2025 Travel Enhancements Advisor FAQ

This Travel FAQ provides clear answers to common questions about travel products, processes, and system functionality within the new Partner Space platform. It is designed to help you confidently support customers throughout the transition.

    Partner Space

How do I access Partner Space?

After completing the required Travel Product Enhancements and System Training, advisors will receive an email within 3 business days containing their Partner Space login instructions. Each time you log in, you will be prompted to enter a one-time verification code sent to your registered email address. This secure login method eliminates the need to remember or update passwords, providing quick and secure access every time.

Who do I contact for Partner Space issues?

If you require support, please email [email protected] or call the Member Experience Centre at 1-800-667-6853.

Will I continue to have access to the old Travel Portal after I begin to use Partner Space?

Yes. Advisors will retain limited access to the old Travel Portal for a transition period to view and manage active policies previously sold in that system, and to access reporting. All sales functionality will be disabled in the old Travel Portal. To process an extension for an annual policy originally sold in the Travel Portal, please contact [email protected] or the Member Experience Centre at 1-800-667-6853 for assistance.

Why are the travel products shown on your website different from those available through the old Travel Portal?

We’re currently in the process of launching a new advisor portal — Partner Space — along with several travel product enhancements.

During this transition period, some differences in product offerings may appear between the public website and the existing Travel Portal. These differences are temporary, as we have chosen to roll out the new system internally first to ensure a smooth, seamless experience when Partner Space officially launches for all business partners.

We strongly encourage all advisors to attend one of the mandatory training sessions taking place later this month. These sessions will walk through the Partner Space platform, highlight key product enhancements and prepare advisors for the upcoming transition.

What if an advisor has multiple distributor numbers tied to one email address?

If an advisor currently uses the same email address across multiple distributor numbers, they will need to choose one distributor to continue selling under with that email.

If the advisor wishes to continue selling under multiple distributors, a unique email address must be used for each distributor number. This ensures proper connection of each advisor account within Partner Space.

Does Partner Space integrate with CRM systems for quoting or data transfers?

No. Advisors will manage their workflows directly within Partner Space.

    Policy Sales and Eligibility

Can a customer purchase travel insurance on behalf of their family members, friends, employees, or others?

Yes. Customers can purchase coverage on behalf of a family member, friend, employee, or otherwise. When they purchase the policy, they will be listed as the Account Holder — this means the policy will be associated with their email address and they’ll have access to the Customer Space portal to:

    • Create and manage the Customer Space account

    • Receive all policy documentation and correspondence

    • Make payments, modifications, or cancellations as needed

The person for whom the policy was purchased will be listed as the traveller (or Main Insured) on the policy. The Main Insured (traveller) cannot access the policy directly through the portal unless the Account Holder shares those documents with them.

What happens if my customer doesn’t have an email address?

An email address is required to create a Customer Space account and access travel insurance documents. If the traveler does not have their own email, they may use the email of a trusted friend, family member, or neighbour.

The email used will become the Account Holder’s email, and all travel policy documents and Customer Space access instructions will be delivered to that inbox. The traveler will then need to retrieve their documents from the individual whose email was used, as that person will receive all Customer Space notifications and login details.

As an Advisor, you will still have full access to the customer’s policy documentation. You can view, download, and print the PDF policy documents directly from Partner Space, or email the PDF to the traveler to ensure they have everything they need for their trip.

What address should be used when selling a Visitors to Canada policy?

When selling a Visitors to Canada policy, the Canadian address where the visitor will be staying must be used on the policy. This can be the address of a hotel, Airbnb, friend, family member, or host — whichever best reflects where the traveller will reside during their stay in Canada.

Is there a way to print a quote so I can present it to my customer before payment is taken?

At this time, Partner Space does not offer a dedicated “Print Quote” or “Download Quote” function before the policy is paid. We recognize this is a feature Advisors rely on, and it has been identified as a key enhancement opportunity.

