Managing Bookings and Appointments in WordSynk

Learn how to efficiently search, filter, and manage your master and group bookings through the WordSynk platform. This guide also covers the process for adding new appointment details and handling booking cancellations.

Bookings Navigation

Expand the Bookings menu

Click "Bookings List"

Booking Filters

Use the *Search By* field to find bookings by Booking Reference Number, Interpreter, Language, or Business Unit.

Use the *Status* filter to find bookings based on their current status (e.g., *Complete*, *Active*).

Use the *Appointment Date* filter to search for bookings within a specific date range, such as *Today*, *This Week*, *Next Week*, or *This Month*.

Open the Filters panel

Select the required *Fulfilment Type* and/or *Language* to narrow down the search results.

Booking Details

To view details of the booking Click "View Details"

You can view Master Booking Reference Number, Group Booking reference number and Appointment Number.

Use the *Group Booking* selector to view and select any group bookings created under the master booking.

Expand the *Appointments* section to view all appointments associated with the selected group booking.

You can also select a specific appointment from the list to view its details.

Select an appointment to view its detailsor use the *Cancellation* and *History* buttons to view additional information.

Cancellation Review

When you click the red *Cancel* icon, a cancellation pop-up will appear.

Select the appropriate cancellation reason and click *Cancel* to proceed with cancelling the booking.

Click the appointment history icon to view

A pop-up will appear showing the *Time Submission* and *Cancellation History* associated with the appointment. Click the *X* icon in the top-right corner to close the pop-up.

Depending on the appointment status, you may be required to submit a timesheet, confirm the appointment, or resolve a dispute. Only the actions relevant to the selected appointment will be displayed."

Click *Confirmation* to review and confirm the appointment details.

Review the appointment details in the confirmation window. Proceed if the information is correct.

Click *Dispute* if there is an issue with the appointment that requires investigation or resolution.

Review the disputed details, enter any required information, and submit the dispute for further review and resolution.

Click ***Submit Timesheet*** to enter or review the appointment times before submitting the timesheet.

Review the appointment times and upload the timesheet .

Click "Submit New Timesheets"
