HICAPS Integration: Setup and Configuration

Setting up and configuring HICAPS integration within MYP ensures seamless automation of NDIS plan management, claims processing, and provider payments. Follow the steps below to prepare your organisation for successful onboarding and integration.

Before integrating HICAPS with MYP, ensure you have an active HICAPS account configured correctly. Follow these steps to set up your account with HICAPS.

Preparing for HICAPS Onboarding

Client, Provider, and Participant Data Preparation

Accurate and complete data is crucial for a successful HICAPS setup. Ensure all necessary information is entered into MYP.

Required Fields for Clients/Participants

  • NDIS Number

  • First Name

  • Last Name

  • Date of Birth

Permissions

In order to setup your integration you will need to have the Integration Setup settings permission set up in MYP.

To process invoicing you will also need the appropriate Funding permissions applied.

Connecting HICAPS in MYP

Follow these steps to establish the connection between MYP and HICAPS.

Step 1: Navigate to Integrations Setup

  • Ensure your permissions are set up correctly.

  • Open the navigation menu and go to CRM > Administration > Integration Setup .

This will take you to the Manage Integrations page.

Step 2: Add Third-Party Software

  • Click on Third Party Software to expand the section.

  • Click the plus (+) icon in the top right corner. When you hover over it, it will say 'Add Third Party Software'.

  • From the drop-down list, select HICAPS (recommended).

  • Enter an Account Name – this can be your organisation’s name or simply ‘HICAPS’.

  • Click Confirm.

Step 3: Link the Organisation

  • Scroll down to the Organisation Links section.

  • Click the blue plus (+) icon in the top right corner to add an organisation link.

  • Select the HICAPS account you just created.

  • Click Confirm.

Step 4: Enter HICAPS Login Details

  • You will be prompted to enter your HICAPS login details.

  • After entering your details, the tab will close automatically.

  • You will return to the Integrations Settings page in MYP.

  • Step 5: Save Your Changes

  • Click Save to finalise the connection.

If you change the password to your HICAPS account, MYP wll no longer be able to reach HICAPS without the valid credentials. To do this, navigate back into the Integration settings page, delete the connections you created, and repeat the steps to create them, entering your new details when the pop-up prompts you.

Setting Up HICAPS in Funding 

Follow these steps to configure your HICAPS settings and onboard participants.

Step 1: Enable HICAPS in Funding 

  • Open the side navigation menu and expand Funding > Settings.

  • On the Settings page, scroll down and expand the HICAPS section.

  • Select 'Yes' to Enable HICAPS for claim/provider payments.

  • Select 'Yes' to Enable HICAPS for agency fees.

  • Set the Primary Email where HICAPS remittances should be sent.

  • Choose the Summary Report Recipients by selecting the relevant staff member(s) from the drop-down list.

  • Click Save to apply the changes.

Step 2: Bulk Onboard Participants to HICAPS

Once HICAPS settings are enabled, you can onboard participants using one of two methods.

Option 1: Onboard via the HICAPS Settings Page

  • Navigate to the HICAPS Settings page.

  • Click the 'Subscribe to HICAPS' icon on the right-hand side.

  • Select your HICAPS account (set up earlier in the Integration settings).

  • Choose one of the following onboarding options (see below for more information on how to select the right onboarding option):

    • Onboard all participants plan-managed by your organisation

    • Onboard all agency-managed participants

    • Onboard all participants

    • Onboard selected participants

Selecting the Right Onboarding Option:

  • Plan Managers Only → Select Onboard all participants.

  • Service Providers or Support Coordinators → Select Onboard all agency-managed participants.

  • Hybrid Organisations (Service Provider + Plan Manager) → Perform two separate bulk onboardings:

  • Onboard agency-managed participants first and then onboard all plan-managed participants.

Once you've made your selection, click Confirm 

Option 2: Manually Onboarding Participants to HICAPS

If you have a small number of participants, you can manually onboard them instead of using bulk onboarding.

How to Manually Onboard a Participant:

  • Navigate to Funding.

  • Locate the participant’s engagement.

  • Find the HICAPS icon (an orange hexagonal symbol between the eye icon and the green play button).

  • Click the HICAPS icon and select 'Onboard Participant'.

You can also do this from within the engagement by clicking the same icon at the top right.

Step 3: Check Notifications

After confirming the bulk onboarding, notifications will appear in the notification bell (top right corner). You may see:

  • A plan has been imported from NDIA

  • Client onboarded in HICAPS

  • Unable to update a plan from NDIA

Additional Notifications:

  • NDIA has updated a plan

  • NDIA has extended a plan

  • NDIA has shortened a plan

Once you've reviewed the notifications, your HICAPS setup is complete.

Troubleshooting: Unable to Update a Plan from NDIA

If you see the error 'Unable to update a plan from NDIA', it is likely that the client has not been onboarded to HICAPS. The most common reason is a mismatch in information between MYP and the NDIA Portal.

How to Fix It:

  • Open MYP on one screen and the NDIA Portal on another.

  • Compare the following fields in both systems:

  • Surname

  • Date of Birth

  • NDIS Number

  • Ensure these fields match exactly, including spaces or spelling errors.

  • After correcting the information, manually onboard the participant again.

  • Important Notes:

    • Ensure participant details match exactly between MYP and NDIA for successful onboarding.

    • Use manual onboarding for small groups if bulk onboarding isn’t needed

    • Engagement dates are locked after onboarding, ensuring NDIA remains the source of truth.

    • The claiming process is fully automated — once invoices are approved, HICAPS handles the rest.