    Current workaround:
You can take a screenshot of the quote screen and save or email the image directly to your customer for review before proceeding to payment.

We understand this is not an ideal long-term solution and it has been identified for a future enhancement.

Are discounts automatically applied in Partner Space?

Yes. Eligible discounts — including Family, Young Traveller, and Annual Extension discounts — are automatically applied in Partner Space when the policy criteria are met. No manual action is required from advisors. The system will automatically calculate and display the discounted premium during the quote and purchase process, ensuring consistency and accuracy in pricing.

Is the grandchild discount still available?

No. The grandchild discount has been discontinued. However, you can highlight to customers that premium savings may still be achieved through the deductible option available on the Coverage stage in Partner Space. A deductible is the amount the traveller agrees to pay out-of-pocket in the event of a claim before coverage applies. Deductible options range from $250 to $5,000 and apply to Emergency Medical Care. Choosing a higher deductible can help lower the overall premium, offering clients more flexibility and cost-saving options at the time of sale.

Can I apply the annual loyalty discount in Partner Space?

Yes. Annual loyalty discounts can by manually applied in Partner Space by typing the old contract number in the “ID/Contract/Section No.” field at the Coverage stage. After selecting Apply, the system will provide the 5% discount to the new Multi Trip Annual policy.

What if the customer doesn’t have a credit card? Are there other payment options?

Yes. While online credit card payment is required to bind the policy in Partner Space, there are flexible options available to support customers who do not personally have a credit card.

    Available Payment Options

    • Customer has their own credit card:
If the customer has a credit card, the Advisors can submit payment using the customer’s credit card information directly in Partner Space, as per the standard process.

    • Customer does not have a credit card:
Customers may still pay the Brokerage/Advisor using cash, debit, or cheque. In these situations:

      • The Advisor may complete the Travel Policy application in Partner Space

      • The premium is then processed using the Brokerage/Advisors corporate credit card to bind coverage

This approach ensures the policy can be issued without delay while still accommodating customers who do not have access to a personal credit card.

    Cancel for Any Reason (CFAR)

What is Cancel for Any Reason (CFAR)?

Cancel for Any Reason (CFAR) is an optional benefit to the Trip Cancellation and Interruption coverage that allows members to cancel their trip for any reason, as long as they do so at least 24 hours before their scheduled departure. This benefit provides extra flexibility and peace of mind in case travel plans change unexpectedly.

How much does Cancel for Any Reason (CFAR) cover?

CFAR reimburses a portion of insured non-refundable trip costs if the member decides to cancel their trip for any reason, as long as it’s at least 24 hours before departure. Coverage amounts are based on age:

    • 75% of eligible trip costs for travellers under age 74

    • 50% of eligible trip costs for travellers ages 75 to 85

    • Not available for travellers age 86 and older

The maximum reimbursement under CFAR is $4,500 per insured person.

Is Cancel for Any Reason (CFAR) available for members over age 86?

No. CFAR is not available for members aged 86 and older. Coverage eligibility is limited to travellers up to age 85 at the time of the trip.

When must Cancel for Any Reason (CFAR) coverage be purchased?

CFAR must be purchased within 5 days of making any form of trip payment (deposit, partial, or full) or any time before travel penalties apply.

For example, if a traveller books a vacation package and pays a deposit six months in advance, they have 5 days from that deposit date to add CFAR. If they miss that window, they can still purchase CFAR at any time before the supplier’s penalty period begins (e.g., 60 days before departure). Once travel penalties apply, CFAR cannot be purchased.

Can Cancel for Any Reason (CFAR) be added to annual or top-up policies?

No. CFAR cannot be purchased on a Multi-Trip Annual plan or a Top-Up policy.

However, travellers who have either of these plans can still obtain CFAR protection by purchasing a separate Single Trip policy that includes Trip Cancellation and Interruption coverage with the CFAR rider added.

