    HGA Fundraising's top 4 most popular auction items will be automatically added to newly created events (similarly to the sample items for item type templates) as well as any sales demo events.

    The HGA website will also be your hub for marketing materials/ trip information, where additional experiences can be selected as well. You will also report your winning bidders to HGA here to allow their team to assist your bidders with redeeming their trips!


    Registering Your Account

    1) From HGA Trips home page, click on the blue box titled “View our Trips and Destinations’

    2) Click ‘Create an Account’

    3) Register your organization, including ClickBid as your referral partner.

    4) HGA will email registered users a confirmation message.

    HGA will provide info to you on how to get your items into ClickBid and changes that can/can’t be made to the items.

    Choosing Additional Items 

    On HGATrips.com, select "Trips and Experiences". You will be able to sort experiences by category: Beach Destinations, International, Domestic, Villas, Special Packages, and Sporting.

    Under each trip opportunity, you will be able to download marketing materials, as well as learn additional details regarding each trip.

    Entering Additional Items into ClickBid:

    Once you've selected your items, you will receive a link to our item template. All relevant information will already be added to this template. Review this to make sure everything looks correct. You will then want to complete the steps to mass upload your items:

    1.  Save the template provided to you by HGA to your computer. 

    2.  Navigate to Items > Manage Items and scroll down to Import Items. Drop your saved file into the upload section here.


    3.  After the upload is complete, use the images provided in the media links and add them to the individual items by clicking on the item and scrolling down to Image Details.

    Selling Your Items 

    Simply activate your items through ClickBid and double check your closing times are accurate to allow bidding and choose a winner! 

    Closing out your HGA Items

    After the auction closes, your organization is responsible for submitting the winning bidder’s contact info to HGA. To submit your winning bidder information, you will need to email Morgan, the HGA Software Specialist, with the following info.

    FAQ

    Should my HGA Items be a certain item type? 

    This is up to you. The items are all set to be live items in the import sheet, but they can be set to Silent, Live/EventStream, or Quantity. Trips and destinations can be configured as a ‘Buy Now’ item by classifying as a’ Quantity’ item type, allowing multiple guests to buy trips at the set price. This can be a great strategy to engage more bidders that want the same item.

    Can Live Items be sold more than once? 

    -Yes! Items can be sold as many times as desired. Be sure to inform your auctioneer that these items can be sold more than once. 

    Single Destination Package vs. Passport Package

    You can add can a single, identified destination trip or select a ‘Passport’ trip which includes several destination options that the winning bidder can select from. Passport themes include: vacation, premium vacation, golf, sports, and Euro.

    Can we change the suggested Starting Price and Bid Increment? 

    -Yes. ClickBid recommends a starting bid at least 25% above the organization's cost. Organizations that opt to offer an opening bid, but they are obligated to pay the full trip package cost to HGA and therefore, will lose money on the item.  

    How much does the nonprofit pay for the items?

    ClickBid will upload your cost for sample items. Costs for other trips and destinations can be found at HGAtrips.com. These will therefore also show up on the consignment report on the reports menu.  

    What if the items do not sell? 

    - No problem at all. Nothing needs to be reported to HGA. There is no cost if an item doesn't sell. 

    What are the Golden Ticket Items? 

    - You can see and select Golden Ticket trips from HGATrips.com. These are raffle items. ClickBid will pre-load two raffle options: ‘Golden Ticket’ and an ‘All Inclusive Jamaica’. The Golden Ticket trips are structured in a similar way like the ‘Passport’ trips meaning winning bidders can select their experience from a list of four different destinations. There are two price tiers so ypur organization can select what’s best for your donors. As of September 2024, the ‘$100 Golden Ticket’ trip will cost your organization $2,495 and the ‘$ 250 Golden Ticket’ trip will cost $3,995.

    The strategy with Golden Tickets is to sell 100 tickets of either of these items to successfully cover for the cost of the trip and retain the proceeds.  There is some risk here because the organization is committed to buying the trip even if ticket sales don’t cover the nonprofit’s cost. On the other hand, most would consider the potential net proceeds for the nonprofit significant.

    How long are the HGA Items available? 

    -Items are available all year long. Year after year, it might be a good idea to check to see if the specific item is still available by looking at the item template. Pricing may vary from year to year. 

    Are there booking restrictions for the trips? 

    - All trips have an 'Exceptions' section on the item template already filled out with the details regarding each trip. For most trips, they need to be booked 60 days in advance, and are good for 24 months from the date of purchase.
