the "Select Appointment" field.

Start typing to search within the list, then select the required "Appointment Type".

Click the "To Language" field and start typing the language you require for this booking.

Select the language.

If the booking needs to be treated as a priority, click into the "Select priority" field. If the booking can be treated with normal priority, you can leave this field as-is.

Select the appropriate priority reason from the drop-down list.

If the booking pertains to any sensitive subject matter, click into the "Sensitive Subject Matter" field. If not, you can leave the field as-is.

From the *Sensitive Subject Matter* dropdown, select the option that best matches the booking requirement.

The "Complexity" field will be automatically populated based on the selected Appointment Type. If you need to manually amend the complexity, click into the Complexity field.

Select the required complexity from the drop-down options.

Indicate whether Video or Telephony interpreting is acceptable if a face-to-face interpreter cannot be assigned.

Once all mandatory fields on this screen have been filled, click on "Next".

Location and Appointment

The Default Address for the selected Business Unit will be populated automatically. If you need to book for a different venue, click on "Change Location".

Select the venue the interpreter will need to attend by choosing a saved address from the list or entering a new address. \ You can also save addresses and update the default address, which will be automatically applied to future bookings.

If you need to enter a new address, click on "Add New Location". Start typing in the Post Code field until the address you're looking for is shown, then click on it. Note: you need to type 5 characters or more for suggestions to be shown.

If the address you're looking for isn't showing in the suggestions when you've typed the post code, you can still enter the address manually by typing the address details into each field individually.

If you want to use another saved address from the list, you can start typing into the "Search location" box or simply click on it.

Click "Update" to populate the saved address on the booking.

Once you have updated the address (if needed), click "Next".

On the next screen, click "Add Appointment" to add the date and time the booking is scheduled to take place.

Select the date and time **manually** or from the ***Interpreter Availability* range**. Availability is shown in hourly slots, where Green indicates good availability, Amber indicates limited availability, and Red indicates very limited availability for the selected language, date, and time.

Selecting a slot from the *Interpreter Availability* range will default the booking to a one-hour duration. If the appointment is expected to last longer, adjust the end time as required.

Once you are happy with the date and time you have entered, click "Add Appointment".

Additional appointments can be created by clicking on the "Add Appointment" button again and following the same steps.

Once you have added all the appointments you need for this booking, click "Next".

Contact and Preferences

Click the "Select Contact" field.

Select the appropriate Onsite Client name. If the contact you are looking for is not shown in the list, you can select the checkbox "Contact not listed/registered?" to enter their details manually.

Add the email addresses of anyone who needs to be notified about this booking.

Enter one or more email addresses, then click "Add".

Click "Next"

Select a preferred interpreter if you want us to source a specific interpreter, e.g. for case continuity purposes.\ Select an interpreter's gender if this is required for this booking.

Selecting the "Mandatory" checkbox means **only** interpreters meeting the preferred criteria will be sourced. Select Mandatory if it's a must-have, or leave it unchecked if it's a preference.

Select an interpreter to exclude from sourcing e.g. if there is conflict of interest. Click "Search Exclude Interpreter"

Start typing the name and the dropdown list of interpreters will appear. Click on the names of any interpreters you'd like to exclude.

Click "Next"

Review and Submission

If a Headset is required, enter the number required into the "Number of Headsets Required" field. Populate the mandatory "Case / booking reference" field.

Click "Preview" to review your booking before confirming the creation.

Review the booking summary.

Click "*Create Booking"* if everything is correct.