    • For Multi-Trip Annual plans: If a traveller wants to include CFAR, they must purchase a Single Trip policy for each trip they want CFAR to apply to. That Single Trip policy must include both Trip Cancellation and Interruption coverage and the CFAR rider, and it must cover the entire duration of that specific trip.

    • For Top-Up policies: If a traveller wants to include CFAR, they must purchase a Single Trip policy that includes Trip Cancellation and Interruption coverage with the CFAR rider, ensuring it covers the full trip duration, including any portion already insured under another plan.

Are there Cancel for Any Reason (CFAR) co-insurance rules when a member cancels their trip during a penalty period and receives a partial refund from the travel supplier?

Trip Cancellation and CFAR work the same way — only the insured non-refundable portion of the trip is covered. For example, if a customer cancels a $10,000 trip and the supplier refunds 50% ($5,000) under their penalty rules, the claim would be based on the non-refundable $5,000. The insured non-refundable portion would be assessed at the corresponding co-insurance amount determined by their age, up to the maximum limit of $4,500 per person.

    Policy Documentation

Where can I access customer policy documentation and receipts if a paper copy is needed?

Only the Account Holder has access to the Customer Space, where policy documentation is available for download. If a paper copy is needed, advisors can locate the policy in Partner Space by searching the contract number. From there:

    1. Open the Travellers and Coverage tab.

    2. Scroll to the bottom of the page.

    3. Copies of an English and French version of the contract are available. Print the corresponding version and provide it to the traveller.

Can customers access their travel insurance documents without creating a Customer Space account?

No. Customers must register for the Customer Space to view, download, or print their policy booklet, confirmation of coverage, receipts, and travel card. The Account Holder (the person who purchased the policy) receives the registration email and is responsible for creating the portal account. If the traveller is different from the Account Holder, the Account Holder must share the documents directly with the traveller.

    Policy Modifications

Can I modify policies in Partner Space?

Yes. Advisors can modify policies in Partner Space before the effective date, including changes to trip dates, travellers, and coverage selections.

Once a policy is active, modifications are limited to processing an early return if the traveller comes home before the planned return date or an extension if the traveller is coming home later than expected. Other changes, such as adding travellers or full policy cancellations, are not permitted once the policy is active. These requests must be directed to Saskatchewan Blue Cross for support.

Can members modify their policy online?

Yes! Members can make most changes to their policy directly through their Customer Space. There they can:

    • Update personal information

    • Change or extend trip dates

    • Add or remove travellers or coverage options

    • Process an early return if they come home sooner than planned

If their trip has already started, some changes might not be available online. They will need to contact Saskatchewan Blue Cross for assistance.

    Claims

Do travellers need written proof for Cancel for Any Reason (CFAR) claims, and how does the claim submission process work?

In the event a member would like to apply the Cancel for Any Reason option and cancel their policy 24 hours prior to their departure, they would contact the Blue Cross Travel Assistance number located on their travel cards for assistance. The member will be advised of any claiming documentation that is required for reimbursement such as their original purchase invoice, flight tickets, etc.

Can I submit claims on the traveller’s behalf through Partner Space?

Yes. Advisors can access the online claim form directly through Partner Space and submit a claim on behalf of the traveller(s). Before submitting, ensure that all required documentation requested by Blue Cross Travel Assistance is attached to avoid processing delays. Once all documentation is collected, advisors can upload and submit the claim and attachments through the secure online submission portal available in Partner Space.

How can my customer file a claim?

In the event of a claim, Blue Cross Travel Assistance will guide the member through each step of the claiming process and documentation required. Members will have two options for submitting a claim:

    • Online: Complete the secure online claim form available through the Saskatchewan Blue Cross website or directly from Customer Space.

    • Paper form: Download, print, and mail the claim form along with supporting documents to the mailing address provided on their travel card. Blue Cross Travel Assistance will review the claim and contact the member if additional information is needed.
